Standard Membership Reports

The Membership Reports Template Group contains templates for analyzing membership and dues activity.

When you activate the New Criteria item under the Reporting World in the Millennium Explorer, you will see the names of the standard reporting groups (libraries). When the Membership group is selected, all standard templates available for that group will appear in an indexed page in the display frame to the right. Each template name in the group will appear in an alphabetical listing. You may scroll or use the index letters at the top of the page to locate the name of the desired template.

Each name appears as a hyperlink to the display of a Report Form, showing the suggested criteria and report options, which can be modified as necessary. Standard formats have also been established for each template.

Each report template in this library is described in the following document, with suggestions for user modifications. All report templates utilize the Millennium standard Generic Worktable. Each utilizes a standard Millennium format definition of the same name as the report template. These were created using the third party software, Crystal Reports.

In this document, each template description includes a thumbnail view of a sample report that was produced using the report template that is being described. For a larger view of the sample report, click on the thumbnail and an additional browser will open, showing a scanned image of the print version of the sample report. When you are finished viewing the larger image, close that browser and return to this document in the original browser.

Life Membership Report

 

Purpose and Description:

This report is a listing of all constituents who have a 'life' membership. The report shows the constituents' Id Number, Name, Address, the beginning date of the membership, the Amount, the Balance remaining on the Amount, and the Billing Start Date.

Criteria:

The standard criteria selects all constituents with pledge transactions to a particular Account (Alumni Association--Life).

Report Options:

Do not combine spouse names, Allow Multiples, Exclude deceased.

Parameters:

None

Sorting/Grouping:

The standard sort for this format is alphabetical by member name.

HTML Compatibility:

This report is equally suited for viewing in HTML or printing.

Customization Tips

Criteria:

The criteria must be modified to select pledge transactions based on actual accounts used at your institution, or by any other criteria that is appropriate to your needs. Dues must be the key table.

Options:

Options should not need to be changed.

Format:

The format is looking for constituents with a Membership Type of 'life'. If necessary, you may change this according to your needs.

Membership Card

 

Purpose and Description:

This report prints membership cards for all members. The card shows the members' Name, Membership Type, and Expiration Date.

Criteria:

The standard criteria selects all constituents who own membership rows with a Start Date greater than zero.

Report Options:

Do not combine spouse names, Allow Multiples, Exclude deceased.

Parameters:

None

Sorting/Grouping:

This report is sorted alphabetically by member name.

HTML Compatibility:

This report is optimized for printing. When viewed as HTML, all data is shown, but spacing is not always as desired.

Customization Tips

Criteria:

The criteria should be modified to narrow the selection to the desired set of Memberships (by date). It might also be edited to prompt the user for the desired membership dates. The key table identification must not be altered. Users may also specify certain Membership types in the criteria.

Options:

The options will probably not need to be changed. If spouses can have joint memberships, you may choose the Combine Spouses When Both Selected option.

Membership Dues by Account

 

Purpose and Description:

This report shows membership cash received in a month's time period. The report shows each Account's total amounts and count, broken down into renewals, re-joins, and new memberships.

Criteria:

The standard criteria selects all Dues transactions with a process date between two Prompt Dates and also calculates a Current Dues Total and a Previous Dues Total, also based on Prompted Dates.

Report Options:

Do not combine spouse names, Allow Multiples, Include deceased.

Parameters:

None

Sorting/Grouping:

This report is sorted by the Account Name.

HTML Compatibility:

This report is equally suited to printing and viewing in HTML.

Membership Dues by Date

This report shows membership cash received daily for a specific time period. The report shows the daily total amounts and count, broken down into renewals, re-joins, and new memberships.

Criteria:

The standard criteria selects all Dues transactions with a process date between two Prompt Dates and also calculates a Current Dues Total and a Previous Dues Total, also based on Prompted Dates.

Report Options:

Do not combine spouse names, Allow Multiples, Include deceased.

Parameters:

None

Sorting/Grouping:

This report is sorted by Date.

Membership Expiration Report

 

Purpose and Description:

This report prints a count of memberships, by Membership Type, due to expire in each month for the coming twelve months.

Criteria:

The standard criteria selects all memberships with a Renewal Date.

Report Options:

Do not combine spouse names, Allow Multiples, Exclude deceased.

Parameters:

None

Sorting/Grouping:

This report is sorted by membership type (from the membership screen).

HTML Compatibility:

This report is equally suited to printing and viewing in HTML.

Customization Tips

Criteria:

The criteria must be modified to specify Renewal Dates in a desired date range. It might also be modified to select certain Membership Types as long as the key table identification is not altered. User prompts can be included if desired.

Membership Report

 

Purpose and Description:

This report shows a listing of all constituents for each Membership Type. The listing shows the Join Date and Renewal Date for each member and a count of the memberships of each Type.

Criteria:

The standard criteria selects active Memberships.

Report Options:

Do not combine spouse names, Allow Multiples, Exclude deceased.

Parameters:

None

Sorting/Grouping:

This report is sorted by the Dues Account Name, and then alphabetically by constituent Name.

HTML Compatibility:

This report is equally suited for viewing in HTML or printing.

Criteria can be modified to select any specific set of Membership rows desired, as long as Membership remains the key table.
