Online Constituent Directory Reports
Two Standard Millennium reports are available for you to use to inform your constituents of their Online Constituent Directory log on credentials (user name and password) - The Online Constituent Directory Report and the Online Constituent Directory Export.
Both reports are located in the Biographical Reports Template Group, within the Online Constituent Directory Report Group.
These reports can only be run by those Millennium Users who have been granted Data Examiner table rights through Group/User Security.
For both reports, the default line of criteria asks for Constituent Type in the list of specific constituency types. You may edit this default criteria line, or add any additional lines of criteria as you want, but the key file must remain Basic Data. See Report Criteria Organization for information on working with criteria.
Recall that Millennium encrypts each constituent's Online Directory password before storing it in his or her Basic Data row. Online Constituent Directory reports use the Ecommerce Users export worktable (named GENERIC_ECOMM) to provide the decrypted values of these passwords to use with the Crystal report format, or the export, depending on which report you run.
If you have set the Ecommerce Password Default Report Option to Yes, Millennium will include in the Ecommerce Users export worktable only the constituents whose user names (coreuserec) are not blank and who are required to change passwords when they next log on to the Online Constituent Directory (core1passw = 'Y'), from amongst the constituents that are selected based on the report criteria that you specified. If you have set this option to No, then Millennium will include all of the constituents that are selected based on your specified report criteria.
Millennium Reporter will not save the worktables that are generated when these reports are run.
Online Constituent Directory Report
The Online Constituent Directory Report looks much like a word merge letter. Its purpose is to inform your constituents of the availability of an online directory at your institution, as well as to supply them with the credentials that they need to log on. The standard report will print a 'letter' for each constituent and will contain:
- the date on which the report was run
- the constituent's address (see the notes about Chosen Address within the Export Worktable topic for details about the address that appears on this report)
- Dear (Salutation): (see the notes about Salutation within the Export Worktable topic for details about which salutation appears here).
-
A paragraph stating the following:
Millennium is offering a new Online Constituent Directory service. We hope you will enjoy using this service and find it more convenient than traditional mailings or phone calls.
To use our new Online Constituent Directory, simply log into our website at www.ourorganization.com. Your login will be <coreuserec> and your password will be <corepwdec>. You will be asked to change your password upon logging in for the first time.
We hope you enjoy using our Online Constituent Directory. Please let us know what you think.
- Sincerely,
- Development Director
The body of the paragraph can be changed to reflect your institution's specific information.
Online Constituent Directory Export
The Online Constituent Directory Export will create a file which includes nine columns:
- Constituent's ID number
- Name (see the notes about the Chosen Name within the Export Worktable topic for details about which name will be exported)
- Salutation (see the notes about Salutation within the Export Worktable topic for details about which salutation appears here)
- Preferred Year
- Constituency Type
- Login ID (user name)
- Password, decrypted
- email address
You may use this export file to create your own means of distributing the log on information, such as an MS Word Merge, if you choose not to use the standard Online Constituent Directory Report.
