Can I void a check a second time if I reversed the original void session?

No. A check that has been previously voided will not be available to "re-void" even if you reverse the original void session. For this reason, it is best to only void one check per session. With only one check per void session, if you need to reverse the original void and "re-void" the check (perhaps to change dates) you could just copy the original void session instead (Activities>Manage Sessions>Copy Posted Sessions).

If I voided a check by accident, how do I reverse the void?

The method you select to correct a check accidentally voided depends on whether other checks were voided in that session or if it was the only void.

  1. If only one check was voided in the session, you can reverse the void using the Activities>Manage Sessions>Reverse Posted Sessions form.
  2. If there were multiple checks voided in the session and you do not want to "un-void" all the checks with a session reversal, then you can either:
  3. Let the void session stand and reenter the checks that you did not intend to void (using the same check number with a description to explain the circumstance),
  4. Reverse the void session and use a journal voucher to correct your ledgers (this option only for non-A/P checks), or
  5. Reverse the void session and use a negative A/P invoice and negative A/P manual check to "re-void" any A/P checks.

You have much more flexibility to make corrections if you only void one check per session.

I voided an Accounts Payable check and now the invoice shows up again. Why?

Voiding an Accounts Payable check only reverses the check entry, not the associated Accounts Payable invoice. The invoice is available again to be paid. If you do not intend to pay the invoice, you will need to issue a credit or reverse the invoice.

I know I issued a check, but I cannot find it to void. Where is it?

Verify that the check was posted by running a check register, cash journal or posted transaction report. If the check was posted but it is not showing, then either the check has been previously voided (this should show on the check register if you only filter by check number) or the check has been cleared through bank reconciliation (if you installed the Bank Reconciliation module). Use the Reports>Bank Reconciliation>Checks/Vouchers report to determine if the check has been cleared. You must unclear the check in Activities>Reconcile Cash Accounts to make it available for voiding.

Why can't I change the effective date on some void check sessions?

When you start a new void session you can change the effective date. However, you cannot edit void check sessions, only delete them if you exit and return to the Activities>Check Writing>Void Checks/Vouchers/Invoices form.

Is there a report that will show me what checks have been voided?

Any report that has a filter by transaction source can be used to view voided checks. The following transaction sources are used for void check sessions: VCK - used for non-A/P general ledger checks, APV - used for accounts payable checks, and PRV - used for payroll checks. For example you could run a Check Register and filter for all A/P checks voided this year setting your reporting dates to this year and the transaction source equal (=) to APV.

I recently installed the Bank Reconciliation module and now I cannot find the check I want to void. What do I do?

After adding the Bank Reconciliation all check transactions entered prior to the addition of the module will have a cleared status. If a check is cleared it cannot be available to void. To correct the problem, first determine when the check was cleared by running the <All Checks> report using Reports>Bank Reconciliation>Checks/Vouchers with a filter for the check in question. Once you have determined the cleared date, simply open Bank Reconciliation (Activities>Reconcile Cash Accounts) and enter a reconciliation date the same date as the cleared date of the check. On the Checks tab select View All and deselect the check from the cleared items. After updating the bank reconciliation, the check will be available for voiding.

Can I edit a BP type void check session before I post it?

Once you have saved this session, you can only edit the session description. You cannot enter additional checks to void nor edit the session in any other manner. You can however, delete the session and recreate it.
