Securities

The Securities table is a secondary table whose rows may be attached either to a Gift or Dues Transaction row. When the Securities information is displayed, it is incorporated into the information in the Long display of the primary row. When the primary row is created and the Tender Type of Securities is chosen, the system will offer the Securities table input form so that the additional details regarding the receipt of the certificates, and the subsequent sale of the stocks or bonds.

When a constituent makes a donation in the form of stock or bond certificates, it is often the case that the certificates are actually received at a different time than the notification of the donation. This also means that the value of the donation at the time of announcement may be different than at the time of its receipt and also different from the value at the time of sale. While the primary Gift or Dues Transaction row may track the value of the donation at the time that the constituent makes the commitment from a fundraising perspective, the information in the Securities table also tracks the information on the transfer, providing the details that may be required by the business office.

Fields in this table allow you to track the brokerage company and representative who handled the sale, along with the dates and actual value of the transfer.

Each Gift or Dues Transaction row may have multiple attached Securities rows, in combination with any other secondary rows (unless the transaction has a Type of Credit.)  If you choose to add additional Securities rows, you may do this from two places. The first is, while you are currently inserting a Gift or Dues row with a Tender of Securities, the first Securities row will appear allowing you to insert the information for the first Securities row, then while you are on the present Securities screen, you will need to check the box stating Multiple Securities. When this box is checked, you will be prompted with another Securities row to Insert. You may continue to do this until the Securities information has been fulfilled. When you no longer need additional Securities rows to appear, simply leave the Multiple Securities check box unchecked as it will insert the row you are currently on. The second is, after the Gift or Dues row with a Tender of Securities has been inserted you may use the Transactions menu item from the Edit Menu (fly-over menu) and select Add Securities. This will display the Securities insert form where you can add one row or multiple rows as mentioned above. It is important to note that the value of the securities (stocks) can change between the time of donation and the time when they are sold. Most times the amount the donor expects is recorded but may not add up to the actual amount received. Not requiring the securities to add up to the original gift amount allows the flexibility to record the donation as needed. Meaning that the system allows you to enter in an amount of the securities greater than the original gift amount.

Customize Securities Data Display and Maintenance Forms

  1. Using Internet Explorer as your browser, log on to the system as a Millennium system administrator.
  2. Access the Profiles version of the Custom Display Designer by using Millennium Explorer, Tools>Display Design>Profiles.
  3. Click the Profiles item on the Navigation Tool Bar to access the Display Designer's context menu. Point to the Giving menu item and then click on the Securities item.
  4. Click Display Type and click on the desired Display Type menu item (for example, Long or Short).
  5. Utilize the Custom Display Designer's editing tools to make your customizations.
  6. Click Save to save and apply your changes.

Securities Field Descriptions

Securities data is stored in the securities data table. The following fields are included. The field labels and non-displaying designations that are listed here are those that the system uses by default. If you wish to override these default settings, you must customize your display definition.

Note: Custom fields are included in the data table, and are available for any purpose that you want to define. These fields are not shown on the standard Display or standard Data Maintenance forms. If you want to make use of one or more of the custom fields, use the Custom Display Designer to edit the standard Display and Data Maintenance forms.
