Standard Mailing Reports

The Mailing Reports Template Group contains report templates for creating envelopes, gift tickets, and different types of mailing labels.

When you activate the New Criteria item under the Reporting World in the Millennium Explorer, you will see the names of the standard reporting groups (libraries). When the Mailing group is selected, all standard templates available for that group will appear in an indexed page in the display frame to the right. Each template name in the group will appear in an alphabetical listing. You may scroll or use the index letters at the top of the page to locate the name of the desired template.

Each name appears as a hyperlink to the display of a Report Form, showing the suggested criteria and report options, which can be modified as necessary. Standard formats have also been established for each template.

Each report template in this library is described in the following document, with suggestions for user modifications. All report templates utilize the Millennium standard Generic Worktable. Each utilizes a standard Millennium format definition of the same name as the report template. These were created using the third party software, Crystal Reports.

In this document, each template description includes a thumbnail view of a sample report that was produced using the report template that is being described. For a larger view of the sample report, click on the thumbnail and an additional browser will open, showing a scanned image of the print version of the sample report. When you are finished viewing the larger image, close that browser and return to this document in the original browser.

Envelope

 

Purpose and Description:

This printout is designed to print continuous form envelopes without first entering the names and addresses into word processing. This report prints one envelope for spouse pairs if both are selected, unless that Report Option is altered. It may be set to produce the text in upper/lower case, or all uppercase.

Criteria:

The standard criteria selects all good, preferred addresses, valid in the current month.

Report Options:

Combine when both selected, Remove Multiples, Exclude deceased.
Remove spouses, Selected Address

Parameters:

Param 1: Sort By: 1=Alpha by Zip, 2=Alpha; 2
Param 2: Uppercase? Y/N; N

Sorting/Grouping:

The default sort for this format is alphabetical by constituent name.

HTML Compatibility:

Intended for printing but may be viewed in HTML display, though the formatting may differ.

Customization Tips

Criteria:

User can modify criteria to select constituents from specific states or zip code ranges, or to narrow selection with any other desired criteria. If Address is not used as the key table, verify that the radio button for the preferred address is activated on the Report Options page.

Options:

If separate envelopes should be printed for each spouse, use Do Not Combine Spouse Names option and set the Remove Spouses option to No.

Parameters:

User can set parameter 1 to sort alphabetically by Zip and/or parameter 2 to print in uppercase.

Gift Ticket

 

Purpose and Description:

This report is designed for use with a preprinted form, to produce a gift ticket (response card) to include in a letter of solicitation to the constituent. When the constituent returns this form along with a contribution, the processing of that gift is greatly streamlined. Use of a gift ticket may also serve as a means of collecting updated information that the constituent may report on the returned card.

This report prints one gift ticket for each alumni, individual, or parent constituent. It shows the ID Number, Pref Year, a preferred, good home address and a preferred, good business address. If a Solicitation is entered as a parameter, it will also print on the Gift Ticket.

Criteria:

The standard criteria selects all alumni, individuals, and parents.

Report Options:

Do not combine spouse names, Remove Multiples, Exclude deceased.

Parameters:

Solicitation?

Sorting/Grouping:

The standard sort for this format is by ZIP Code and then by name.

Intended for printing but may be viewed in HTML display.

Customization Tips

Criteria:

User should modify the criteria to select the set of constituents who will be solicited.

Options:

Name combining options may be changed as desired.

Format:

The format may be edited to specify addresses that are valid for the current month.

Label One Across 1.33 x 4

 

Purpose and Description:

This printout is designed for Avery labels and is used for general mailing purposes. This report combines spouses on one label if both are selected. Labels are printed one across and by default they print in uppercase, though they may also be set to print using upper/lowercase. The label includes the pref year and constituent type of the selected spouse.

Criteria:

The standard criteria selects all good, preferred addresses, valid this month.

Report Options:

Combine when both selected, Remove Multiples, Exclude deceased.
Remove spouses, Selected Address

Parameters:

Param 1: Print ID? Y/N; N
Param 2: Sort by: 1=Alpha by Zip, 2=Alpha, 3=Pref Year; 2
Param 3: Uppercase and Remove Punctuation? Y/N; Y

Sorting/Grouping:

The default sort for this format is alphabetical by constituent name.

If Address is not used as the key table, verify that the radio button for the preferred address is activated on the Report Options page.

Options:

Spouse options can be changed to produce separate mailings for each spouse by choosing the Do not combine spouse names and changing the Remove spouses to No, or the options might be changed to use the combined name if either one is selected.

Parameters:

Parameter 1 may be changed to include the constituent's ID Number. Parameter 2 may be set to sort alphabetically by Zip, or by pref year. Parameter 3 may be set to print in upper/lowercase and include punctuation.

Format:

The format could be edited to remove the preferred year and or the constituent type if desired.

Purpose and Description:

This printout is designed for Avery labels and is used for general mailing purposes. This report combines spouses on one label if both are selected and print the Constituent Type code and Pref year. Labels are printed one across and include company name and title if the preferred address is the business address.

The standard criteria selects all good or returned, preferred addresses, valid this month.

Report Options:

Combine when both selected, Remove Multiples, Exclude deceased.
Remove spouses, Selected Address

Parameters:

Param 1: Print ID? Y/N; N
Param 2: Sort: 1 = Alpha by zip. 2 = alpha. 3 = pref year; 2

The standard criteria selects all good addresses. The following prompted criteria are available for use or exclusion as the report is run:

The addrmc1 from the Address page must be checked/unchecked.
The Type from the Address page must be equal to...
What specific zip code(s) would you like to include?
What constituent type(s) would you like to include?
What are the preferred year(s) for these constituents?
What attribute(s) should these constituents have?
What attribute(s) should these constituents NOT have?

Report Options:

Combine when both selected, Remove Multiples, Exclude deceased.
Remove spouses, Selected Address

Key Table:

Any table may be used in the first line of criteria.

Format Name:

Label Three Across 1 x 2.625 MILL.rpt

Crystal Parameters:

Sort by Zip Code, Alphabetically, or by Preferred Year?

Purpose and Description:

This printout is designed for Avery labels and is used for general mailing purposes. This report prints the name, Constituent Type code, Pref year and address for all selected constituents. If the selected constituent has a constituent spouse, the spouse's name will be printed on the line below the selected constituent's name. 

Labels are printed two across and include company name and title if the preferred address is the business address.

Criteria:

The standard criteria selects all good or returned preferred addresses valid in the current month.

Report Options:

Do not combine, Remove Multiples, Exclude deceased.
Remove spouses, Selected Address

Parameters:

Param 1: Print ID? Y/N; N
