My Millennium On Demand Report Descriptions

(This topic describes the details of each On Demand report. A complete description of the function and behavior of the On Demand component of My Millennium is discussed in the My Millennium topic.)

The following are the standard reports that are available in the On Demand Reports section of the My Millennium Reports page. A description is given for each report.

Note: For My Millennium On Demand Reports, a constituent is considered to be a Prospect Manager if he or she has a relationship, where the Is A relationship type has been assigned to a Prospect Management (PM) Role of 'Prospect Manager' and the Whose relationship type has been assigned to a PM Role of 'Prospect'. A constituent is considered to be a 'Prospect' if he or she has a relationship, where the Is A relationship type has been assigned to a PM role of 'Prospect' and the Whose relationship type has been assigned to a PM Role of 'Prospect Manager'. Corporate Employee Listing

This report provides a listing of all corporate constituents having constituent employees. The report shows the corporation's ID, name, parent corporation name, gift matching ratio(s), and the number of constituent employees. The employee names are displayed as hyperlinks, which can then be used to view a particular employee's Basic Data.

The launch of this report requires no user input, so when you click on the report name in the On Demand report list, you will be given a page with only a brief description of the report and the Submit button.

When the report is submitted and its run is complete, it will automatically display the first page of results in a new instance of a browser.

For this report, the following information is shown in a single line for each employer: ID number, name of the employer, the number of constituent employees, the name of that corporation's parent corporation (if any), and the Matching Ratio for the original corporation. A second or third line may appear if the company has more than one matching ratio.

Below the original line of information, and indented below it will be the ID Number and name of each employee.

If you click on the hyperlink of the name of an employee, you will be shown the Defined Display for that employee.

Corporate Subsidiary Listing

This report provides a listing of all corporate constituents having constituent subsidiary companies. This affiliation will have been defined in the Basic Data row of the subsidiary constituent, by entering the Name or ID Number of the parent corporation. The report shows the corporation's ID, name, parent corporation name, gift matching ratio(s), and the number of constituent employees. Below that information, any subsidiary names are shown as hyperlinks to that constituent's Basic Data.

The launch of this report requires no user input, so when you click on the report name in the On Demand Reports list, you will be given a page with only a brief description of the report and the Submit button.

When the report is submitted and its run is complete, it will automatically display the results.

For this report, the following information is shown in a single line for each parent corporation: ID number, name of the parent corporation, the number of constituent employees, the name of that corporation's parent corporation (if any), and the Matching Ratio for the original corporation. A second or third line may appear if the company has more than one matching ratio.

Indented below the information describes above, the report will show the ID Number and name of each subsidiary as hyperlink text.

If you click on the hyperlink of the name of the subsidiary, you will be shown the Defined Display for that subsidiary.

Cultivation Report

Level Display Hyperlink Destination
1 Shows a listing of the names of constituents who are Prospect Managers (they have a Relationship data row that identifies them as such), and gives a count of the number of Prospects for each Manager. Profiles World display of the Manager's relation rows
2 Shows the name of the chosen Prospect Manager from the previous level, with a listing of the Campaigns represented in the Ratings rows belonging to any of that Manager's Prospects. A count of the total number of Prospects is shown in the display row for the Manager's name, and a count of the number of Prospects for each Campaign is shown in the display rows that follow.  
3 Shows the name of the chosen Prospect Manager from the first level, followed by the chosen Campaign from the previous level, with a display of each different Cultivation status represented in the Ratings rows for that Campaign. A count of the total number of Prospects for each Cultivation is shown.  
4 Shows the name of the chosen Prospect Manager from the first level, followed by the chosen Campaign from the second level, followed chosen Rating Status from the previous level. Below that is a list of the names of the Prospects with that Rating Status. Profiles World display of the Prospect's Tracking row or to the Prospect's Defined Display if the Tracking table is removed from the Millennium display.

Funded Proposals by Division

1 Shows a listing of the names of the Divisions from funded Proposals, a count of the number of Proposals for each Division and a sum of the values for each Division.  
2 Shows the chosen Division from the first level with the count and sum of Proposals, followed by a list of the names of the constituents who own the Proposals, with a count and sum of the values for each constituent.  
3 Shows the chosen Division from the first level, the chosen constituent from the second level, and the Purpose and Value for each funded Proposal belonging to that constituent (for the chosen Division).  
4 Shows the chosen Division from the first level, the chosen Purpose from the third level, followed by the details of the Proposal(s). These details include the constituent name, the Division, Campaign, Campaign Year, Goal, Rated Date, Rated Amount, Ask Date, and Asked Amount. This information is shown in a shaded box in the display. Included in that box is a hyperlink to the data display. The constituent's name hyperlinks to his or her Defined Display. Funded Proposals by Campaign

Pending Proposals by Campaign

Pending Proposals by Division

Pending Proposals by Goal

2 Shows the chosen Goal from the first level with the count and sum of Proposals, followed by a list of the names of the constituents who own the Proposals, with a count and sum of the values for each constituent.  
3 Shows the chosen Goal from the first level, the chosen constituent from the second level, and the Purpose and Value for each funded Proposal belonging to that constituent (for the chosen Goal).  
4 Shows the chosen Goal from the first level, the chosen Purpose from the third level, followed by the details of the Proposal(s). These details include the constituent name, the Division, Campaign, Campaign Year, Goal, Rated Date, Rated Amount, Ask Date, and Asked Amount. Pipeline Report

This report can be used to forecast the arrival of major gifts tracked through Proposals. It includes all active Proposals that are not yet funded. This report shows a cross tab summary of cultivation phase and inclination based on a quarterly forecast. Details of each Proposal included in the forecast and the prospect manager responsible for the Proposal can be displayed if the detail view of the report is chosen.

For a proposal to be included in the forecast, it must meet the following conditions:

Tip: To see an example of setting up a proposal so that it will display on the report, see the Proposal topic.

If a proposal is in the ’Cultivation’ phase, then the rated amount will be used in the forecast. If a proposal is in the ’Solicitation’ phase, then the asked amount will be used in the forecast.

To launch this report:

  1. Click the report name in the On Demand report list. A page with a brief description of the report will be shown.
  2. Enter the start and end dates you are your search in YYYY,MM,DD format. For example, if you want a report of all Proposals with a decision date between September 30, 2012 and December 31, 2012, you would enter 2012,09,30 into the Start Date box, and 2012,12,31 in the End Date box.
  3. Next, select either the Display Summary Only or Display Detail radio button. Display Summary Only will provide a report of summary information. Display Detail will include additional information.
  4. When the report is submitted and its run is complete, it will automatically display the first page of results in a new instance of a browser.

Prospect Giving Report

1 Shows a listing of the names of constituents who are Prospect Managers (they have a Relationship data row that identifies them as such), with a sum of the giving totals for that Manager's Prospects. (Totals are based on the Gift Amount of Transactions of all Types, belonging to the Prospects.) Profiles World display of the Manager's relation rows
2 Shows the name of the chosen Prospect Manager from the previous level, with a listing of that Manager's Prospects, with each Prospect's giving total. Prospects' Defined Display

Following that is a listing of the transactions that make up the set of transactions for that Campaign. The information is the Transaction Type, the Process Date, and the Amount of the transaction. Prospect Managers

That is followed by the chosen Ask Rating from Level 3, and then a listing of the names of the constituents who own Ratings rows at that Ask Rating Level (for the Campaign chosen in Level 2). 5 Shows the name of the chosen Prospect Manager from the first level with a count of the total number of Prospects. That is followed by the name of the Constituent chosen from the previous level, then the details of the Rating row. This includes the Ask Rating, Cultivation, Status, and Asked Amount.  

Task Report

Level Display Drill-down Destination
1 Shows a list of constituents who have pending or completed Tasks and a count of those Tasks for each. Constituent's Task data in the Profiles World or to the constituent's Defined Display if the Tracking table is removed from the Millennium display.
2 Shows the name of the chosen constituent from Level 1 and a list of the Action Types that are represented in the set of Tasks belonging to that constituent and a count of each.  
3 Shows the name of the chosen constituent from Level 1 and the chosen Action Type from Level 2, followed by the names of the constituents who 'own' the Actions to which the original constituent's Tasks are linked. Constituent's Action data in the Profiles World or to the constituent's Defined Display if the Tracking table is removed from the Millennium display.

Favorites On Demand Report Descriptions

Note: For Favorites On Demand Reports, you are considered to be a Prospect Manager if you have a relationship, the Is A relationship type has been assigned to a Prospect Management (PM) Role of 'Prospect Manager' and the Whose relationship type has been assigned to a PM Role of 'Prospect'. You are considered to be a 'Prospect' if you have a relationship, the Is A relationship type has been assigned to a PM role of 'Prospect' and the Whose relationship type has been assigned to a PM Role of 'Prospect Manager'. You are considered to be a 'Director' if you have a relationship, the Is A relationship type has been assigned to a PM Role of 'Director', and the Whose relationship type has been assigned to a PM Role of 'Prospect Manager'. You are considered to be an Assistant/Researcher if you have a relationship, the Is A relationship has been assigned to a PM Role of 'Assistant/Researcher' and the Whose relationships has been assigned to a PM Role of either 'Director' or 'Prospect Manager'.

There are two types of Favorites On Demand Reports. My Prospects On Demand Reports have been designed to provide important information for Prospect Managers and their Assistants and Researchers. My Staff Favorites On Demand Reports are of particular interest to Directors and to their Assistants and Researchers.

If you are a Prospect Manager or an Assistant/Researcher to a Prospect Manager, then you can access the My Prospects Favorites On Demand Reports. If you are a Director or an Assistant/Researcher to a Director, then you can access the My Staff Favorites On Demand Reports. And, if you are a Director or Director's Assistant/Researcher, and you are viewing a Prospect Manager's Prospect List display, then you also have access to the My Prospects Favorites On Demand Reports.

My Prospects Favorites On Demand Reports

Point to the Reports button on the right side of the My Prospects Page Header. The following reports are available.

Action Log

This report selects and prints Actions by Prospect, together with linked Tasks. If an Assistant/Researcher to a Prospect Manager is viewing the report, the Prospects will be sorted and grouped by Prospect Manager. When the report is launched, you are prompted to supply a range for the Action Due Date.

Action Log for a Prospect Manager

When the report is launched, you are prompted to supply a range for the Rating End Date.

Moves Report for a Prospect Manager

1 Prospect Names and Rating Information: the Rating Move Date, Rating Status, and the Rating Ask Rating.

A Prospect Name will appear once for each Move he or she owns.

Rating Move Date is the rating's Start Date, Rating Status is the rating's Inclination.

Moves Report for an Assistant/Researcher to one or more Prospect Managers

2 The Prospect Manager's name from Level 1, and a list of his or her Prospect Names and Rating Information: the Rating Move Date, Rating Status, and the Rating Ask Rating.

Rating Move Date is the rating's Start Date, Rating Status is the rating's Inclination.

Tasks Action Log

This report shows Actions belonging to Prospects that have been assigned to Prospect Managers as Tasks. The report provides an overview of the Tasks and the status of those Tasks. If an Assistant/Researcher to a Prospect Manager is viewing the report, then the Prospects Actions will be grouped and sorted by the Managers who have been assigned to those Tasks.

Note: Only a Task with a linked Action will be considered for the report. And, the Task must have a Status that is not marked as Complete. The report uses the Millennium standard code of '2' for Complete.

When the report is launched, you will be prompted for the Task Due Date range.

This report serves as a reminder to Prospect Managers who have upcoming Tasks to perform with regard to their Prospects. If an Assistant/Researcher to a Prospect Manager is viewing the report, then the Tasks will be grouped and sorted by the Managers for whom the Tasks have been assigned.

Note: If a Task's Complete Flag is checked, then the Task will not be included in the report.

When the report is launched, you are prompted to select a Task Due Date time period.

Cultivation Statistics

This report counts all moves (change in Rating Status) accomplished during a specific time period, for each Prospect Manager.

When the report is launched, you are prompted to supply a range for the Rating End Date.

Cultivation Statistics for a Director or an Assistant/Researcher to one or more Directors

1 Prospect Manager Name, and the total number of Moves for the Manager

Lapsed Scheduled Actions

This report lists Actions with a due date that has passed. Actions are selected by Prospect and are grouped and sorted by Prospect Manager.

When the report is launched, you are prompted to enter a date for the Action Due Date.

Lapsed Scheduled Actions for a Director or an Assistant/Researcher to one or more Directors

Prospect Management List Proposal Statistics

This report shows an overview of selected Proposals, group by the Division with which each is associated.

Note: If a Proposal has not been associated with a Division or it has not been given a Purpose, then it will not be selected for this report.

When the report is launched, you are prompted to enter a range for the Proposal Rated Date.

If you enter a Start and an End Date, then the report will include only Proposals with a Rated Date that falls between the two.

If you enter only a Start Date, then the report will include only Proposals with a Rated Date on or after the date you enter.

If you enter only an End Date, then the report will include only Proposals with a Rated Date that is not blank and is not null and is on or before the date you enter.

If you do not enter a Start Date or an End Date, then the report will include all Proposals, even those with a Rated Date that is blank or null.

Prospect Management List Proposal Statistics for a Director or an Assistant/Researcher to one or more Directors

Prospect Manager Tasks Action Log

This report shows Actions belonging to Prospects that have been assigned to Prospect Managers as Tasks. The report provides an overview of the Tasks and the status of those Tasks. The Prospects' Actions will be grouped and sorted by the Managers who have been assigned to those Tasks.

Note: Only a Task with a linked Action will be considered for the report. And, the Task must have a Status that is not Complete. The report uses the Millennium standard Task Status code of '2' for Complete.

When the report is launched, you will be prompted for the Task Due Date range.

Tasks Action Log for a Director or an Assistant/Researcher to one or more Directors

Tickler Report

This report serves as a reminder to Prospect Managers who have upcoming Tasks to perform with regard to their Prospects. If an Assistant/Researcher to a Prospect Manager is viewing the report, then the Tasks will be grouped and sorted by the Managers for whom the Tasks have been assigned.

Note: If a Task's Completed Flag is checked, then the Task will not be included in the report.

When the report is launched, you are prompted to select a Task Due Date time period.

1 Names of Prospect Managers  
2 The Prospect Manager's Name from Level 1, and information about the Manager's Prospects: Task Due Date, Prospect Name, Task Location, Action Division and Task Priority
