Honor and Memory Transactions
Within Millennium, a donation may be made by one constituent, with the instruction that it is to be considered as a tribute for another constituent, or for a non-constituent. If it is a tribute to a living person or an active corporation or foundation, it is said to be In Honor of the second party. If the second party is deceased or disbanded, it is said to be In Memory of that party. The techniques for Honor and Memory Transactions are the same - the system will automatically generate the appropriate type of Transaction based on whether the second constituent is living (no Death data) or deceased (has Death data), or in the case of a non-constituent you will indicate the situation (honor or memory) as you enter the name information.
When donations are made honor or memory of a non-constituent, the 'honoree' name information is maintained in a row, attached to the Gift or Dues Transaction row with which it is associated, in the Honoree secondary table. If the 'honoree' is a constituent, a Gift Transaction or Dues row, with a Gift or Dues Type of 'h' is automatically created for that constituent and a row for this will not be maintained in the Honoree data table.
There may be a fine distinction between Transactions that are given on behalf of another and those that are given in honor or in memory of another. Your institution must determine the conditions and policy for employing the various techniques available in Millennium for handling Giving Transactions.
You may create multiple Honor/Memory Transactions which are all linked to a single Transaction. The linked Transactions may be any combination of constituent, non-constituent, Honor, or Memory Transactions. To do so, you may create no more than one constituent AND no more than one non-constituent Honor/Memory at the same time that the original Transaction is created. Additional ones may be linked by Adding either a constituent or a non-constituent Honor/Memory Transaction after the original has been created.
You may also create multiple Honor/Memory Transactions, which are all linked to a single Pledge Payment Transaction. The linked Transactions may be any combination of constituent, non-constituent, Honor, or Memory Transactions. To do so, you may create no more than one constituent AND no more than one non-constituent Honor/Memory at the same time that the Payment Transaction is created. Additional Honor/Memory Transactions may be linked by adding either a constituent or a non-constituent Honor/Memory Transaction after the Payment has been created.
Different behavior will occur when you either create a Honor/Memory Transaction at the time of the Payment or after the Payment has been made by using the Edit menu item Transactions and locating selecting either Add Honor for Non-Constituent or Add Honor for Constituent.
- When a constituent or non-constituent Honor/Memory Transaction is created at the time the Pledge Payment is created, you will see the "Honor for..." or "In Memory of..." then the hyperlink text showing the second constituent's name in the Pledge Payment Transaction section. Clicking the "Honor for..." or "In Memory of..."hyperlink will bring you to the "Honor for..." or "In Memory of..."constituent's transaction showing the full amount of the pledge transaction.
- When a constituent or non-constituent Honor/Memory Transaction is created after the Pledge Payment is created by using the transaction menu to the left of the Pledge Payment, you will see the "Honor for..." or "In Memory of..." then the hyperlink text showing the second constituent's name in the Pledge Payment Transaction row. Clicking the "Honor for..." or "In Memory of..."hyperlink will bring you to the "Honor for..." or "In Memory of..."constituent's transaction showing the payment amount of the pledge payment transaction.
Create an Honor/Memory Transaction for Another Constituent as the Original Transaction is Created
- Access the Gift or Dues display for the constituent who is the source of the funds, not the person in whose honor or memory the donation is being made.
- Pass the mouse pointer over the Section Header Edit button or any of the primary edit buttons to access a context menu and then click on Insert or Insert via Default (according to your preference.)
- Edit the Gift Type entry (if necessary) to show the kind of Transaction that the donor is making - not the kind of transaction that the displayed constituent should be given. (If the funds have been received, this should be Gift or Dues Transaction. If it is a promise of a donation, it will be a Pledge Transaction. Do NOT assign a Type of Honor Transaction - that Type will be assigned to the Transaction that is automatically created for the second party.)
- Enter or edit the data for all other text boxes as appropriate.
- Within the section toward the bottom of the form, locate and click to activate the check box labeled, Honor/Memory for: Constituent.
- Click Insert. The Honor/Memory ID Search form will display so that you can identify the constituent who will own the Honor/Memory Transaction.

In the Name / ID field, Enter the constituent's ID number, or name using
standard Name search formatting.
- Click Search. At this step, you can click Cancel instead. The Honor Transaction will not be created.

A Search Results page displays, listing the constituent or constituents who match the ID Number or name entered.
- A constituent will appear in the search results more than one time if he or she has more than one Lookup Name row. Click the Sort by ID and Display Unique List hyperlink to remove duplicate rows from the Search Results display. If you re-sort the search results, the duplicates will display again.
- Locate the desired constituent and click on the name hyperlink.
- If the desired constituent is not shown, click the Respecify the Query hyperlink. The Search form re-displays to allow you to redo your constituent search.
- Once a constituent has been uniquely identified, the system will create the Honor Transaction and return you to the display of the original constituent's Transaction. Scroll to the bottom of that Transaction's display and you will see either the message, "Honor for..." or "In Memory of..." and then hyperlink text showing the second constituent's name. If you want, you may click on that hyperlink to view the individual Honor Transaction that has been created for that constituent. If you do so, at the bottom of that display you will see the message, "Given by..." and then the hyperlink text showing the first constituent's name.
Create an Honor/Memory Transaction for a Non-Constituent as the Original Transaction is Created
- Access the Gift or Dues display for the constituent who is the source of the funds.
- Pass the mouse pointer over the Section Header Edit button or any of the primary edit buttons to access a context menu and then click on Insert or Insert via Default (according to your preference.) You will be given an insert form.
- Edit the Gift Type entry to show the kind of Transaction that the donor is making. (If the funds have been received, this should be Gift or Dues Transaction. If it is a promise of a donation, it will be a Pledge Transaction. Do NOT assign a Type of Honor Transaction - that Type is reserved for a Transaction that is system-generated for another constituent who is being honored.)
- Enter or edit the data for all other text boxes as appropriate.
- Within the section toward the bottom of the form, locate and click to activate the check box labeled, Honor/Memory for: Non-Constituent.
- Click Insert to have the system create the Transaction. You will be given an Honoree form, in order to enter the data for the non-constituent.
- If the non-constituent is living, click on the radio button labeled Honor. If the non-constituent is deceased, click on the Memory radio button.

Tab or mouse click to each of the text boxes and type in each of the known names of the non-constituent. When all name information has been entered, click on Insert to record that information in a secondary Honoree row,
OR
Click Cancel to halt the process without recording any Honor/Memory information.
- If you entered name information, you will be returned to the display of the original constituent's Transaction. Scroll to the bottom of that Transaction's display and you will see either the message, "Honor for..." or "In Memory of..." and then plain text showing the non-constituent's name.
Add a Linked Constituent Honor/Memory Transaction to an Existing Transaction
Honor or Memory Transactions may be added (linked) to an existing Gift or Dues row at any time. If you want to create multiple Honor/Memory Transactions that are linked to a single Transaction, you may create one Honor/Memory at the time that the original Transaction is created, and then additional Honor/Memory Transactions must be created by using this Add Linked Honor Transaction technique.
- Access the Gift or Dues display for the constituent who owns the specific Transaction to which you want to link an Honor or Memory Transaction.
- Scroll the display to the specific Transaction.
- Pass the mouse pointer over the primary edit button to access a context menu and then over the item, Transactions, in the resulting context menu. You will be given a cascading menu showing several items. Locate and click on the item, Add Honor for Constituent. (This item should be used whether the second constituent is living or deceased.)
- The Honor/Memory ID Search form displays.

In the Name / ID field, Enter the constituent's ID number, or name using
standard Name search formatting. At this step, you can click Cancel instead. The Honor Transaction will not be created.

A Search Results page displays, listing the constituent or constituents who match the ID Number or name entered.

Add a Linked Non-Constituent Honor/Memory Transaction to an Existing Transaction:
- Access the Gift or Dues display for the constituent who owns the specific Transaction to which you want to link an Honor or Memory Transaction.

- If the non-constituent is living, click on the radio button labeled Honor. If the non-constituent is deceased, click on the Memory radio button.

Tab or mouse click to each of the text boxes and type in each of the known names of the non-constituent. When all name information has been entered, click on Insert to record that information in a secondary Honoree row,

Create an Honor/Memory Transaction for Another Constituent when the Original Transaction is On Behalf Of
- Access the Gift or Dues display for the constituent on whose behalf the donation is being made (not the constituent who will deliver the funds).
- Access the context menu from the section header Edit button, or from the primary Edit button from any existing Transaction and click on Insert or Insert via Default to access a form to create the Transactions.
- By default, that form will show the constituent's name in the Given by text box (unless you are using a Default form that you have defined otherwise).
- Replace the constituent's name in the Given by text box with either the ID Number or the name or the constituent who is or will deliver the funds. The name must be in the format, Last\First Middle, and you may enter partial name information.
- Edit the Gift Type entry (if necessary) to show the kind of Transaction that the donor is making - not the kind of transaction that the displayed constituent should be given. (If the funds have been received, this should be Gift or Dues Transaction. If it is a promise of a donation, it will be a Pledge Transaction. Do NOT assign a Type of Honor Transaction - that Type will be assigned to the Transaction that is automatically created for the second party.)
- Enter or edit the data for all other text boxes as appropriate.
- Within the section toward the bottom of the form, locate and click to activate the check box labeled, Honor/Memory for: Constituent.
- Click Insert to have the system create all three transactions. The Honor/Memory ID Search form displays in order to identify the constituent who will own the Honor Transaction.

Click that hyperlink and you will be brought to the person who gave the transaction.
- Scroll to the bottom of that Transaction's display and you will see On Behalf Of the original constituent and either the message, "Honor for..." or "In Memory of..." and then hyperlink text showing the constituent's name for whom the transaction was in Honor/Memory Of. If you want, you may click on that hyperlink to view the individual Honor Transaction that has been created for that constituent. If you do so, at the bottom of that display you will see the message, "Given by..." and then the hyperlink text showing the constituent's name who gave the gift, not the constituent who it was On Behalf Of (the original constituent).
Create an Honor/Memory Transaction for a Non-Constituent when the Original Transaction is On Behalf Of
- Access the Gift or Dues display for the constituent on whose behalf the donation is being made (not the constituent who will deliver the funds).
- Access the context menu from the section header Edit button, or from the primary Edit button from any existing Transaction and click on Insert or Insert via Default to access a form to create the Transactions.
- By default, that form will show the constituent's name in the Given by text box (unless you are using a Default form that you have defined otherwise).
