Other Info Table Details

The Other Info (other_info) data table is unique in the Events World. This one data table is designed to hold the details for several different circumstances. Each row in this data table is linked to a primary row in the Events World and that linkage determines the form that the Other Info row will take when it is created, edited or displayed.

When viewed as raw data in the database, each row in the Other Info table will contain the same standard set of data fields with the same names, regardless of the table's usage. But, in accordance with the primary row to which it is linked, only certain of those fields will be used in each circumstance. Also in accordance with the primary row, when Other Info data rows are displayed within the Events World, the labels for the table itself and the fields in the table will vary.

For example, you may want to track details concerning the overnight accommodations for Event Guests. This is done in a row in the Other Info table which is linked to the Event Guest row. However, when the form is presented to allow the operator to enter that information, it is labeled Lodging and the field names that are shown on the form are labeled such things as: Location, Room Number, Room Type, Number of Persons, etc. However, these are not the actual system names for that table or those columns. The actual names for those fields are: oinfotype1, oinfocol1, oinfotype2, oinfonum1, and so on.

At the same time, the Other Info data table may also contain rows that are linked to an Event or an Activity row, and which are used to track the equipment that is needed for a particular Event or Activity. When the form is presented to create rows in this circumstance, the label for the form reads Audio Visual Needs, and the text boxes for the fields are labeled such things as: Equipment, Location, Date and Time Needed, etc. Again, the actual names of those fields are: oinfotype1, oinfocol1, oinfodate1, etc.

Note: In the two examples above, sometimes the same field is used, but with different labels in the two circumstances. In the first case, the oinfocol1 field is labeled Room Number and is used to track the hotel room for a particular guest. In the second case, it is labeled Location and is used to record the place where the AV equipment is needed.

This behavior is also true for the lookup table-driven fields within the Other Info table (oinfotype1 and oinfotype2). These are two different fields in each row which are controlled by the same lookup table, Other lookup. If either or both of those fields are being used, the desired data for the field must first be created as an entry in the lookup table. That means that the Other Lookup table may contain widely divergent entries. It is used for the hotel names, room types, AV equipment, and tournament team names. When the listing is shown in data maintenance forms, all entries are displayed.

The system will determine which labels and which text boxes are shown in data maintenance forms, based on the way in which you accessed the form and the nature of the primary row to which the Other Info row is linked.

The following chart shows the standard labels that the system uses for the fields in data rows in the Other Info table, and also shows which fields are and are not used in the standard display and maintenance of Other Info data. Several custom fields are available for use, if your institution wants to customize the display and maintenance forms for the corresponding use of the Other Info table. Note that some "system-use only" fields are not shown in this chart but are shown in the documentation for Audio Visual Needs, Lodging, Special Needs, Tourney Needs, and Transportation.
