System-Generated Names

When a Name row is created for a constituent, you enter the specific "pieces" of the constituent's name into distinct text boxes and therefore into individual fields in the Name row. The system will use that information to construct several variations of the constituent's name, and will maintain those variations in individual fields in the Name row.

Constituent Name Variations

Formatted Name

This is the complete name, made up of the Title_First Name_Middle Name_Last Name, _Suffix using the exact data that is contained in the individual columns. If the Suffix is a Roman numeral, the comma between the name and Suffix is omitted. ('_' denotes a space.)

Salutation

this is the constituent's Title (if any) and Last Name. Other circumstances can affect this form as described in the Salutation Rules.

Combined Name

When the constituent has a constituent spouse, the system will generate a combined form of the formatted name for use by the Millennium Reporter, according to the options that are activated in that process. Many circumstances can affect this form as described in the Combined Name Rules.

Combined Salutation

When the constituent has a constituent spouse, the system will generate a combined form of the salutation name for use by the Millennium Reporter, according to the options that are activated in that process. Many circumstances can affect this form as described in the Combined Salutation Name Rules.

These "pre-constructed" name forms are beneficial in two ways. First, they can streamline reporting by eliminating the need for the Millennium Reporter to construct the names during the selection and formatting process - the appropriate name field is simply copied from the Name row in the database. Secondly, by storing these forms of the name in the Name row, you have easy viewing and editing access to the system-generated data, in case you or the constituent prefers to use an alternate construction than that generated by the system.

Overriding System-Generated Names

By entering the form of the Name that you want to use and checking the Override check box, you can control the exact construction of the name that will be used. And, each form of the name may be system-generated or it may be overridden, independently of the other three names on that same form.

The Override option on a Combined Name or Combined Salutation may be used regardless of the presence or absence of a spousal relationship in the database, or the presence or absence of a Name row of the same type for a constituent spouse. But, if there is a constituent spouse with a Name row of the same Type, the Combined Name or Combined Salutation (whether system-generated or overridden) for one of the spouses will automatically be copied to the corresponding field in the corresponding row for the other spouse. In other words, if you override the Combined Name or Combined Salutation for one of the spouses, the Combined Name or Combined Salutation for the other spouse will be overridden as well.

If the override check box is not checked, the system will generate data for the name variation.

* In Step 13, the system will attempt to temporarily assign a Title to a constituent if that constituent has a blank in the Title column in his or her name row. This temporary title is not inserted into the Title column in the Name row, and it will not be used in Steps 15, 18, and 19. These steps use Formatted name data. The temporary title will only be used (if appropriate) in Steps 21 and 22.
