Events World

Audio Video Needs

The Other Info data table may be used to track any equipment that is needed for an Event or a particular Activity. While this is usually audio and or video equipment, you may specify any sort of equipment by defining a corresponding entry in the Other Lookup table.

Though this information is maintained in the Other Info (other_info) data table, when it is displayed or when it is being maintained, the header for the information or data form will be shown as Audio Video Needs. (For more information on the use and applications of this data table, see Other Info.)

This use of the Other Info data table allows you to track the equipment that is needed, the location where it is needed, the start and stop time and dates when it will be needed, the name of the contact person, a phone number for that contact, and a free text comment.

Audio Video Needs rows may be linked to either an Event row or an Activity row.

Creating a New Audio Video Needs Record

  1. Verify that the Other lookup table includes an entry that describes any equipment name that you plan to use in the Audio Video Needs row. If not, use Events Lookup Table Maintenance to create that entry.
  2. Access the display of the Event row or the Activity row to which the AV row will be linked.
  3. Pass the mouse pointer over the edit button to the left of the Event or Activity row to access a context menu and then hover on the word Link, to access the cascading menu. Click the Audio Video Needs
  4. You will be given an Insert form.
  5. Enter data in the following text boxes as desired:
    Equipment
    - The kind of AV equipment needed, as shown in the list from the Other lookup table.

    Location - Type any description of the location where the equipment will be needed.

    Start Date - Type the date when the equipment will first be needed.

    Start Time - Type the time when the equipment will first be needed.

    End Date - Type the date when the equipment will no longer be needed.

    End Time - Type the time when the equipment will no longer be needed.

    Comments - Type any free text information concerning this AV row.

    Contact - Type the name of a person to contact concerning this equipment.

    Phone Number - Type the phone number where the contact person can be reached.

  6. When all data appears in the form as you want, click Insert to create the Audio Video Needs row,

    OR

    Click Cancel to halt the process without creating the AV row.

Editing an Existing Audio Video Needs Record

  1. Access the display of the Event row or the Activity row to which the AV row is linked. If necessary, scroll to locate the AV row you want to edit.
  2. Pass the mouse pointer over the Edit button to the left to access a context menu. Locate and click Update/Delete. You will be given an Update form showing the current data in the corresponding text boxes.
  3. Tab or mouse click to any of the text boxes and edit the data as desired.
  4. When all data appears in the form as you want, click Update to register the edits,

    OR

    Click Cancel to halt the process without making any edits to the row.

Display an Existing Audio Video Needs Record

Access the display of the Event row or the Activity row to which the AV row is linked. The AV row will be displayed as a linked, secondary data row.

Audio Video Needs data is stored in the other_info data table. The following fields are included. The field labels and non-displaying designations that are listed here are those that the system uses by default. If you want to override these default settings, you must customize your display definition.
