ZIP Code Address Update Utility

The ZIP Code Utility is designed to update the data in Address data rows, to bring each into conformity with the current information in the ZIP Code lookup table. This utility would typically be run after you have made changes to the ZIP Code table, or after running the ZIP Table Update utility. In addition to keeping your Address information current with changes that the USPS may have made to the ZIP Codes, it also allows you to define or re-define the Districts, Regions, Territories or Zones as your institution wants to define them and then apply those definitions to the existing Address information.

The Address field updates may be made for Cities, State, Counties, District, Region, Territory, Zone, and Time Zones or any combination of those columns. This utility updates Address rows where the Country field is either blank or USA (only).

This utility does not use the SQL Views for the Millennium data tables.

Utility Classification

The utility includes the option of overwriting existing lookup table entries and existing Address data. Therefore it is classified as a system administrator tool.

Using the ZIP Code Utility

Before running the utility, MAKE AND VERIFY A BACKUP OF YOUR DATABASE.

Running the Utility

Although much of Millennium's back end work is accomplished using various Microsoft Windows applications, all of those applications and the associated files are not necessarily present on every workstation at your institution. Therefore, you must consider the following requirements when deciding which of the workstations you will use to run this utility. The workstation must have:

The ZIP Code Address Update Utility is run in it's own application window. It must be activated by locating the program file ZipcodeAddressUpdate(.exe) using the Microsoft Windows Explorer or other appropriate tool, and then double clicking the program name.

You will be presented with an Application form that displays check boxes for each of the following fields from the Address data table:

City

State

Counties

District

Region

Territory

Zone

Time Zones

Caution! Give particular consideration to your decision regarding the update of the City (addrcity). In standard data entry Millennium allows you to override the City that is associated with a ZIP Code to accommodate a constituent's preferences. If you run this utility and choose to update the City field, all Address rows with one of the specified ZIP Codes will be brought into conformity with the City data in the text file, overwriting data that may have been present due to the constituent's preference (also known as 'vanity names').

The run of the utility is initiated by clicking the Start Button or by clicking the File menu Start item.

You will first be prompted to login to the Millennium Database with ODBC, specifying Web SQL (or another Data Source Name that you may have set up). You must login as either the Database (sa or MILLORA User ID) Administrator or as a Millennium system administrator.

Following a successful login to ODBC, the utility will locate each Address row with a Country of USA or blank, and will compare the ZIP Code field from those data rows to the data in the ZIP Code lookup table. It will update the fields in the Address rows to correspond to the data in the lookup table, in accordance with the check boxes you activated in the utility form. For those rows that are updated, the addrdate field will also be updated to reflect the utility run date.

As the utility is processing, a run form will be displayed to show the progress of the utility.

Using the ZIP Code Address Update Utility

  1. Perform a database backup and verify your backup. DO NOT SKIP THIS STEP.
  2. Use the Windows Explorer or other tool to locate the zipcodeaddressupdate.exe program file and double click on it to launch the utility. It should be found in wwwroot\mill\tools.
  3. Click the desired check boxes for any combination of the City, State, County, Time Zone, District, Region, Territory, and Zone fields to indicate which you want to have updated by the utility.

    Caution!

    If you choose to update the City portion of the Address data, any existing City override information (for the specified ZIP Codes) will be updated to make that field conform to the data in the ZIP Code.

    Constituent preferences will be overwritten by the utility.

  4. Click the Start Button . Or, on the File menu, click Start. Execution of the program begins.
  5. As prompted, select a machine data source. This will probably be Web SQL but could be another data source you may have set up.
  6. You will be prompted to login using a valid Millennium user ID and password. You must login as either the Database (sa or MILLORA User ID) Administrator or as a Millennium system administrator.
  7. Upon successful login, the program will begin processing each Address row. As it runs, the progress of the utility will be displayed.
  8. When the run is finished, you will be given a message box indicating that the process is complete. Click OK to clear it. Click File > Exit to close the utility application window.
