The system will not let me make journal vouchers to my A/P account. How do I get my beginning balances or balances from another A/P account into my new A/P account?
You must enter the invoices that make up the balance into the system using Transactions>Accounts Payable>Enter A/P Invoices. If you are attempting to enter beginning balances and they include an A/P balance, consider coding the A/P balance into a clearing account (like an OL type of account) when entering the initial journal voucher. You will then remove the balance when entering the invoices.
My Auditor gave me an amount to adjust my A/P account by. However, the system will not let me make journal vouchers to my A/P account. How do I adjust the account?
This adjustment must be broken down and made against one or more existing invoices. You can use the credit to make this adjustment.
Rather than adjusting invoices, can I just enter a new invoice?
No. While this would make the A/P account in your General Ledger have the desired balance, the adjusting invoice will remain outstanding and waiting to be paid. If it ever is paid, then your balances will be wrong again.
What if I do not have the invoice numbers or amounts? Is there another way to do it?
Adjustments to the A/P account must be made to the individual vendor balances. Thus, they must be entered through an Accounts Payable transaction, such as an invoice adjustment or a credit. There is not an alternative.
