Seating for Event Activities
The Seating Assignments form provides a graphical method of performing the following tasks:
- Mapping the arrangement of an Activity's seating tables within a room or mapping a stadium -style seating layout using rows, rather than tables.
- Specifying the number of seats that will be available at each table or in each row.
- Assigning the Guests who are attending the activity to specific tables and specific seats at a table, or to specific rows if stadium-style seating is used.
- Printing the results once the assignments are made.
Set Up
When creating the Activity, you have the option to choose Stadium Seating. If you do, then the Seating Assignment form will default to a room layout that is configured to use seats and rows in stadium-style seating. If you do not, then the Seating Assignments form defaults to a room configuration that uses tables. See the Event Activity topic for details about creating an Activity.
Opening the Seating Assignments form for an Activity
Complete the following steps to open the Seating Assignments form for an activity:

Locate the Event.
- In the Millennium Explorer, click Events, and click Event Search if the search page is not already displayed.
- Type in the event code or event name in the Event Code/Name box and click Search.
- All Events that meet your search criteria will display on the Search Results page. Click the name of the Event that you want.

Locate the Activity.
After you locate the Event:
- In Millennium Explorer, click Activities, and click Search if the Activity Search page for the Event is not already displayed.
- Click the name of the Activity.
- In Millennium Explorer, click Seating. The Seating Assignments form displays.
About the Seating Assignments form
This section describes the Seating Assignments form.
Room Layout with Tables
A list of the guests who are registered to attend the activity, and the person who registered the guests, is shown in the grid on the left. The Guest List can be sorted by Table number, Seat Number, Guest Name or Registrant name. Click once on the Heading that corresponds to the field you want to sort by to sort in ascending order. Click the same Heading again to sort the field in descending order.
The 'room' is shown on the right. Scroll bars enable you to 'move around' the room.
Action buttons display below the guest list and room layout. These buttons pertain to configuring the room layout.
- Save Layout Saves the room configuration.
- Print Room Prints the room configuration.
- Print Guest Prints the guest list and seating assignments.
- New Table Accesses the controls that are used to add one or more new tables to the room layout.
- Edit Table Accesses the controls that are used to edit the characteristics of tables that are already in the room layout, or delete tables that are already in the room layout.
- Assign Seats Accesses the Action buttons that are used to assign guests to seats at a table.
When a table is highlighted and the Assign Seats action button is clicked, an additional set of Action buttons displays above the guest list and room layout. These buttons pertain to assigning guests to seats at a table.
- Add Adds a guest to the table. The Add button will only display when the table is in Grid View.
- Remove Removes a guest from the table.
- Add All Adds all selected guests (or all guests if none are selected) who have not been assigned a seat, to the table. If there are more guests to add than seats, then the number of guests that are added will be equal to the number of seats that are still available.
- Remove All Removes all guests from the table.
- Grid View/Table ViewThis button is a toggle.
- If the button is labeled Grid View, Millennium displays the table's seats and guest assignments in grid format.
- If the button is labeled Table View, Millennium displays the table's seats and guest assignments in the table and chairs format
- Room Layout Returns the display to the layout of the room
- Print Table Prints the table's seating assignments.
Statistics display below the Action buttons, guest list and room layout. They will help you to keep track of the maximum number of guests that can attend the Activity, the number of Guests that are registered to attend the Activity, and the number of Guests that have been assigned to seating so far. The statistics will also detail the number of tables and the number seats in the layout, the number of seats that have already been taken, and the number of seats that are still available.
Room Layout with Rows
A list of the guests who are registered to attend the activity, and the person who registered the guests, is shown in the grid on the left. The Guest List that displays at the left of the form can be sorted by or Row number, Guest Name or Registrant name. Click once on the Heading that corresponds to the field you want to sort by to sort in ascending order. Click the same Heading again to sort the field in descending order.
Once rows have been added, then the 'stadium' seating layout will be represented by a chart on the right.
Action buttons display below the guest list and seating layout chart. These buttons pertain to configuring the room layout.
- Print Guest Prints the Guest list and seating assignments.
- Add Row Accesses the controls that are used to add one or more new rows to the seating layout.
- Edit Row Accesses the controls that are used to edit the characteristics of rows that are already in the layout, or delete rows that are already in the layout.
A set of Action buttons also displays above the guest list and seating layout chart. These buttons pertain to assigning guests to rows.
- Add Adds the selected guest to the selected row.
- Remove Removes the selected guest from his or her assigned row.
- Add All Adds all guests (who have not been assigned), to the selected row. If there are more guests than seats available, then the number of guests that are added will be equal to the number of seats that are still available.
- Remove All Removes all guests from the selected row.
Statistics display below the guest list, seating layout chart, and Action buttons. They will help you to keep track of the maximum number of guests that can attend the Activity, the number of Guests that are registered to attend the Activity, and the number of Guests that have been assigned to seating so far. The statistics will also detail the number rows and the number seats in the layout, the number of seats that have already been taken, and the number of seats that are still available.
Designing the Room Layout
Before assigning the guests to particular tables, rows, or seats, use the Seating Assignments form to design the room layout. You will define either the tables and seats at the tables, or rows and seats within the rows, that will be available. You may add or remove tables or rows in a room configuration at any time, even after seat assignments have been made.

Design a Room Layout with Tables
- Determine the number of tables, the shape of the tables, and the number of seats at each type of table that you will need or that you will have available for this Activity.

Open the Seating Assignments form for the Activity.
- Click New Table. A table number will automatically be assigned by the system. This can not be edited.

Click the name of the table shape in the Table Shape list box, and then enter information for the following:
Table Name - This may be any free text designation that you want to assign to the table.
Price - Enter the cost of each of the seats at this table.
Section - This may be any free text designation that you want to assign to the table.
# of Seats - This may be any number of seats you want to assign to the table.
# of Tables - This may be any number of identical tables you want to add at once.

- Click OK. One or more rows are created in the Seating Layout data table. Or click Cancel to halt the process without creating any Seating Layout data rows.
- If you would like to add additional tables, of different shapes and/or sizes, repeat Step 3 through Step 5.
- A graphical representation of the newly created table or tables will be shown in the 'room'. If you have created multiple tables, they will be lined up next to each other. To move a table around the room. click on the table one time to highlight it. Then, click on the table again and drag it to the desired location.
- Once the room's layout is complete, click Save Layout.
Edit the Properties of an Existing Table
- Open the Seating Assignments form for the Activity.
- Click the desired Table.
- Click Edit Table.
- Make your changes, and click OK.
- Alternatively, you can double-click on the desired Table, make your changes, and click OK.
Delete an Existing Table
Note: When you delete an existing table, the system will only delete the table with the highest number. For example, if you have 10 tables defined, only table #10 can be deleted. Table #9 cannot be deleted until Table #10 is deleted first.

Open the Seating Assignments form for the Activity.
- Click the Table that you want to delete.
- Click Edit Table.
- Click Delete.
- Alternatively, you can double-click on the table that you want to delete, click on Delete, and then click OK.
Design a Room Layout with Rows
- Verify that the Stadium Seating option was selected when the Activity was created. Then, determine the number of rows and the number of seats within each row that you will need or that you will have available for this Activity.

Open the Seating Assignments form for the Activity.
- Click Add Row. The row number is automatically assigned by the system using a sequential number and cannot be edited.

Enter the desired information for the following:
Row Name - This may be any free text designation that you want to assign to the row.
Price - Enter the cost of each of the seats at this table.
Section - This may be any free text designation that you want to assign to the table.
# of Seats - This may be any number of seats you want in each row.
# of Rows - This may be any number of identical rows that you want to add at once.

- Click OK to create a record or records in the Seating Layout data table. Or click Cancel to halt the process without creating any Seating Layout data rows.
- If you would like to add additional rows, with a different number of seats than those just added, then repeat Step 3 through Step 5.
- A chart to represent the newly created row or rows, with the number of seats for each row that are available, will be shown in the 'room'.
Edit the Properties of an Existing Row

Open the Seating Assignments form for the Activity.
- Click the row whose properties you want to change.
- Click Edit Row.
- Make your changes as desired and click OK.
Delete an Existing Row
Note: When you want to delete an existing row, the system will only delete the row with the highest number. For example, if you have 20 rows defined, only row # 20 can be deleted. Row # 19 cannot be deleted until Row # 20 is deleted first.

- Click the Row that you want to delete.
- Click Edit Row.
- Click Delete.

Assign Guests to Seats at a Table
Assign Guests One at a Time to a Particular Seat

Open the Seating Assignments form for the Activity.
- From within the 'room', click on the desired table.
- Click Assign Seats. The room view changes to the single table, with seats. If you want to view the table as a data grid, click on Grid View. If you want to view the table by 'Seat', click on Seat View.
- In the list of Guests who are registered to attend the particular activity, click on the name of the guest.
- If you are in Seat View, click on the seat that you wish to assign the guest to. The guest is assigned to the seat, the seat color turns red, and the guest's name displays with the seat.
- If you are in Grid View, click on the Seat number. Click Add. The guest is assigned to the seat.
- Once the desired guests have been assigned to the table, click Room Layout to return to 'room' view and choose another table, if desired.
Assign Guests One at a Time to the Next Available Seat

Open the Seating Assignments form for the Activity.
- In the 'room' view, click on the desired table.
- In the list of Guest who are registered to attend the particular activity, click on the name of the guest.
- Click the Add Arrow.
- If desired, Add another guest to the same table by clicking the name of the guest, and then click the Add Arrow.
Assign More Than One Guest at a Time
Note: If you are adding more than one guest to a table at the same time, you cannot choose the seats that the Guests will be assigned to. The system will do that for you.

- From within the 'room', click on the desired table.
- Click Assign Seats. The room view changes to the single table, with seats. If you want to view the table as a data grid, click on Grid View. If you want to view the table by 'Seat', click on Seat View.
- In the list of Guests who are registered to attend the particular activity, click on the desired guests. (If you want to add all of the listed guests, it is not necessary to highlight any of them)
- Click Add All. Adds all selected guests (or all guests if none are highlighted) who have not been assigned a seat, to the table. If there are more guests to add than seats, then the number of guests that are added will be equal to the number of seats that are still available.
- Click Room Layout to return to 'room' view and choose another table, if desired.
Remove Guests From a Table

- From within the 'room', click on the desired table.
- Click Assign Seats. The room view changes to the single table, with seats. If you want to view the table as a data grid, click on Grid View. If you want to view the table by 'Seat', click on Seat View.
- Click the Seat to which the guest is assigned.
- Click Remove.
- To return to the 'room' view, click on Room Layout.
Remove All Guests at the Same Time

- From within the 'room', click on the desired table.
- Click Assign Seats. The room view changes to the single table, with seats. If you want to view the table as a data grid, click on Grid View. If you want to view the table by 'Seat', click on Seat View.
- Click Remove All. All guests are removed from the selected table.
- To return to the 'room' view, click on Room Layout.
Assign Guests to a Row
Note: You cannot assign a Guest to a particular seat in a row. The system will do that for you.

- In the list of Guests who are registered to attend the activity, click on the name of the desired guest.
- On the Row and Seat grid, click on the desired row.
- Click Add.
- The # of available seats in the row will decrease by one. The row that the guest has been assigned to displays next to the guest's name.
Assign More Than One Guest at a Time

Open the Seating Assignments form for the Activity.
- In the list of Guests who are registered to attend the Activity, click on the desired guests.
- On the Row and Seat grid, click on the desired row or rows.
- Click Add All.
- The # of available seats for each of the rows will decrease by the number of seats that were assigned. The rows that the guests have been assigned to display next to the guest names.
Remove Guests from a Row

- On the Row and Seat grid, click on the row that the Guest has been assigned to.
- In the list of Guests, click on the name of the desired guest.
- Click Remove.
- The # of available seats in the row will increase by one.
Remove All Guests at the Same Time

Open the Seating Assignments form for the Activity.
- On the Row and Seat grid, click on the row or rows from which to remove the guests.
- Click Remove All.
- The # of available seats in each row will be restored to the original number of seats that were available before any guests were assigned.

Print the Room Layout
Note: Printing the Room Layout is not available for Stadium seating.

- Click Print Room.
Print the Full Guest List with Assigned Seating

Open the Seating Assignments form for the Activity.

Click Print Guests. The Guest List that displays at the left of the form will print in its entirety. This includes the table and seat assignment, if the seating layout is by table, or the row number if a stadium seating layout is used.
The Guest list is sortable. If the seating is by table and you want to print the guest list in table order, then sort by Table number. If the seating is a stadium seating layout and you want to print the guest list in row order, then sort by Row number.
Print an Individual Table Layout, with Assigned Guests - Table and Seat View

Open the Seating Assignments form for the Activity.
- From within the 'room', click on the desired table.
- Click Assign Seats.
- Click Print Table.
- Click Print Table. A picture of the table, with seats and the names of the guests assigned to the seats, will print.
Print an Individual Table Layout, with Assigned Seats - Grid View

Open the Seating Assignments form for the Activity.
- From within the 'room', click on the desired table.
- Click Assign Seats.
- Click Grid View.
- Click Print Seats. The table number, seat number and the name of the guest who is assigned to the seat will print for each seat at the table.
- The details about each table or row that you create are maintained in an individual data row in the Seating Layout data table.
- Once you make a Guest's seating assignment for a particular Activity, the system will automatically enter that information in the Guest's Attendance row. Conversely, if you assign seating by using the Attendance insert and update forms instead, the seating assignment made there will be reflected on the Seating Assignments form.
Seating Layout Field Descriptions
Seating Layout data is stored in the seating_layout data table The following fields are included. The field labels and non-displaying designations that are listed here are those that the system uses by default. If you want to override these default settings, you must customize your display definition.
Note: Custom fields are included in the data table, and are available for any purpose that you want to define. These fields are not shown on the standard Display or standard Data Maintenance forms. If you want to make use of one or more of the custom fields, use the Custom Display Designer to edit the standard Display and Data Maintenance forms.
