Concepts
When an institution plans and carries out an Event, there may be many individual functions that together make up the Event. In Millennium, these components are called Activities, and each is defined in a separate row in the Activity data table. Each Activity row is linked to one specific Event. This allows each Activity to have it's own timing, budget, invitations, guests, expenses, planning and merchandise, all of which can be maintained separately from the other Activities, yet coordinated as part of the same Event.
For example, an Event might be defined as a Fall Festival or as Homecoming. Within such Events, you might hold any combination of dinners, dances, picnics, football games, seminars, walk-a-thons, art exhibits, excursions and so forth. Each one of those functions is defined in Millennium as an Activity and each Event may be made up of any number of these functions, or Activities. You must first create the Event row, and then you may create any number of Activity rows that link to the Event.
Many of the fields in the Activity table contain information about the Activity that is entered by the operator. These include such things as the Activity Name, the Location, the Type of function, the Start and End Dates, Budgeted figures for Attendance, Costs, Income, and an Address for the Activity.
In addition to the data that is manually entered, the system will automatically maintain some additional information that is calculated based on the Expense, Guest, and Income rows that are linked to this Activity either directly or indirectly.
Beyond the data that is maintained in the Activity row itself, additional information about the Activity may be stored in linked secondary tables. This could include information about persons who will serve as Organizers for the Activity, gift or sales Items that are available to the Activity's participants, planned Actions and the Tasks assigned to carry out those plans, and Other Info such as the Activity's Audio-Visual needs. These linked data rows must be created after the Activity row has been created.
To display, edit, or create any Activity data, you must first access the display of the Event with which it is associated. The name of the accessed Event is then shown in the upper left corner of the display frame. Once an Activity has been accessed, its name is also shown in the upper left corner of that display frame. These two names remain in view in a non-scrolling area, as you access any other data that is linked to that Activity. This includes any of the data tables that are listed below Activities in the Millennium Explorer. If you access another data display (under Events, or Registration, for example) the current accessed Activity is closed. To return to the display of that Activity row, or any of its linked rows, you must re-access that Activity.
Examine the Millennium Explorer and look at the list of data tables under Event Info. You will see some of the same data tables that are also listed under Activities. In either case, if you click the table name in the Explorer, you are shown all of the rows from that table that are linked directly to either the Event Info or the Activity. For example, if you click , you are shown only those Item rows that are linked to directly to the Event row. You will not be shown any of the Item rows that are linked to any of the Activities within that Event. Likewise, if you click you are shown those Item rows that are linked directly to the Activity, You will not be shown those Items that are linked to other Activities for the same Event or any that are linked to the Event itself.
Create a New Activity
- Verify that the Activity Type lookup table includes an entry that describes the Activity you plan to create. If not, use Event Lookup Table Maintenance to create the desired entry.

Locate the Event with which the new Activity is associated.
- In the Millennium Explorer, click Events, and click Event Search if the search page is not already displayed.
- Type in the event code or event name in the Event Code/Name box and click Search.
- All Events that meet your search criteria will display on the Search Results page. Click the name of the Event that you want.
- Click the Activities item in the Millennium Explorer. You are shown a listing of the existing Activities for the current Event. Verify that the Activity has not been created already, and then use one of the Create a New Activity. links located near the top of the page to access either the Activity Insert form or an Activity Default insert form.

Enter data in the available fields, using standard data entry techniques in accordance with the nature of the data field. (Datetime fields must use acceptable date formats, lookup table-driven fields use a pull-down listing, etc.):
If your organization uses Instant Address:
The Activity insert and update forms include fields for mailing address information. The
Envelope button displays next to the Address Line 1 field to indicate that Instant Address is available to help you enter a valid mailing address for the activity, or to verify that the activity's address is valid according to "postal authority data". Instructions for using Instant Address are located in the Using Instant Address to enter and verify addresses topic.
What is Instant Address?
Instant Address is a third party service that is offered by Initium Software and integrated into Millennium. It assists users when entering and updating address information by providing real-time address autocomplete functionality and address verification. Activity Name - Enter the desired text.
Note: Names longer than 50 characters cannot be selected for reporting. If you enter a name longer than 50 characters, Millennium displays a warning.
Type - Choose an entry from the Activity Type lookup table pull down list.
Standard - Select this check box if this is a standard Activity. A standard Activity is one that you expect all Event participants will attend. On the Express Registration form for the Event, a guest is assigned to a standard activity by default, but you can unassign the activity.
Location - Enter the name of the location for the Activity.
Success Rating - Choose an entry from the Success Rating lookup table pull down list.
Start Date - Enter the beginning date for the Activity.
End Date - Enter the ending date for the Activity.
Start Time - Enter the beginning time for the Activity.
End Time - Enter the ending time for the Activity.
Total Invited - Enter the number of invitations (or the number of persons) invited to the Activity.
Total Attended - Enter the number of Attendees. IMPORTANT NOTE: The system will automatically increment this field based on the Attended check box on Attendance rows and therefore you should not enter a value in this text box that would include those attendees. You might want to enter a count of staff members or those who will not be entered into the system as Guests for this Activity.
Total Goal - Enter the Goal that has been set for this Activity in total pledges.
Min # of Guests - Enter the minimum number of Guests required to hold this Activity.
Max # of Guests - Enter the maximum number of Guests who may attend this Activity.
Stadium Seating - If the guests who are attending the activity will be assigned seating in a particular row, select the Stadium Seating? check box. If the activity does not have assigned seating, or if the attendees will be seated at tables, then leave this option unchecked.
Budget # of Guests - Enter the planned number of Guests who will pay the fee to attend this Activity.
Budget # Attending - Enter the planned number of Guests who will both pay the fee and actually attend this Activity.
Budget Cost - Enter the planned amount of the cost (to the institution) for this Activity.
Budget Income - Enter the planned amount of income that this Activity will generate.
Activity Fee - Enter the cost (if any) of this Activity to the Attendees.
Address Line 1 - Enter the desired text.
Address Line 2 - Enter the desired text.
Address Line 3 - Enter the desired text.
City - Enter the desired text.
State - Choose an entry from the Places lookup table-pull down list.
ZIP Code - Enter the ZIP or postal code for the address. The treatment of this information is dependent on the Country you choose for the address.
Country - Choose an entry from the Countries lookup table. If you leave this blank or choose USA, the system will treat the ZIP Code information as a standard USA ZIP Code. Otherwise, the ZIP Code info will be treated as free text.
Comment - Enter the desired text.Special Needs - Enter the number of Attendance Special Needs sections that will available on the Express Registration form to record special needs for guests who will attend the Activity (example: gluten-free diet required).
Tournament - Enter the number of Attendance Tourney Needs sections that will be available on the Express Registration form to record tournament needs for guests who will attend the Activity (example: team assignment).

When all data appears in the form as you want, click Insert to create the Activity,
OR
Click Cancel to halt the process without creating the Activity.
View an Existing Activity

Locate the Event.
- In the Millennium Explorer, click Events, and click Event Search if the search page is not already displayed.
- Type in the event code or event name in the Event Code/Name box and click Search.
- All Events that meet your search criteria will display on the Search Results page. Click the name of the Event that you want.
- Click the Activities item in the Millennium Explorer. The display will automatically show a listing of all the Activities for the current Event. You can sort the list in ascending or descending order by Activity Sort Order, Activity Name, Start Date or Location by clicking the appropriate column name on the header. Locate the desired Activity from the listing and click its name. The system will then automatically display the details for that data row.
- If you want to switch from the display of the information from one Activity to the display of another Activity from the same Event, click the Search item under Activities in the Millennium Explorer. The complete list of Activities for that Event will be shown in the display frame. Locate the desired Activity from the listing and click its name as in step 1. The system will automatically display the details for that data row.
- If you have accessed the Activity, are now viewing the display of the other data (for example, Actions) linked to that Activity, and you now want to return to the display of the details for the accessed Activity itself, click the Details item under Activities in the Millennium Explorer.
Edit an Existing Activity

Locate the Event.
- In the Millennium Explorer, click Events, and click Event Search if the search page is not already displayed.
- Type in the event code or event name in the Event Code/Name box and click Search.
- All Events that meet your search criteria will display on the Search Results page. Click the name of the Event that you want.

Display the Activity.
After you locate the Event:
- In Millennium Explorer, click Activities, and click Search if the Activity Search page for the Event is not already displayed.
- Click the name of the Activity.
- Point to the Edit button
located to the left of the Activity name.
- Click the Update/Delete context menu item. An Update form opens, populated with the existing data for that Activity
- Make your changes and click Update.
View Data linked to an Activity

Locate the Event.
- In the Millennium Explorer, click Events, and click Event Search if the search page is not already displayed.
- Type in the event code or event name in the Event Code/Name box and click Search.
- All Events that meet your search criteria will display on the Search Results page. Click the name of the Event that you want.

Locate the Activity.
After you locate the Event:
- In Millennium Explorer, click Activities, and click Search if the Activity Search page for the Event is not already displayed.
- Click the name of the Activity.

Display information that is linked to the current Activity by clicking the appropriate data table name under Activities item in the Millennium Explorer. The available data tables and their displays are:
Actions - which will also include any Task assignments that are linked to those Actions;
Attendees - which includes information from the Event Guest row, the Attendance row, and any Guest Items rows that are linked to the Guest row.
Correspond - which accesses the Search/Create Correspondence screen to either display a list of all constituents who have been sent a piece of correspondence regarding this Activity (Search Correspondence), to create a new Correspondence row related to this Event (Link New Correspondence to an Event or Activity), or launch an Activity Correspondence report.
Expenses - which shows the Expense rows that are linked to the current Activity.
Items - which shows the Items rows that are linked to the current Activity.
Organizers - .which shows the Organizer rows that are linked to the current Activity.
Speakers - which shows the Speaker rows that are linked to the current Activity.
- To switch to the display of data from a different linked table, or to return to the display of the Activity Details, click the desired item in the Millennium Explorer.
Create Data linked to an Activity

Locate the Event.
- In the Millennium Explorer, click Events, and click Event Search if the search page is not already displayed.
- Type in the event code or event name in the Event Code/Name box and click Search.
- All Events that meet your search criteria will display on the Search Results page. Click the name of the Event that you want.

Locate the Activity.
After you locate the Event:
- In Millennium Explorer, click Activities, and click Search if the Activity Search page for the Event is not already displayed.
- Click the name of the Activity.

Create a new data row that is linked to the current Activity by clicking the appropriate data table name under Activities in the Millennium Explorer. The following data can be linked to an activity:
- When the appropriate data table is shown in the display area, pass the mouse pointer over the edit button to the left of the Header Edit Button to access a context menu. Click either the Insert or Insert via Default menu item. You will be given an insert form for that data row. (The system will automatically create the linkage between the secondary data row and the Activity.)

Sort Activities on the Express Registration Form

Locate the Event with which the Activities are associated.
- In the Millennium Explorer, click Events, and click Event Search if the search page is not already displayed.
- Type in the event code or event name in the Event Code/Name box and click Search.
- All Events that meet your search criteria will display on the Search Results page. Click the name of the Event that you want.
- Use Millennium Explorer to show the page, which enables you to change the order in which the list of Activities will display on the Express Registration form. It is important to note that the sort order assigned here will not change the order of the Activities as listed under the Event. Define Activity Sort Order will only change the order in which activities are shown on the Express Registration form.

To change the order of the list of Activities (on the Express Registration form), click an Activity name and drag it to the desired position within the list,
OR
click an Activity Name to highlight it, and then click either Move Up or Move Down to change the sort order.
- When the list of Activities is ordered as desired, click OK to save. Click Cancel to undo your changes.
- Once the sort has been saved, the Activities will display as such during the Express Registration for all users. Each site may want to discuss this amongst its users as to which sort order would suit them best since when a change is made by one user it will affect all users inserting Registration.
Customize the Activity Data Display and Maintenance Forms
- Using Internet Explorer as your browser, log on to the system as a Millennium system administrator.
- Access the Events version of the Custom Display Designer by using Millennium Explorer, .
- Click the Events item on the Navigation Tool Bar to access the Display Designer's context menu, and then click the Activity item.
- Click Display Type and click on the desired Display Type menu item (for example, Long or Short).
- Utilize the Custom Display Designer's editing tools to make your customizations.
- Click Save to save and apply your changes.
