Events
The Event data table is the foundation upon which the entire Event data management system within the Events World is built. Each row in this table uniquely defines a particular social, fund-raising, or other type of function sponsored by the institution. An Event is defined in Millennium as the broadest classification of a set of individual activities that may be treated as a distinct unit. An Event would be likely to have a distinct total budget and time parameters. The Event row must be created before any of the other associated data rows can be created.
For example, an Event might be defined as a Fall Festival or as a Homecoming. Within such Events, you might hold any combination of dinners, dances, picnics, football games, seminars, walk-a-thons, art exhibits, excursions, etc. Each one of those functions is defined in Millennium as an Activity and each Event may be made up of any number of Activities. You must first create the Event row, and then you may create any number of Activity rows that link to the event.
The Event data row serves as the 'anchor' for all other data rows in the Event World as each will be associated with one of the Event rows, either by a primary link, or by an indirect or secondary link to another row which is linked to the Event row. The Event row serves the same purpose in this World, that the Basic Data row serves in the Profiles World. The following similarities may assist in understanding the Event table.
- Before any data can be created in other data tables within the Events World, you must create the Event data row, to which the other rows will be linked, just as you must create a constituent's Basic Data row in the Profiles World before creating any other data rows for that constituent.
- Before any data can be displayed in the Events World, you must perform a search in order to identify the Event you want to examine, just as you conduct a constituent search in the Profiles World. If you want to display those Events that have been deactivated the 'Include Inactive Events in the Search' must be checked. Checking that box will show all active and inactive Events, displaying an (I) next to the Events that have been made Inactive.
- Once an Event has been identified, its name and Start Date are shown in a non-scrolling area at the top of the display area as you access the other data rows that are linked to this Event, in the same way that the constituent name and ID number remains in view in Profiles.
- Once an Event is identified and accessed, it is understood that the items in the Millennium Explorer will access data from the specified rows belonging to that Event only. This is the case until a different Event is accessed or created, via the Event Search or New Event items in the Explorer. In the same way, once a constituent's data has been accessed in the Profiles World, clicking a different table name in the Explorer will display that data for that same constituent, until you perform a New Search.
Many of the fields in the Event row contain information that is entered by the operator and apply to the Event at large. These include such things as the Event Name, the Location, the Type of Event, the Start and End Dates, Budgeted figures for attendance, costs, income, and an address for the Event.
There are several other fields which are automatically calculated by the system, based on the information in other rows that are linked to this Event. For instance, the Cost for the Event is the sum of the amounts from all Expense rows that are linked either to the Event itself or to one of the Activities that is linked to the Event. The Income is a sum of the monies expected (regcost) from all of the Registration rows which are linked to the Event. The Profit/Loss field is the difference between those two amounts. The Total Registrations is a count of the Registration rows that are linked to this Event. The Total Guests is a count of the Event Guest rows that are linked to those Registrations. The Registration Money Due and Paid are the sums of the corresponding amounts from the Registration rows that are linked to this Event.
Date verification and formatting will be incorporated only into the Customizer screens, during Insert or Update, for the dates that hold the calendar icon. If an invalid date is entered a warning will pop-up stating "The date entered is not valid. Please try again." and will place the cursor in the invalid date field. Once you have typed in an invalid date format, the error message will continue to show each time you attempt to move off that field. You must correct the date or remove it before continuing. If a selection is not made in a lookup list box, the system will verify that a blank lookup exists. If a blank lookup exists, it will be entered for that lookup, otherwise, if a blank lookup does not exist, a warning will pop-up stating "Please choose a value before continuing." and will place the cursor in the appropriate lookup field. You will need to select a lookup value before continuing to Insert the data row.
Events vs. Activities
If you examine the Millennium Explorer and look at the list of data tables under Event Info, you will see some of the same data tables that are also listed under Activities. In either case, if you click on the table name in the Explorer, you will be shown all of the rows from that table that are linked directly either to the Event Info or to the Activity. For example, if you click on Items under Event Info, you will be shown those Item rows that are linked to directly to the Event row, but not any of the Item rows that are linked to any of the Activities within that Event. Likewise, if you click on Items under Activities (in the Explorer) you will be shown those Item rows that are linked directly to the Activity, but not those that are linked to any other Activity for the same Event nor those that are linked to the Event itself.
Create a New Event

The Event forms include fields for mailing address information. The Envelope button displays next to the Address Line 1 field to indicate that Instant Address is available to help you enter a valid mailing address for the event, or to verify that the event's address is valid according to "postal authority data". Instructions for using Instant Address are located in the Using Instant Address to enter and verify addresses topic.
What is Instant Address?
Instant Address is a third party service that is offered by Initium Software and integrated into Millennium. It assists users when entering and updating address information by providing real-time address autocomplete functionality and address verification. For information about Initium Software and Instant Address, visit www.initiumsoftware.com.
- Verify that the Event Type (event_type) lookup table includes an entry that describes the Event you plan to create. If not, use Event Lookup Table Maintenance to create that entry.
- Click the Events item in the Millennium Explorer. (The display frame will default to an Event Search form, which may be disregarded when creating a new Event.) Click the New Event item in the Explorer. The display frame will show an Insert form for an Event row.
- Type the desired Event Name and tab or mouse click to the next field. Create and type in a code for the Event.
- If desired, type the name of the location for the Event and tab or mouse click to Type. From the pull down list, choose the desired entry from the Events Type lookup table.
- Continue to tab and enter desired information for any field on the form. Note that the Year, Start Date, and Stop Date fields allow you to track the actual Starting and Stopping Dates along with a 'preferred year' for the Event.
- In the Additional Registration Forms section, complete the following if needed:
- Lodging - Enter the number of Guest Lodging sections that will be available on the Express Registration form to record Guest lodging details.
- Transportation - Enter the number of Guest Transportation Needs sections that will be available on the Express Registration form to record Guest transportation details.
Special Needs - Enter the number of Guest Special Needs sections that will be available on the Express Registration form to record special needs for Guests who will attend the Event.
Note: Special needs can also be recorded for Guests who will attend a particular Activity. You can add one or more Attendance Special Needs sections to the Express Registration form when you create the Event Activities.
Tournament - Enter the number of Guest Tourney Needs sections that will be available on the Express Registration form to record tournament needs for Guests who will attend the Event.
Note: Tournament needs can also be recorded for Guests who will attend a particular Activity. You can add one or more Attendance Tournament Needs sections to the Express Registration form when you create the Event Activities.

When all data appears in the form as you want, click on Insert to create the Event,
OR
Click Cancel to close the form without creating the Event.
Create a New Event using a Defined Default
- Verify that the Event Type (event_type) lookup table includes an entry that describes the Event you plan to create. If not, use Event Lookup Table Maintenance to create that entry.
- Click the Events item in the Millennium Explorer. The display frame will default to an Event Search form. Click Search. (It is not necessary to enter any search data, but if you do so, be sure that your search will produce a search results display.) The display frame will show a listing of all of the existing Events.
- Click the link that says, 'To create a New Event with defaults, click here.'
- Type the desired Event Name and tab or mouse click to the next field. Create and type in a code for the Event.
- If desired, type the name of the location for the Event and tab or mouse click to Type. From the pull down list, choose the desired entry from the Events Type lookup table.
- Continue to tab and enter desired information for any field on the form. Note that the Year, Start Date, and Stop Date fields allow you to track the actual Starting and Stopping Dates along with a 'preferred year' for the Event.

When all data appears in the form as you want, click on Insert to create the Event,
OR
Click Cancel to halt the process without creating the Event.
Access an Existing Event
- Click the Event item in the Millennium Explorer, or (if the Event World has already been expanded) click on the Event Search item just below the New Event item in the Explorer. You will be given a blank Search form.
- Type in the Name or a portion of the Name or the Code or a portion of the Code for the Event. This function is case-sensitive so you must use the appropriate characters as they appear in the data. You may also use wildcards. Note the instruction at the top of the Events Search screen; it states 'Enter a complete Event Code or partial Event Name. Wildcards ('%' and '_') may be used'.

Check the Include Inactive Events in your Search check box if you want to include deactivated Events in your search.
Click the OK button to locate the Event,OR
Click Cancel to halt the process.
- If the data you entered is an exact match for an existing Event Name or Code, the system will display the Event Details for the match.

If the data you entered is a partial match (it matches the beginning characters of the Event Name or Code), and then the system will display a Search Results page, showing a list of all the Events that match that data. You can sort the list in ascending or descending order by Event Code, Event Name, Start Date or Location by clicking the appropriate column name on the header. Click the desired item in the list to access the Event Details display.
- If the desired Event is not shown in the list and you want to enter different data, click on the hyperlink in the text above the list that reads, " click here to re-specify the query".
- If the desired entry is not shown in the list and you want to create a new Event, click on the hyperlink in the text above the list that reads, "To create a New Event, click here."

If the data you entered cannot be matched to the Name or Code for an existing Event, the system will display a blank Search Results page.
- If you want to enter different data, click on the hyperlink in the text above the list that reads, "Click here to re-specify the query".
- If you want to create a new Event, click on the hyperlink in the text above the list that reads, "To create a New Event, click here."
Display Events Details
- If you want to display the details for an Event other than the one that is currently accessed and displayed in Millennium, or if no Event has yet been accessed, follow the instructions above for Accessing an Existing Event. The system will then automatically show the Event Details once the Event is accessed.
- If you want to display the details from the same Event that is currently accessed (though you may currently be viewing data from an Activity or Registration, or any other linked data table at the moment), click on the Event Info item in the Millennium Explorer, and then the Details item below that. The display frame will show the data from the Events data row.
- If you want to sort Events in a specific ascending or descending order by Event Code, Event Name, Start Date, or Location, click on the appropriate column name on the header. The Events will sort according to your selection.
Display Data linked to an Event
Information in the Events World is recorded in data rows in many different tables. Each of those rows is linked to an Event row either directly or indirectly (it may be linked to another data row which is linked to an Event). To display the data in those linked rows, the Millennium Explorer must be expanded and the desired Event accessed. When that is done, the items in the Explorer may be used to access the desired data table.
Access the desired Event. Note that all further steps in this instruction set assume that you have successfully identified an Event.

If you want to view the details of the desired Event, or data from one of the data tables that is directly linked to the desired Event row, click on the Event Info item in the Millennium Explorer, and then on the appropriate item shown in the expanded list in the Explorer.
Details - displays detailed information about the accessed Event.
Event Actions - displays the Actions that are planned and the Tasks that may be linked to those Actions.
Correspond - Access the Search/Create Correspondence screen to either display a list of all constituents who have been sent a piece of correspondence regarding this Event (Search Correspondence), to create a new Correspondence row related to this Event (Link a New Correspondence to an Event or Activity), or launch an Event Correspondence report.
Expenses - displays those Expense rows that are linked directly to the Event row. (It does not display those Expense rows that are linked to Activities.)
Items - displays those Items rows that are linked directly to the Event row. (It does not display those Items rows that are linked to Activities.)
Organizer - displays the Organizer rows that are linked directly to the Event row. (It does not display those Organizer rows that are linked to Activities.)
Event Solicitor - displays those Event Solicitor rows that are linked to the Event row.
- If you want to view the details for one of the Activities that is linked to the Event, click on Activities in the Millennium Explorer to expand that item. The display frame will show a list of hyperlink names of the Activities that are linked to the current Event. Locate the desired Activity and click on the name. The details for that Activity will be shown in the display frame and the header frame for that display will show the Activity Name above and to the left and the Event Name above and to the right. If you are viewing the details of one Activity and want to view the details of a different one, click on the Search item under the Millennium Explorer Activities item to re-display the list of hyperlink Activity names.
- If you next want to display data from one of the data tables that is linked to the current Activity that you are viewing, then click on the appropriate table name shown in the expanded Activities item in the Millennium Explorer. If you want to view the data details for one of the Registration rows that is linked to the Event, click on Registration in the Millennium Explorer to expand that item. The display frame will automatically show a Registration Search form. To display a Registration row, you must identify the constituent to whom the row belongs.
Type in the ID number for the constituent, OR type in the constituent name using the format, Last/First Middle. Partial names are acceptable. City, State and/or ZIP Code information may also be added in order to narrow the search. Click the Search button. For more information on the use of this form, see Constituent Search.
- If an exact match is found, the display frame will show the Registration data row belonging to that constituent.
- If an exact match is not found, the display frame will show a list of the matching constituents in a Search Results page.
- A constituent will appear in the search results more than one time if he or she has more than one Lookup Name row. Click the Sort by ID and Display Unique List hyperlink to remove duplicate rows from the Search Results display. If you re-sort the search results, the duplicates will display again.
- Locate the desired constituent and click on the name. The display will show the details from the Registration row and any Event Income (Fee) rows that are linked to it.
- If you then want to view the data in the Guest rows that are linked to the currently accessed Registration, you may do so by clicking the Guests item under the Registration heading in the Millennium Explorer. The display frame will then show the Guest rows data.

Deactivate an Event
If there is an Event that has completed or that you want to no longer have available for use, but do not want to delete it, you may make it Inactive. You can do so by selecting that Event and using the edit menu to Update the main Event row. On the Update screen for that Event there will be an Inactive? check box. Checking that box will inactivate that Event so that it cannot be searched upon on unless otherwise specified on the search for Events screen or updated. Deactivating the Event will no longer allow any other Event Info, Activity or Registration rows to be added or updated; this includes Actions, Guests, Items, Speakers, Organizers, etc. In doing so, Insert will not be on any of the Pop-up menus, and the Insert Activity hyperlinks will not appear on the Activity Search results page.
Once an Event has been made inactive you will still have ability to search on that Event at all times. To do so, the box 'Include Inactive Events in the Search' must be checked on the main Event Search screen before the search is started. Checking that box will show all active and inactive Events. An (I) will display next to the Events that have been made Inactive. Selecting an Inactive Event will allow you to view any of that Event information but because it is inactive you will not be allowed to make any changes to that Event. If you want to make that Event active again some time in the future, simply uncheck the Inactive? check box on the main Event row. This will allow all menu items for that Event and its Activity and Registration rows to become available for use.
Customize the Event Data Display and Maintenance Forms
- Using Internet Explorer as your browser, log on to the system as a Millennium system administrator.
- Access the Events version of the Custom Display Designer by using Millennium Explorer, .
- Click the Events item on the Navigation Tool Bar to access the Display Designer's context menu, and then click on the Events item.
- Click Display Type and click on the desired Display Type menu item (for example, Long or Short).
- Utilize the Custom Display Designer's editing tools to make your customizations.
- Click Save to save and apply your changes.

Events data is stored in the events data table. The following fields are included. The field labels and non-displaying designations that are listed here are those that the system uses by default. If you wish to override these default settings, you must customize your display definition.
