Account CAE

Table Name: account_cae

Used by the CAE field in the Account Numbers lookup table. When an Account Number entry is chosen for a Gift or Dues Transaction row, the CAE data from that entry is displayed with the long display of the Gift or Dues Transaction row, with the label, CAE Use. If your institution does not report to the Council for the Advancement of Education, you may choose not to use this lookup table.

Required Entries

If your institution reports to the CAE and you plan to use the standard Millennium CAE report to do so, the following standard entries (only) must be used in this lookup table:

Account Group

Table Name: account_groups

Used by the chart_grp field in the Account Numbers lookup table. Within that table, the field is labeled Group. Entries in the Account Group table may be defined in any way that your institution might want, in order to organize or classify Account Number entries in a specific way.

The use of the chart_grp and the Account Group lookup table (within the Account Numbers lookup table) is in addition to the chart_type field, which is driven by the Table Groups. All lookup tables include a "type" field driven by Table Groups, and usually that field is labeled Group. In the Account Numbers table however, it is labeled, Type in order to distinguish it from the field driven by Account Group.

Action Type

Table Name: action_type

Used by the Type field in the Action table to classify the nature of the Action being described in the row. These classifications are defined by your institution but might include such things as: follow-up call, dinner invitation, campus visit, proposal presentation, etc. When a Task is linked to an Action, the Task Type field will default to the value of the Action Type field. For this reason, each entry in the Action Types lookup table should have an equivalent entry in the Tasks Type lookup table. And, if an entry in the Actions Type lookup table is marked Inactive, then the equivalent entry in the Tasks Type table should be marked Inactive as well.

Major Gift Display

Millennium Drive provides an improved user experience for viewing Millennium data. Data is gathered from Biographical, Giving, Prospect Management, and from the Events world, and presented for viewing and analysis in a variety of ways.

Touch Points is a Constituents page in Millennium Drive. It is a timeline graph and listing of a constituent's interactions with your organization (touches) and of his or her major life events. The information that displays on the Touch Points page is pulled from different data tables. The system determines what data records to display based on the value of a Major Gift Display field in lookup tables. To display an Action on Touch Points, it must have an ActionType with the Major Gift Display field set to Y.

Address Types

Table Name: address_types

Used by the Type field in the Address Table to indicate the type of address. Examples might include: home, business, or school.

Required Entries

In order to use the Millennium Address function of Update/Archive, for every entry that you create in this lookup table, the system will a create a corresponding entry that is the 'Former' version. The Code for the 'former' entries will be the same as the original, but ending in 'f'. If the entry's code is 6 characters in length, the code for the 'former' entry will be the first five characters, plus the ending 'f'. The system will set the active flag (table_actv) and the Online Constituent Directory flag (table_ecom) to 'N'.

Address Utilizations

Table Name: address_utilization

Utilization codes provide the means to classify each address, phone number and email or web address with a use code that allows the organization to designate one or more specific mailing to that address. For example, seasonal greeting cards and the school's athletics newsletter may go the constituent's home address, while other mailings are sent to the business address. This lookup table uses a set of Codes which should not be changed. Rename the standard Values as you activate these lookup table entries for data entry.

Major Gift Display

The Major Gift Display column in the Utilizations lookup table controls the display of address, phone, and internet addresses (email or web) records in Millennium Drive. To display an address, phone, or internet address in Millennium Drive, give it a Utilization that has a Major Gift Display value greater than 0.The Major Gift Display value also determines the order in which records display in Millennium Drive. A record with a Utilization Order equal to 1 will display first, a record with a Major Gift Display equal to 2 will display second, and so forth.

Tip: Organizations that want the Preferred address to display first in Millennium Drive will need to set the Major Gift Display column equal to 1 for the Preferred entry in the Address Utilizations lookup table. And then, other addresses that will display in Millennium Drive must have a Utilization where the Major Gift Display has a value that is greater than 1. (Remember, addresses that will not display in Millennium Drive will have Utilizations with a Major Gift Display value of 0.)

Address Zone

Table Name: address_zone

This lookup table is used by the Zone field in the ZIP Code lookup table and the Zone field in the Countries lookup table when the Country is designated as non-USA. When a ZIP Code entry is selected for a USA Address row, the Zone that is associated with that ZIP Code is automatically entered into the Zone field in the Address row. When a non-USA Country is selected for an Address row, the Zone that is associated with that country is automatically entered into the Zone field in the Address row. The Zones that you want to use in the ZIP Code or Countries table must first be defined in the Address Zone lookup table. Zones may be defined in any way that your institution desires.

ADE Source

Table Name: ade_source

This lookup table is used by the ADE Source fields in the data tables and pending data tables to indicate the source for this information. This allows the Advanced Data Examiner to process pending data in data sets instead of all at one time.

Required Entries

Pending data rows that are created from entries by Online Constituent Directory users are automatically assigned a source of Online Directory and pending data rows that are created from data maintenance tasks performed by soft edit users are automatically assigned a source of Soft Edit. The following entries must be included in this table, and they must be marked as Active if you wish to have the pending data rows with these sources available to the Advanced Data Examiner.

This lookup table is used by the Descriptor 1 Attribute field. This field and the lookup table may be used in any way an institution wants, to further classify or categorize Attribute information.

Attribute Types

Table Name: attribute_types

Used by the Type field in the Attribute table to describe characteristics associated with this constituent. Any constituent characteristic not covered by another field may be assigned an Attribute Type. These attribute types are defined by lookup table entries. The Value from the Attribute Type lookup table is put in the Type field in the Attribute table.

To meaningfully group these Attribute types (lookup table values), assign a grouping code in the Type field of the lookup table entry. Attributes are often used to track participation in organization functions or participation in school activities.

For example, you might create attribute rows with values for football, baseball and track, but each having a group of Sports. Or you might create rows with values for Jaycees, Rotary and Kiwanis and those might have a group of Community Involvement. By doing this, you may define display filters or sorts, or reporting selection criteria based on the group designation rather than having to list each Attribute Type.

Linked Attributes

Attribute data rows may be independent (unlinked) or they may be linked to a Basic Data, Education, Employment, or Tracking data row. Each entry in the Attribute Types lookup table may be flagged as being available to use when creating or editing an Attribute that is linked to any one or combination of the aforementioned data tables, and/or to be used when creating or editing an unlinked Attribute. in any one or any combination of those situations.

For example, some institutions use Attributes linked to Education rows to create and track information about a constituent's participation in school activities such as sports teams. By flagging an entry as exclusive to Attributes linked to the Education table, those Attribute Type entries will not be available when creating an Attribute linked to a Tracking row.

Used by the Bank Account Type field in the gift, dues, and creditcard tables to describe the kind of account from which the funds were received.

CAE Categories

Table Name: cae_categories

Used by the CAE field in the Basic Data Table to identify the category designation for this constituent. Millennium uses the information in these lookup table entries to calculate data for the annual report to the Council for the Advancement of Education. The Values and Codes in this lookup table conform to the CAE designations. Note that although they may be similar, this designation is generally a broader, standardized classification than those in the Constituent Type Lookup table. If your institution is a school, college or university and does report to the CAE, do not edit, delete or add to this lookup table. If your institution does not report to the CAE, you need not use this lookup table, but in that case, it should have a blank entry.

Required Entries

Because Millennium uses these codes to trigger calculations and reports, you should not edit, delete or add to the entries in this lookup table. This lookup table is only used by those institutions who report to the CAE.

Campaign Division

Table Name: campaign_division

Used by the Default Division column in the Basic Data Table and the Division column in the Ratings table to classify constituents for a specific campaign and campaign year. You may want to classify your constituents in different ways for different campaigns, and monitor campaign goals and progress by using divisions.

Divisions can be based on characteristics such as previous giving levels, geographic regions, demographics such as gender, age and professional status, giving clubs, and/or industry, to name a few, and will vary in accordance with your particular organization and with the specific campaigns that you conduct.

Campaign Goals

Table Name: campaign_goals

Used by the Acct Goal field in the Gift, Dues, Planned Gift, and Proposal Tables and by the Goal field in the Chart of Accounts lookup table to identify which campaign goal will be credited with this row. Prior to a Fund Drive or Campaign, goals (usage designation as well as dollar amounts) are established for the gifts raised by this effort. This lookup table lists the use designations for a campaign (called goals), usually ten to twenty broad goals. By doing so, the solicitation can refer to this goal in hopes that a specific interest in that area will enhance the likelihood of a gift. This also allows the fund raiser to assess progress toward the completion of the monetary aim associated with this specific campaign goal.

Campaigns

Table Name: campaigns

Used by the Campaign field in the Gift, Dues, Actions, Planned Giving, Proposal, Screening, and Rating Tables in order to associate one of those rows with a particular Campaign. This lookup table is also used by the Solicitation and Chart of Accounts lookup tables, if those entries are specifically identified with a particular Campaign, and by the Coverage table if a coverage relationship only applies to a particular Campaign.

Names should be defined for each of the fund drives or campaigns for which a separate accounting is required. Some examples might be the Annual Fund, Capital Campaign, Tercentennial Campaign, etc. By recording the appropriate campaign with each giving transaction, the system is able to generate reports detailing the status of a campaign for any designated time period.

Entries in this lookup table may be chosen during data entry for the Campaign field in the Gift or Dues data table. If the operator does not specify a Campaign, the system will attempt to identify one and fill it in, using the rules that follow.

If the user enters a Campaign in the Transaction Insert form during data entry, that Campaign is used for the transaction. No further investigation is performed.

If no Campaign is chosen in the data entry form, the system next checks the Solicitation that was chosen in the Insert form and locates that entry in the Solicitation lookup table. It first checks the Default? flag (the field named sol_mand) for that Solicitation entry. If that is Y, it continues looking at that Solicitation lookup entry and finds the Campaign (sol_mand) and automatically copies it into the Gift or Dues Campaign field in the transaction that is being created. If either of those conditions is not met (this would include a situation in which the Solicitation is blank in the original Insert form or the Campaign is blank in the lookup entry), then go to step three.

If steps 1. and 2. have failed to identify a Campaign, then the system will check the Account that was chosen in the Insert form for the transaction and locate that entry in the Chart of Accounts lookup table. First it checks the Default? flag (chart_mand) for that Account lookup entry and if it is Y, it will continue and look for the Campaign (chart_camp) that is identified with that entry. If both of those conditions are met, the Campaign is automatically entered in the Gift or Dues transaction that is being created. If either of these conditions is not met (this would include a situation in which the Account is blank in the Insert form or the Campaign is blank in the lookup entry), then the Campaign is left blank in the transaction.

If none of the steps above result in the identification of a Campaign for the Transaction, the field is left blank.

This table includes a flag which is available for use by the optional Millennium component, eDirectory to indicate whether you do or do not want to include this table entry in the forms used to process online donations. If the flag is set to 'N', the entry can be suppressed in the Campaigns pull-down list. If it is 'Y', the entry can be included in the list as shown to the online donor. This field has no impact on the use of the lookup table entry in standard Millennium data entry.

Campuses

Table Name: campuses

Used by the Campus field in the School Table to identify a branch or campus of the institution identified in this row.

Chart of Accounts

Table Name: chart_of_accounts

This lookup table is also known as the Account Numbers table. It is used by the Account Number, Restriction, Account Department ID, Account Notify, Account Goal, Account CAE, and the Account School fields in the Gift and Dues Tables to ensure accurate selection of accounts.
This lookup table will help your institution accurately track each account. This lookup table has some unique display options and several unique columns.

Name designates the full name of the account number being described.

Acct # is the account number assigned to this account. This should be the same as that used by the Business Office.

CAE references the purpose classification assigned to this account for reporting contributions to the Council for Aid to Education (used by schools, colleges and universities.) This is not the same as the CAE field in the Basic Data table. (The CAE field in the Basic Data table categorizes the constituent and is named corecfae.)
This field is a one character code that is attached to each account number, and therefore embedded in each transaction, to describe the way the money is to be used. It is named giftacctcf. If your institution does not report to the CAE, you do not need to use this field. The standard codes for the CAE field within the Account Numbers lookup table are taken from the Account CAE lookup table.

Goal references the goal designation associated with this account number. It is a lookup table-driven field which references the Campaign Goal lookup table. Therefore, you must first establish the Campaign Goal lookup table before entering information in this field within the Account Numbers lookup table.

Divisions within the institution often want to be notified of gifts designated to their benefit. They may want to send their own Acknowledgment of those gifts. Division is a lookup table-driven field within the Account Numbers lookup table which indicates the name of the division within the institution that is to be the recipient of the funds credited to this account. The lookup table from which this field draws its value is also named Division. You may use this lookup table-driven field or you might prefer to use the field, Division ID which is driven by Millennium ID numbers.

Notify signifies whether the appropriate division wants or needs to be notified that funds are being deposited into this account. This is indicated by a Y or an N. This field acts as a flag for a report such as Departmental Notification.

Department ID is a field within the Account Numbers lookup table which holds the ID number of the constituent who will act as the contact within the Department associated with this account. When entering information for this field, the system performs a name/ID search to locate an existing constituent in the database. When one is identified, the ID Number is stored in this field in the lookup table and is subsequently copied from the Chart of Accounts entry to the giving transaction row.

Note: The database field name for Department ID is chart_dept.

Department is the Department with which this account should be associated. Department is a lookup table-driven field, controlled by the Department lookup table.

Note: The database field name for Department is chart_dprt.

Campaign is a field within the Account Numbers lookup table which is used to associate an entry with a particular fund raising Campaign within the institution. This field is driven by the Campaigns lookup table.

Default? is a field within the Accounts Numbers lookup table which signals the system as to whether the Campaign shown in this lookup entry should or should not be considered for use in the automatic fill-in feature in Giving data entry. See Campaigns for additional information on this topic.

Credit Account is a field within the Account Numbers lookup table which might be used to facilitate an interface with a third party accounting software package.

Debit Account is a field within the Account Numbers lookup table which might be used to facilitate an interface with a third party accounting software package.

80% Rule is a field (a one character flag) within the Account Numbers lookup table which may be used to signal the system that any Transaction that uses this Account Number should link an 80/20 Quid row to the transaction, and automatically calculate the Deductible Amount field as 20% less (or in other words, 80% of) than the full Amount that was entered. If this flag is set to N (No), the system will set the Deductible Amount equal to the full Amount.

Custom Columns These fields are available for your institution to use in any way desired, for any data not already contained in other fields in the Chart of Accounts. See Custom Columns.

Ecommerce? is a field (a one character flag) within the Account Numbers lookup table that is used by the optional Millennium component, Online Constituent Directory, to indicate whether you do or do not want to include this table entry in the forms used to process online donations. If the flag is set to 'N', the entry will be suppressed in the Chart of Accounts pull-down list. If it is 'Y', the entry will be included in the Account Numbers pull-down list shown to online donors. This field has no impact on the use of the lookup table entry in standard Millennium data entry.

Merchant ID is a field within the Account Numbers lookup table that is used by the optional Millennium component, Paya Payment Solutions. Millennium uses this field, together with the Merchant Key Account Numbers field, to associate a particular merchant account to this table entry. This merchant account, then, is the account that Paya Payment Solutions uses to process any donations made via credit card or bank draft, to this Account Numbers entry.

Merchant Key is a field within the Account Numbers lookup table that is used by the optional Millennium component, Paya Payment Solutions. Millennium uses this field, together with the Merchant ID Account Numbers field, to associate a particular merchant account to this table entry. This merchant account, then, is the account that Paya Payment Solutions uses to process any donations made via credit card or bank draft, to this Account Numbers entry.

Required Entries

There are no required entries in this lookup table. But, those institutions who report to the CAE must include the correct code for the CAE field within this lookup table.

Circle Definition

Table Name: circle_definition

The Circle Definition lookup table is used by the Circle and Circle Name fields in the Circle Members (circles) data table. It names and describes characteristics of a Circle that constituents might belong to.

Example:

John Smith, Joan Smith, Joe Smith, and Jody Smith are members of the same family. A row in the Circle Definition table, coded smith and named The Smith Family is created to name and describe this family.

John, Joan, Joe, and Jody are then assigned as members to The Smith Family Circle by adding individual rows in the Circle Members table.

Circle Position

Table Name: circle_position

The Circle Position lookup table is used by the Position field in the Circle Members (circles) table. It is used to designate the position or rank of a member of a Circle.

Example:

In The Smith Family Circle (example above), John would be assigned the Father position, Joan would be assigned the Mother position, and Joe and Jody would be assigned to Child positions.

Alternatively, John and Joan could be assigned to Elder positions, and Joe and Jody would be assigned to Child positions.

Circle Types

Table Name: circle_types

The Circle Type lookup table is used the Type field in the Circle Definition (circle_definition) lookup table and by the Type field in the Circle Members (circles) data table. It is used to describe the type of Circle.

Example:

It would be logical to assign a Type of Family to The Smith Family Circle (in the example above).

Citizenship Types

Table Name: citizenship_types

The Citizenship Type lookup table is used by the Type field in the Citizenship table which is attached to Basic Data. Although you may use the field and lookup table as you want, it is designed to designate whether the table row represents Visa or Citizenship or Passport or some other kind of nationality information.

Comment Types

Table Name: comment_types

Used by the Type field in the Comments Table to classify or categorize the free text comments kept in that table. Some possible categories you might want to establish could be: biographical, financial or confidential. By categorizing these comments, you can facilitate the ability to print out only certain types of comments. For example, you may want to exclude confidential comments from a printed report.

This entry is required for those rows in the Comments Table that hold alerts information.

Concentrations

Table Name: concentrations

Used by the fields, Concen1, Concen2, Concen3, and Concen4 in the School Table to indicate the area(s) in which the constituent majored, while attending the institution identified in that row.

Constituent Types

Table Name: constituent_types

Used by the Const.Type field in the Basic Data Table to describe the classification of this constituent. In some cases, your institution must develop a "hierarchy" of Types for situations in which the constituent falls into more than one classification. For example, some constituents are both alumni and parents. You must decide which of these Types will take precedence in the Constituent Type field. (Additional Types might be maintained as attached Attributes, if you want.)

You should also be aware that Millennium uses the information in the Group field of these lookup table entries to determine the kind of Basic Data page to use for this constituent (individual, corporation or foundation). You may add entries to this lookup table as long as you conform to the conventions surrounding the Group field, as described below.

The Constituent Type field is also used in calculating the number of alumni that a corporation or foundation employs. This information is held in the Known Alumni field in the Basic Data row belonging to the employer. It is automatically increased when an employer/employee Relationship is created between the employer and another constituent whose Constituent Type Code is A (Alumni).

Required Entries

Because Millennium uses the Group field entries in this lookup table to determine whether a constituent is an Individual, Corporation or Foundation, entries you make to this lookup table must observe the following protocol:

Any Code and Value that represents a corporation (whether public, private or any other designation) should use Corporation in its Group field.

Any Code and Value that represents a foundation (whether family, matching, or any other designation) should use Foundation in its Group field.

Any Code and Value other than Corporation or Foundation will be interpreted to represent an individual (whether it is a parent, friend, employee, alumnus, or any other designation you might choose). This includes a blank Group.

Note that the Group field in this lookup table is driven by the Table Groups lookup table. This means that a Group must be present in that lookup table before it can be used in the Group field in the Constituent Type lookup entries.

Touch Points is a Constituents page in Millennium Drive. It is a timeline graph and listing of a constituent's interactions with your organization (touches) and of his or her major life events. The information that displays on the Touch Points page is pulled from different data tables. The system determines what data records to display based on the value of a Major Gift Display field in lookup tables. To display a Correspondence record on the Millennium Drive Touch Points view page, it must have a Corresp. Name with the Major Gift Display field set to Y.

Note: A correspondence record displays on theTouch Points view page only if the Major Gift Display field for both the Correspondence Name and the Correspondence Type are set to 'Y'. If the Major Gift Display field for Name is set to 'Y', but the Major Gift Display field for the Type of correspondence is set to 'N', and vice versa, then the correspondence record will not display.

Countries

Table Name: countries

The Countries lookup table is used by the Country field in the Address table, by the Birth Country field in Basic Data, and by the Country field in the Citizenship table. You may designate any set of entries in this lookup table as Non-USA countries by entering the code, "for" in the Group field for each.

When a Non-USA Country is used in the data, the Address row will display Non-USA, and the ZIP Code field will accept any text you enter without comparison with the US ZIP Code table. In addition, the Region, District, Territory, and Zone fields in the Address will be populated from the corresponding fields in the Countries lookup table, rather than from those fields in the ZIP Code lookup table, as is the case if the Country is blank or USA.

Cultivation

Table Name: cultivation

Used by the Cultivation field in the Rating Table (which is attached to the Tracking row) to define a level of cultivation toward a major gift , as assigned by the tracking staff. These levels are institution defined, but might include such entries as, Not yet begun, Just begun, In progress, etc. or a more general set of descriptions such as Level 1, Level 2, etc.

Currency

Table Name: currency

Used by the Currency field in the Gift and Dues Tables to describe the type of currency for a transaction (U.S., Canadian, etc.). In addition to the standard set of fields for lookup tables, this table includes a field for the exchange rate that is currently associated with that currency. It is assumed that the numeric value that is entered in that field is the value of the currency as compared to a single unit of your institution's native currency.

When a Currency Type is chosen in a Gift or Dues Transaction, the Exchange Rate from that lookup table entry is also copied into the Gift or Dues row. This will reflect the information in the table at that time. If you choose to use the Exchange Rate field, you must understand that maintaining accurate information for it can be a considerable task!

Table Name: department

This lookup table is used by the Department field in the Education table and in the Chart of Accounts. It is used to identify the Department within the Institution with which the constituent or the account is associated.

Districts

Table Name: districts

Used by the District field in the ZIP Code Lookup table, and by the District field in the Countries lookup table for 'non-USA' entries. When a ZIP Code entry is selected for a USA Address row, the District that is associated with that ZIP Code is automatically entered into the District field in the Address row. When a non-USA Country is selected for an Address row, the District that is associated with that country is automatically entered into the District field in the Address row. Districts, Regions, Territories, and Zones are used to group constituents by geographic area as defined by your institution. This may follow any scheme that you want but would probably be a broader category than a city or state.

Division

Used by the Division fields in the Actions, Event Actions, Chart of Accounts, Dues, Giving, Planned Giving, and Proposal tables to identify the department within the institution for which gifts are being solicited or received.

Donor Rating

Table Name: donor_rating

Used by the Ask Rating field in the Rating Table (attached to the Tracking Table) to indicate the donor's potential to give as described and assigned by the research staff, or the Rating field in the Screener table to describe a screener's assessment of the constituent's potential to give. This may be defined in any way that you choose but might consist of a set of giving ranges such as: $1,000-5,000, $5,000-$10,000, etc.

Dues Batch Number

Table Name: dues_batch_number

Used by the Batch Number field in the Dues Transaction Table to assign a batch number to a group of transactions to process together. Note that the Group field in each Batch lookup entry should be designated as "open" or "closed" to indicate the status of each batch. Rows in the Dues Table which include a Dues Batch Number with a Type of "closed" cannot be edited or deleted without particular security for those functions.

The Gift Batch Numbers and Dues Batch Numbers lookup tables are maintained outside the standard methods for performing Lookup Table Maintenance. These two tables are maintained via the Batch Control item under Tools in the Millennium Explorer.

Values in this lookup table may be up to ten characters long, and there are no table 'Codes'.

Dues Types

Table Name: dues_types

Used by the Type field in the Dues Transaction Table to describe the type of transaction (Dues Transaction, Pledge Payment Void, etc.) This is a standard Millennium lookup table and it should not be changed or added to since many of the internal processes depend on the entry in this field.

Required Entries

Because Millennium uses these codes to trigger calculations, you must not edit, delete or add to the entries in this lookup table. Note that these codes and values are the same as those used in the Gift Type lookup table except for Dues Transaction, Dues Journal and Dues Void, and Sustainer Pledges (not used in Dues).
During data entry, only seven of these lookup table entries may be manually entered by the operator, and those should be flagged as active. All others must be generated by the system and therefore must be flagged as inactive for data entry purposes. All types (active or inactive) are available for criteria selection purposes in the Millennium Reporter.
