Introducing the Online Constituent Directory
If your institution has chosen to purchase and use the Online Constituent Directory module of Millennium, you will be provided with several components that will allow you to create an institutional website that is integrated with controlled portions of your Millennium database. If you prefer, you may link the same functionality to an existing website for your institution.
The initial step to gain access to and set up the Online Constituent Directory is from within Millennium. The system administrator ('sa' for SQL and 'MILLORA' for Oracle) will need to log in to Millennium. Navigate to Group Maintenance by using Millennium Explorer Tools >System Upkeep > User Security. Select the group or groups to which you want to grant access to this module. Check 'Grant Rights to Data Examiner Tables'. The group, and all of the users within the group will now have access to the components of the Online Constituent Directory module.
The following functions and the software components are described in the topics in this section:
Sample Website. The sample website which is intended to serve two purposes. First, it provides an example of the way in which the various Millennium online Directory components can be integrated into an existing website. Secondly, if an existing website is not available, the sample may become the foundation for creating such a site with built-in Online Constituent Directory capabilities.
Navigation, the display of data from the database, and forms allowing for constituent edits for the website are achieved by the use of scripts, form tags, and Smart Tags, which have been created for the constituent directory, for online giving, and for online reports. Constituent Login and Authentication. A Login Creation Utility is available as part of the Online Constituent Directory module, which allows you to select from a set of possible data elements to use as the initial User ID and the Password and to populate those fields in the Basic Data row for each of your constituents. Once the Login Creation Utility has been run and the values have been posted to the Basic Data row, you can run a report to pull out this information and send it out to the constituents. Online Constituent Directory. One of the main features of the Online Constituent Directory website is the online publication of constituent data from a selected set of the Millennium data tables. These data tables are: Basic Data, Name, Address, Phone, Education, Employment, Attribute, Spouse Relationships, Internet Address, and Custom Bio. If so desired, a constituent may submit to your institution data edits via this online publication. See Online Constituent Directory for more information.
Website Setup. The Setup functions for the Online Constituent Directory allow you to choose appearance factors such as colors and fonts, define filters and sort orders for the data to be shown, determine publishing options on a table-by-table basis, and determine whether data edits will be permitted on a table-by-table basis. Community Brands Fundraising Online Integration. If your organization has purchased Community Brands Fundraising Online (AFO), you can integrate the forms you have created in AFO with the Online Constituent Directory. Constituents can then use the embedded forms to make donations or register for events, and the data will be passed back to AFO for campaign management and reporting purposes. Custom Display Designer. The Custom Display Designer is available for use to determine which data fields from each table will be included in the display, where the data will be positioned, and the names of the labels for each field. See Custom Display Designer for more information.
Constituent Options. Functionality is available to allow each constituent to determine whether his or her data may be published for the viewing by the rest of the online constituent community. Each constituent can make this determination on a row-by-row (for example, publish a work address, but don't publish a home address) or table-by-table (for example, publish all Education information, but don't publish any Address information) basis. See Setting Options for Publishing Tables in the Online Directory for more information.
Pending Data Tables. The pending tables hold data that is either imported with the Advanced Data Examiner Import Tool or entered by constituents from the On-Line Constituent Directory. This data can then be reviewed for validity and checked against existing records prior to committing to the Millennium database tables via the Advanced Data Examiner. See Pending Data Tables for more information.
Advanced Data Examiner. This component of the Online Constituent Directory module allows you as an Millennium user to examine, edit, and accept the data that has been supplied by your constituents via your website. That data is held in a set of pending data tables until you use the Data Examiner to either display that information on a row-by-row basis for your review, or you accept all of the data from one of the pending tables at once without reviewing it. The Advanced Data Examiner is also used to review, accept, or reject any data that has been imported into the set of pending tables using the Advanced Data Examiner Import Tool. To use the Data Examiner, the operator must be in a security group that has been granted rights to the Online Constituent Directory Tables, and who has sufficient security to insert data into the corresponding data tables. Advanced Data Examiner Import Tool. The Advanced Data Examiner Import Tool is designed to input data from an external input file into Millennium's pending tables for later review by the Advanced Data Examiner. See Advanced Data Examiner Import Tool for more information
Online Constituent Directory Reports. Functionality is available to allow each constituent to view reports that have been run from within Millennium for them. These reports become available once a report has been run from within Millennium and saved in the Online Constituent Directory report groups.

Donate Now (Online Giving). Donate Now is available to institutions who have purchased Paya Payment Solutions and the Online Constituent Directory.
From your Online Constituent Directory website, you may accept donations from either Millennium constituents or from visitors to the website who want to contribute. At the time of the donation, the donor's credit card account is charged, or bank account is automatically debited. The donor will receive an email acknowledgment if he or she has an email address on record ( Millennium constituent) or supplies one at the time of the donation. See Donate Now for more information.
