Map Data
Maps is a component of the Reporting World within Millennium. It integrates Microsoft MapPoint™ software with information from the Millennium database. This Millennium information is stored in a worktable that a user owns. MapPoint™ can use this information to create several types of maps, for a variety of purposes. For examples:
- Travel - Create a road map using constituent locations (or hand-entered ones) as stops along a route of travel. Produce detailed travel directions, locate restaurants, lodging, and other points of interest that are nearby, calculate travel times, costs and distances, and print out that information. You might use this feature to prepare for a trip to visit several prospects.
- Planning - Create a data map based on constituent information and examine it for the purpose of planning. Such maps might be shaded areas and you may zoom in to focus on any particular area. You might use a shaded area map of constituent locations to determine the best venue for a fund-raising event that will have the greatest potential attendance.
- Data Analysis - Create data maps based on constituent information for the purpose of analyzing the data, looking for geographic trends. You might use a shaded area map based on giving totals to a particular solicitation to see if there are geographic trends in the response to that solicitation.
MapPoint™ Help
The purpose of the Millennium Help topic is to give the information needed to launch MapPoint™ from within the Millennium interface, using the information from Millennium as the points of data.
MapPoint™ has its own comprehensive Help system to provide guidance for creating, modifying, and using maps, and navigating within the MapPoint™ software, once the MapPoint™ Data Mapping Wizard is accessed.
- Access MapPoint™ Help while using the Data Mapping Wizard by clicking Help.
- Once a Map displays, access MapPoint™ Help by clicking the Help menu's Microsoft MapPoint™ help item. Or, you may click on the MapPoint™ Help icon instead.
MapPoint™ Requirements
- MapPoint™ must be installed on the client machine.
- MapPoint™ users must be a constituent in the database, and the user's User ID must be linked to the user's constituent ID number. A system administrator can configure this for each MapPoint™ user. See the User Security, User Maintenance for details.
MapPoint™ Set Up
- Create report criteria that will select the constituents whose information you want to map.
- Select Remove Duplicates from the list of Duplicate Options.
- If the report does not include any address criteria lines, then the Address Report Option must be set to Preferred. If the report does include address criteria lines, then the Address Report Option can be set to either Preferred or to Selected. See the Report Options topic if more information is needed.
- If the purpose of the map is to do data analysis that is based on constituent giving information, the report criteria must include meaningful Totals. See the Report Totals topic if more information is needed. Up to five totals can be included. Total1 through Total5 of the worktable will be available on the MapPoint™ Data Mapping Wizard for the various options the MapPoint™ will allow you to set.
- Run the criteria for the User ID who will be creating a Map with this information. Verify that the Save worktable option is selected. If more information is needed to complete this step, see the Run Report Criteria topic.
- Alternatively, you can select constituents whose information you want to map by executing and then saving the results of a Standard or Advanced Search query.
Creating and Saving a New Map
- Access the New Map page by using Millennium Explorer, Reporting > New Map.
- Click Select a Worktable. The Load Table form displays. Every worktable that your User ID owns will be listed.
- Select the name of the worktable that you want to load.

Click Accept.
Other buttons on the Load Table form:
Cancel will close the Load Table form.
Delete will delete the selected worktable. A confirmation message will be shown before the system deletes the worktable.
- The MapPoint™ interface launches in a new browser window, and displays the Data Mapping Wizard. MapPoint™ now has control.
- Click the button that corresponds to the Type of map that you want to create. When a button is clicked, notice that the wizard displays a description of the map type that you have selected.
- Click Next.
- The wizard displays a screen on which you will choose additional settings. What screen displays depends on the Type of map that you want to create. Choose your settings as desired. If you need help in making your selections, click on the wizard's Help button.
- Click Finish.
- MapPoint™ constructs and displays the map. The data points are based on the information in the selected worktable and the settings chosen in Step 6. Use the MapPoint™ tool bars and menu items to navigate, change settings, change appearances, and so forth, as desired. If help is needed, access the MapPoint™ Help system by clicking the Help menu's Microsoft MapPoint help item. Or, you may click on the MapPoint™ Help icon instead.
- Click the Save button, or click the File menu's Save item to save the map. Save as a MapPoint map (extension .ptm) file type.
- To exit MapPoint™ and return to Millennium, click on the MapPoint™ File menu Exit item.
Access an Existing Map for Viewing and Editing
- Access the View Map page by using Millennium Explorer, Reporting > View Map.
- Click Browse. The Choose File to Upload dialog displays.
- Set Files of type to All Files.
- Use the controls to browse to the location of the map. The selected file must have an extension of .ptm.
- Click Open. The path and name of the map now displays in the Location field.
- Alternatively, you may directly enter the path and name of the map (including its .ptm extension) into the Location field.
- Click Open Map. The MapPoint™ interface launches in a new browser window, and displays the selected map.
- Use the MapPoint™ tool bars and menu items to navigate, change settings, change appearances, and so forth, as desired. If help is needed, access the MapPoint™ Help system by clicking the Help menu's Microsoft MapPoint help item. Or, you may click on the MapPoint™ Help icon instead.
- If you want to save changes to the map, click on the Save button, or click the File menu's Save item to save the map. Save as a MapPoint map (extension .ptm) file type.
- To exit MapPoint™, click on the MapPoint™ File menu Exit item.
Deleting an Existing Map
Maps can not be deleted from within the Millennium application. You must use Microsoft Windows Explorer, or the equivalent operating system navigation tool, to delete Map (extension .ptm) files.
