Reporting World

Standard Financial and Giving Reports

The Financial & Giving Reports Template Group contains report templates that can be used for tracking contributions.

When you activate the New Criteria item under the Reporting World in the Millennium Explorer, you will see the names of the standard reporting groups (libraries). When the Financial group is selected, all standard templates available for that group will appear in an indexed page in the display frame to the right. Each template name in the group will appear in an alphabetical listing. You may scroll or use the index letters at the top of the page to locate the name of the desired template.

Each name appears as a hyperlink to the display of a Report Form, showing the suggested criteria and report options, which can be modified as necessary. Standard formats have also been established for each template.

Each report template in this library is described in the following document, with suggestions for user modifications. All report templates utilize the Millennium standard Generic Worktable. Each utilizes a standard Millennium format definition of the same name as the report template. These were created using the third party software, Crystal Reports.

In this document, each template description includes a thumbnail view of a sample report that was produced using the report template that is being described. For a larger view of the sample report, click on the thumbnail and an additional browser will open, showing a scanned image of the print version of the sample report. When you are finished viewing the larger image, close that browser and return to this document in the original browser.

AccountingExport

This report selects all gifts with a process date between prompted dates. This report is designed to be exported to Excel. For complete information, see Accounting Export Utility.

Annual Fund Report for Mobile

This mobile report shows a summary of the transactions that represent actual monies received (as opposed to pledges, credits, etc.) for the Annual Fund. The transactions are grouped and totaled by Constituent Type.

Bank Draft Error History Report - Dues

Purpose and Description:

This report lists those Dues transactions, paid by Bank Draft, that failed Paya Payment Solutions processing and verification.

The report groups the selected bank draft rows by constituent. For each constituent, the id number, name from the worktable, and good preferred address are listed. For each failed bank draft transaction, the report will display the bank account type, the last four digits of the bank account number, bank routing number, the name on the bank account, and then the transaction type, solicitation, restriction, effective date,and amount of the dues transaction. Also displayed is the date the processing and verification attempt failed, and the reason for that failure.

Criteria:

The standard criteria selects Credit Card Rows with a NULL Credit Card Processed Date, and a Credit Card Method of Tender equal to Bank Draft, linked to Dues transactions with SPS Failure Count greater than 0 and whose Effective Date falls within a prompted date range

Bank Draft Error History Report - Giving

Purpose and Description:

Bank-Credit Transactions Processed - Dues

Purpose and Description:

This report lists those Dues transactions that were paid by Bank Draft or Credit Card and that were successfully processed and verified through Paya Payment Solutions today.

For each dues transaction, the report will display the constituent name and id, the dues effective date, the date the credit card or bank draft was processed, the type of dues transaction, the tender, process method, and transaction amount.

Criteria:

The standard criteria selects Credit Card Rows with Credit Card Processed Date equal to today and linked to transactions in Dues.

Purpose and Description:

This report lists those Gift transactions that were paid by Bank Draft or Credit Card and that were successfully processed and verified through Paya Payment Solutions today.

Campaign Report for Mobile

This mobile report shows a summary of the transactions that represent actual monies received (as opposed to pledges, credits, etc.) The transactions are grouped and totaled by Campaign.

Cash Receipts Detail

Purpose and Description:

This report details all cash receipts that have a process date during a specified time frame.

The report groups the selected transactions first by tender. Within each tender, they are sorted by account and then by date. For each transaction, the id number and name of the constituent, the User ID of the create user and the amount of the transaction are displayed. Totals are shown for each account within the tender, for each tender and a grand total for the report.

Criteria:

The standard criteria selects Transactions with a Type of Gift, Pledge Payment, or Bequest, whose process date falls into the prompted date range.

Cash Receipts Summary

Purpose and Description:

This report gives summary information on all cash transactions with a process date during a specified time frame.

The report shows totals for the selected transactions grouped first by tender. Within each tender, they are sorted by account and then by date. Totals are shown for each account within the tender, for each tender and a grand total for the report.

Criteria:

The standard criteria selects transactions with a type of Gift, Pledge Payment, or Bequest, whose process date falls between two dates that are entered as prompted replies at the time that the set of criteria is run.

Class Agent Detail

Purpose and Description:

This report provides a listing of the selected constituents, showing the name, id number, home and business address, as well as the current year's giving and pledge totals, last year's total giving, and lifetime giving. In addition, the report shows the date, gift type, amount, campaign, and purpose for the constituent's transactions for the previous five years. This report is designed to provide the type of biographical and giving history information needed by a class agent or other prospect manager.

Criteria:

The standard criteria selects all constituents from a prompted preferred year and calculates four totals for each. The first is a sum of the gifts, bequests, and pledge payments for a prompted date range (intended to be the current year. The second is a sum of the pledges for a prompted date range (intended to be the current year. The third is a sum of the gifts, pledge payments, and bequests for a prompted date range (intended to be the previous year). The fourth is a sum of all of the constituents gifts, pledge payments, and bequests.

Class Agent Summary

Purpose and Description:

This report provides a listing of the selected constituents, showing the name, id number, the current year's giving and pledge totals, last year's total giving, and lifetime giving. In addition, the report shows the number of constituents in the selected class, the number of donors, and the percentage. This report is designed to provide summary information useful to a class agent or other prospect manager.

Criteria:

The standard criteria selects all constituents from a prompted preferred year and calculates four totals for each. The first is a sum of the gifts, bequests, and pledge payments for a prompted date range (intended to be the current year. The second is a sum of the pledges for a prompted date range (intended to be the current year. Class Comparison Report

Purpose and Description:

This report shows giving statistics organized by preferred year. It compares each class's data for the current year with the same set of information for the previous year. It is useful in assessing alumni participation based on class year.

For each class, the report shows the number of alumni, the number of donors, the total of gifts and pledges, the average size of the donation for each year, the total balance remaining on all pledges made by the selected constituents, and a percentage of class participation. In addition, the report shows the number of donors, the total of gifts and pledges, average donation and percentage of participation for the previous year for each class.

Criteria:

The standard criteria selects all constituents who have a preferred year, and calculates three giving totals for each. The first totals gifts and pledge payments with effective dates between two prompted dates (intended to be the current year). The second totals pledges with a balance remaining. And the third totals gifts, pledges, and pledge payments between two prompted dates (intended to be the previous year).

Purpose and Description:

This report runs the Years Utility to create 'abila2' Consecutive Years Summary records in the Summaries data table. abila2 Consecutive Years summaries will display in the Constituent Summary page and on Touch Points in Millennium Drive.

For each credit card, the report will display the credit card type, the last four digits of the credit card number, and the expiration date, and then list for the linked dues transaction the pledge type, solicitation, restriction, effective date,amount pledged, and payment amount next due.

The standard criteria selects Credit Card Rows with an expiration date less than or equal to a prompted date, and linked to a Dues transaction. The Crystal format will select Pledge and Sustainer Pledge transactions from the records selected by the criteria.

The report groups the selected credit card rows by constituent. For each constituent, the id number, name from the worktable, and good preferred address are listed. For each credit card, the report will display the credit card type, the last four digits of the credit card number, and the expiration date, and then list for the linked gift transaction the pledge type, solicitation, restriction, effective date,amount pledged, and payment amount next due.

Criteria:

The standard criteria selects Credit Card Rows with an expiration date less than or equal to a prompted date, and linked to a Gift transaction. The Crystal format will select Pledge and Sustainer Pledge transactions from the records selected by the criteria.

Purpose and Description:

This report provides a listing of constituents who have made gifts during a specified time period, that were also credited to another constituent. The report organizes the information by the donor (creditor) and below each donor's name and id number, it shows the names, dates, and amounts of the credit transactions that are linked to that creditor's transactions, along with a total for each creditor.

The standard criteria selects all credit transactions with an effective date between two prompted dates.

Credits Received Report

Purpose and Description:

This report provides a listing of constituents who have credit transactions from a specified time period. The report organizes the information by the constituent who 'owns' the credit (creditee) and below each such name and id number, it shows the names, dates, and amounts of the constituent who 'owns' the giving transactions that generated the credit, along with a total for each creditee.

Criteria:

The standard criteria selects credit transactions with an effective date between two prompted dates.

Cumulative Giving by Class Report

Purpose and Description:

This report provides a listing of the cumulative totals of monies received for the annual campaign and the capital campaign, from constituents from each Class Year. It also shows a combined total giving for these two campaigns.

Criteria:

The standard criteria selects all constituents who have a preferred year, and calculates two giving totals for each. The first totals gifts, bequests, and pledge payments to the Annual Campaign. The second totals gifts, bequests, and pledge payments to the Capital Campaign or Rating Capital.

End of Year Acknowledgment

Purpose and Description:

This report is designed to print letters of appreciation to donor constituents for their contributions for the preceding year, in order to assist them in their tax preparations.  The letter includes a summary of the constituent's transactions, including the date, the type of transaction, the account, and the amount of each, and a total of those contributions for that year. 

Criteria:

The standard criteria selects all giving transactions from a prompted list of transaction types, and with effective dates from a prompted date range.

Purpose and Description:

This report provides a listing of constituents who have gift or pledge payment transactions in a specified time period. The report groups those transactions by constituent and displays a single line for each transaction under the constituent name and id number. Each line shows the campaign, purpose, gift type, solicitation, date and amount of the selected transactions. A total for each constituent is shown, and a grand total for the report is also shown.

Criteria:

The standard criteria selects gifts and pledge payment transactions with an effective date between two prompted dates.

Giving Changes by Constituent

Purpose and Description:

This report lists constituents who gave Last Year But Not This Year, organized by Constituent Type. It may be used to target solicitations. Since the donors listed have not given this year, giving for the previous two years is presented. The report groups the constituent names and id numbers by constituent type and also shows the preferred year and parent year (as appropriate).

Criteria:

The standard criteria consists of the following prompted criteria, which are available for use or exclusion as the report is run:

What constituent type(s) would you like to include?
What are the preferred year(s) for these constituents?
What attributes should these constituents have?
What attributes(s) should these constituents NOT have?

The criteria also includes the definition of three Totals, using prompted criteria, designed to be:

Sum: This Year's Giving. On and after what date were the gifts given?
Sum: Last year's Giving. What date range should be used?
Sum: Giving Two Years Ago. What date range should be used?

Criteria can be modified to narrow down selected constituents by region, class year, etc., or you may alter the selected Constituent Types, as long as the key table identification is not altered.
Totals can be modified to calculate combined spouse totals, or to target a specific solicitation or campaign.

The Include/Exclude deceased option may be changed if desired.

Honor - Memorial Donor Report

Purpose and Description:

This report provides a listing of donors who have made gifts in honor of others. The report is organized by donor name, and below the name, a single line displays for the name of each honoree. That line will show the words, In Honor of, or In Memory of, depending on whether the honoree is living or deceased. It will also show the date of the transaction, the campaign and the amount. If the honoree is a non-constituent, an asterisk will appear at the beginning of the line.

Honoree - Memorial Donor Report

Purpose and Description:

This report provides a listing of constituent honorees for a specified time period. The report is organized by the name of the honoree and labels the name as In Honor of or In Memory of, depending on whether the constituent is living or deceased.

Below the name of the honoree, the report shows a single line display of each transaction, including the donor's name, date, campaign, and amount. A total is shown for each honoree and a grand total for the report.

The report shows a total for each amount field, for each matching company.

This report lists constituents who gave this year who have never given before. The report groups the constituent names by constituent type and also shows the preferred year and giving information.

Two totals are defined and each calculates a total of all gift transactions and pledge payment transactions for a prompted date range. The first is intended to be the current year and the second is intended to be all previous years, so the same date should be used for both prompts.

Solicitation Detail Report

Purpose and Description:

This report provides detailed information used to evaluate the status and effectiveness of particular solicitation efforts.

It organizes this information according to the solicitation that is associated with each transaction. Within that grouping, each constituent's name, total of gift and pledge payments, total of pledge balances, and total for that solicitation are shown in a columnar display. Totals for each field are calculated.

Below the details for each constituent and the totals, the report provides analysis statistics for that solicitation. The number of pieces (usually the number of mailed pieces), the cost of producing those pieces, the average cost per donor based on the number of constituents who responded, and the average cost of the Solicitation per dollar raised by the effort.

This report counts donors, rather than donations. For statistical purposes, a constituent is counted once, regardless of the number of transactions that resulted from his contribution.

Solicitation Summary Report

Purpose and Description:

This report provides summary information used to evaluate the status and effectiveness of particular solicitation efforts. It displays the totals and analytical data in a columnar display, with a single line for each selected solicitation.

For each solicitation, the report shows the number of pieces produced, the total cost, and the average cost of producing a piece (using the information from the solicitation lookup table entry). Next it shows the number of constituents who have transactions credited to that solicitation, the total of all gifts and pledge payments, the total of all pledge balances, and the grand total of donations to that solicitation

Note that this report counts donors, rather than donations. For statistical purposes, a constituent is counted once, regardless of the number of transactions that resulted from his contribution.

VSE Survey

      

 

Purpose and Description:

This report is designed to provide information necessary to complete the Council for Aid to Educations Voluntary Support of Education (VSE) Survey. It is assumed that sites will transpose the information manually to the survey. Two versions of this report are available: Post-Secondary and Pre-College. Differences in the two versions are noted in this documentation.
This report provides information for Sections 1, 3, and 4 of the VSE. Information necessary to complete Section 2, Enrollment and Financial Data, is not provided by this report.
It will be necessary for individual sites to customize the report to match their specific reporting techniques. The following information will assist you in customization.

 

 

Criteria:

Mandatory Group: Specifies the date range of the report using the Process Date.

Group A:
Selects Pledge (gifttype = p) Transactions with balances greater than zero. This selection is used in section GF1a (Outstanding Pledges) of the Crystal Report.

Group B:
Selects Expectancy (gifttype = e) Transactions with balances greater than zero. This selection is used in section GF1b (New Testamentary Commitments) of the Crystal Report.

Group C:
Selects Bequest (gifttype = b), Gift (gifttype = g), and Pledge Payment (gifttype = y) Transactions that were made to Current Operation CAE accounts (codes = A, B, C, D, E, F, G, H, h, Y, Z) and are NOT deferred gifts. (Important: This report assumes that deferred gifts have gifttype = "g" and with a CAE Account Code of U, V, or W. This selection is used in section GF1c (Giving for Current Operations) of the Crystal Report.

Group D:
Selects Bequest (gifttype = b), Gift (gifttype = g), and Pledge Payment (gifttype = y) Transactions that were made to Capital Purposes CAE accounts (codes = I, J, K, L, M, N, O, P, Q, R, S, s, T, X) and are NOT deferred gifts. (Important: This report assumes that deferred gifts have gift type = "g" and with a CAE Account Code of U, V, or W. This selection is used in section GF1d (Giving for Capital Purposes) of the Crystal Report.

Group H:

If your site identifies Trustees in a different manner (for example,, by constituent type), the criteria will need to be altered. This selection is used in section GF1j (Direct Governing Board Giving for All Purposes) of the Crystal Report.

Group I:
Selects Bequest (gifttype = b), Gift (gifttype = g), and Pledge Payment (gifttype = y) Transactions that were made by CAE constituent types (codes = C, F, N, n, O, o, PF, R, r). This selection is used in sections GF1k and GF1l (Contributions from Organizations) of the Crystal Report.

Group J:
Selects Bequest (gifttype = b), Gift (gifttype = g), and Pledge Payment (gifttype = y) Transactions. This selection is used in section GF1m (Other Fundraising Activities) of the Crystal Report. (Note: This group is not included in the Pre-College report.)

Total 1 (Sum: Giving and Pledges):
Totals Gift (gifttype = g) and Pledge Payment (gifttype = y) Transactions during a specific Process Date range for each selected constituent. This date range must match the one used in the Mandatory Group. These totals are used in the Crystal Report in the following running totals: Largest Donation [Corporations, Foundations, and Living], 2nd Largest Donation [Corporations, Foundations, and Living], and 3rd Largest Donation [Corporations, Foundations, and Living].

Total 2 (Sum: Bequests):
Totals Bequest (gifttype = b) Transactions during a specific Process Date range for each selected constituent. This date range must match the one used in the Mandatory Group. Largest Donation Bequests, 2nd Largest Donation Bequests, and 3rd Largest Donation Bequests.

Report Explanations, Assumptions, and Customization Issues 

Section 1: Pledges and Testamentary Commitments

 

Outstanding Pledges (Cross-Tab):

Breaks pledges into two groups, current operations and capital purposes, and calculates amount and number of pledges. Codes for current operations and capital purposes are specified within the cross-tab and may need to be edited to suit your needs (see "How to Edit Cross-Tabs" below). All number counts, including totals, are regular counts.

 

New Testamentary Commitments:

These three values are calculated using the following running totals: Testamentary Commit Number, Testamentary Commit Face Value, and Testamentary Commit Present Value. The latter running total uses the giftnetpv field for its calculation. This report assumes that provisions made in wills or through revocable trusts have a gift type of "e" (Expectancy).

Section 3: Outright Giving

Displays summarized Capital Purposes CAE account amounts by Individual and Organization types, including on totals. Codes for Capital Purposes summaries are specified within the cross-tab and may need to be edited to suit your needs (see "How to Edit Cross-Tabs" below). Please note, Individual and Organization types in this section often contain more than one CAE constituency type. The formula "Constituent Types for Section 3" provides appropriate values.

 

Deferred Giving (Cross-Tab):

Displays deferred giving in the account categories of Endowment Unrestricted, Endowment Restricted, and Other Purposes (the latter contains all Current Operations and Capital Purposes CAE accounts that are not endowment-related) by Individual and Organization types. The top value in the cross-tab is face value and the bottom present value. Present value is derived using the giftnetpv field. Account summaries are specified within the cross-tab and may need to be edited to suit your needs (see "How to Edit Cross-Tabs" below). Individual and Organization types in this section often contain more than one CAE constituency type. The formula "Constituent Types for Section 3" provides appropriate values. (Note: The Pre-College report includes a separate grouping for "Grandparents".)

Section 4: Selected Details About Giving Reported in Section 3

Note: To allow this report to run more efficiently, values for "Number of Record" and "Number Solicited" are not calculated for Part 1A and Part 1B of the VSE. These values may be obtained by directly querying the database. "Number of Record" is defined as the number of living individuals in the given category for whom the institution believes it has a valid address or a way to contact. "Number Solicited" is defined as the number of individuals who were contacted in some formal manner during the reporting year.

 

Contributions from Individuals for All Purposes (Cross-Tab):

Displays individual constituency types by number of donors and amount. It does not distinguish among different levels of alumni based on degree (nor is this required by the VSE). Please note, "number of donors" is calculated using a distinct count, including on totals. Also, individual constituent types in this section sometimes contain more than one CAE constituency type. The formula "Individual Types for Section 4" provides appropriate values. (Note: The Pre-College report includes a separate grouping for "Grandparents".)

Contributions for All Purposes (Cross-Tab):

Displays contributions for all purposes from living individuals and through estate settlements by number of donors and amount. The formula "Living Giving and Bequests for All Purposes" is used to define gift categories. Gift and Pledge Payment Transactions are placed under "Living Individuals", and Bequest Transactions are placed under "Estate Settlements". Please note, "number of donors" is calculated using a distinct count, including on totals.

Three Largest Donor Totals from Individuals:

These values are calculated using the following running totals: Largest Donation Living, 2nd Largest Donation Living, 3rd Largest Donation Living, Largest Donation Bequests, 2nd Largest Donation Bequests, and 3rd Largest Donation Bequests.

 

Deferred Giving (Future Commitments):

These values are calculated using the following running totals: Deferred Giving Number Estimated or Added to, Deferred Giving Face Value, and Deferred Giving Present Value. IMPORTANT: Each of these running totals uses an evaluation formula for incidences of deferred giving. The "generic" formula used is based on CAE Account codes of U, V or W. If your institution uses another definition, you will need to modify this formula to suit your particular needs.

 

Appreciated Property Giving (Cross-Tab):

Displays individual gifts of securities, real estate, and other real property by number of donors and amount. Gift tender summaries are specified within the cross-tab and will need to be edited to suit your needs (see "How to Edit Cross-Tabs" below). The following codes have been used: Securities sec; Real Estate rp; Other Real Property pp. "Number of donors" is calculated using a distinct count, including on totals.

 

Direct Governing Board Giving for All Purposes (Cross-Tab):

Displays Governing Board number of donors and amount (as defined in Millennium Reporter Group H). "Number of donors" is calculated using a distinct count, including on totals. (Note: The Pre-College report breaks governing board giving into two groups: Current Operations and Capital Purposes. Use the grand total for reporting on the number (distinct count) of governing board donors. The Pre-College report does not calculate "Number of governing board members". )

Contributions from Foundations (Cross-Tab):

Displays foundation types with number of donors and amount. Foundation types are specified within the cross-tab and may need to be edited to suit your needs (see "How to Edit Cross-Tabs" below). "Number of donors" is calculated using a distinct count, including on totals.

Three Largest Donor Totals from Foundations:

These values are calculated using the following running totals: Largest Donation Foundation, 2nd Largest Donation Foundation, and 3rd Largest Donation Foundation. Codes for "Foundations" are specified within the running totals evaluation formulas.

Contributions from Corporations (Cross-Tab):

Displays gift tender types and matching gifts by number of donors and amount. Tender types and matching gifts are specified within the formula "Gift Tenders for Corporations" and will need to be edited to suit your needs. Changes made to the formula must also be reflected in the cross-tab (see "How to Edit Cross-Tabs" below). "Number of donors" is calculated using a distinct count, including on totals.

Three Largest Donor Totals from Corporations:

These values are calculated using the following running totals: Largest Donation Corporation, 2nd Largest Donation Corporation, and 3rd Largest Donation Corporation. Codes for "Corporations" are specified within the running totals evaluation formulas.

Purposes of Giving to Endowments: Income Restricted (Cross-Tab):

Displays restricted endowment account amounts. Account groupings are specified within the cross-tab and may need to be edited to suit your needs (see "How to Edit Cross-Tabs" below). (Note: The Pre-College report does not include this section.)

 

Support of Intercollegiate Athletics (Cross-Tab):

Displays support of extramural athletics for current operations and capital purposes. These categories are specified within the cross-tab as well as the formula "Support of Intercollegiate Athletics" and will need to be edited to suit your needs. Important: The formula contains the "deferred gifts" assumption used throughout this report and should be edited as appropriate. "Number of donors" is calculated using a distinct count, including on totals. (Note: The Pre-College report does not include this section.)

"Deferred Gift" Customization Summary

The report assumes that deferred gifts have gift type = "g" and have a CAE Account Code of U, V, or W. If your site uses a different definition, you will need to alter this to match your sites needs. The following items will require modification:

Millennium Reporter Criteria: Groups C, D, E.

Running Totals: Deferred Giving Number Estimated or Added to, Deferred Giving Face Value, and Deferred Giving Present Value (Running Total Condition Formulas on each).

Formula: Support of Intercollegiate Athletics.

How to Edit Cross-Tabs

Using Crystal Report Designer, right-click on the upper-left hand corner of the cross-tab. If the cross-tab uses grouping features, select the "Rows" value and then click the "Group Options" button. Then select the "Specified Order" tab and edit groups as needed.

Weekly Solicitation Comparison

Purpose and Description:

This landscape report will list the total gift amounts for each solicitation for an eight week span preceding the current date, plus a total for gifts made prior to the eight weeks shown.
