Event Registration

The Express Registration process allows users to enter all Event information for a Registrant and/or Guest on one form. Standard rows to insert include Registration Detail and Guest Detail and may include any of the following if applicable; Guest Lodging, Guest Special Needs, Guest Tourney Needs, Guest Transportation Needs, Activities Attendance, Activity Guest Special Needs (for attending an activity), and Activity Guest Tourney Needs (for attending an activity). From that same form users can Finish Registration, Add Another Registration, Add A Guest, Enter A Fee or Cancel This Insert.

The creation of a Registration row is the beginning step in describing a constituent, his or her Guests, and their involvement with an Event and Activities within the Event. While one constituent 'owns' the Registration row, any number of other parties may be included as Guests under that same Registration. In fact, the Registrant may or may not be a Guest at the Event.

Example:

A wife might register for an Event and indicate that she and her spouse will each attend a differing variety of Activities at the Event. In this case, the wife owns the Registration row, but the husband and wife will each own Event Guest rows linked to that Registration. Then each of those Guest rows may have linked rows describing each person's attendance, preferences, items, etc.

On the other hand, a business might register for an Event so that several of the employees may attend the Event. In that case, the business constituent would own the Registration but would not have a Guest row since the business itself will not be attending. Each employee would have a Guest row linked to the Registration row, whether the employees are constituents or not.

In general, the Registrant is the constituent who will be the point of contact or the one responsible to the institution for the registration fees involved for all of the linked Guests.

Once an Event has been accessed and 'opened', the existing Registrations for that Event may be displayed by expanding the Millennium Explorer Registrations item and then click the Search item. To view an existing Registration (or to create a new one) you must use one of the techniques available on the Registration Search form that is presented in the display. When the system locates that row, the display frame will show the primary data with the label, Registration Detail. This includes the ID number, Create Guest Row For This Registrant, Insert Spouse for this Event, Solicitor, RSVP, Registration Status, Received Date and Comment.

Some of the fields that are shown in the display of the Registration row hold data that you enter directly into that data row. This includes the ID Number or Name of the constituent who will own the row, the name of the Solicitor for the Registration, the type of RSVP that the constituent returned, the Status of the Registration (paid in full, no payment received, partial payment received, etc.), the received date, and a free text Comment.

Other data that is displayed and stored in the Registration row is automatically entered into the Registration row by the system. This includes the Cost of the Registration (based on the chosen set of Activities that the Guests will attend), the Amount paid (the sum of the amounts from the Event Income (Fee) rows that are linked to this Registration, the Balance (the difference in the previous amounts), and the Name fields (copied from the constituent's Name row).

Note: Millennium system administrators or the database administrator can configure audit logging for the Registration data table. For more information, see Audit Log.

Search/Create Registration form

Use the Search/Create Registration form to search for existing registrations and to create new registrations.

Complete the following steps to access the Search/Create Registration form:

  1. After you locate the event, access the form by using Millennium Explorer, Registrations > Search.

Fields

You must enter information in at least one of these fields in order to do a registration search.

Name/id - A constituents ID number or name, entered in standard search format.

City - The city in which constituents reside.

State - The state in which constituents reside.

Zip Code - The postal code in which constituents reside.

Note:

Organizations can add fields to, or remove fields from, the Search/Create Registration form by using the Custom Display Designer. In addition, organizations can customize labels for the fields that are shown on this form.

Buttons and Links

New - click this button to create a new registration. The Constituent Search Results page will display, and it will list all of the constituents who match your search criteria. An (R) next to a constituent's name indicates that he or she is already registered for the event. A (G) next to a constituent's name indicates that he or she is attending the event as a guest. You will not be allowed to create a registration row for a constituent who is either registered for the event or is attending the event as a guest.

Note: If a constituent is registered for an event and is also attending the event as a guest, an (R) displays next to his or her name.

Search - click this button to list the constituents who are registered for the event and who match your search criteria.

Import Registrants - click this button to automatically register constituents in a worktable for the event. A constituent will not be registered again if he or she is already registered for the event or attending the event as a guest of another constituent. Read more about importing registrants in the Import registrants section of this topic.

Registration Listing - click this link to generate a report that will list the event registrants. The report will show the constituent name, ID Number and Status for each Registration row linked to the current Event.

Search for a Guest - click this link to display the Guest ID Search form. You may find this form to be useful when it is necessary to display registration information when you not know the name of the constituent who registered a particular guest. The Guest ID Search form focuses the search on Guest rows that are linked to the Event instead of Registration rows that are linked to the Event.Read more about the Search for a Guest link and the Guest ID Search form in the Viewing existing Registration records section of this topic.

The Registration process

The next forms to be displayed will be the Activities that are part of this Event so that you can identify which ones the Guest will attend. Here only the Activity or Activities associated with that Event will appear. Those Activities that had the Standard box checked will automatically be checked as an Activity the Guest should attend. If Special Needs or Tourney Needs were set on the Activity when the Activity was originally set up, those will appear under each individual Activity as well. The Activity display on the Registration Form can be modified by customizing the SHORT display of Activities. Any fields can be added or removed and the registration form will reflect the changes. On the registration form if any of the data in the activity is blank it will not display on the registration form.

Once the Registration Detail, Guest Detail, Activity and any other applicable forms have been filled out , the system will allow you to select one of five options to continue.

  1. Finish Registration - This option will bring you to the Registration Detail for the Registrant just inserted.
  2. Add Another Registration - This option will return you to the original Search/Create Registration form to perform another Registration.
  3. Add A Guest - This option will bring you to the Constituent Guest Search ID form and allow you to search for a Guest to insert.
  4. Enter A Fee - This option will allow you to enter information on the Fees (Event Income) that are being paid toward this Registration. After that information is entered, you will be returned to the display of the Registration Detail for the current Registration and Fee rows.
  5. Cancel This Insert - This option will return you to the original Search/Create Registration form to perform another Registrant search.

Viewing existing Registration records

  1. In Millennium Explorer, click Registrations to display the Search/Create Registration form.

  2. To locate a Registration record, type the registrant's name or ID number into the Name/ID text box. Format for a name search is Last/First Middle. (You can also type in partial name information and add address information to help with the search). Click Search to list only the constituents who have already registered for the Event.

    Note: Clicking New will return constituents who are not registered, constituents who are registered, and event guests. An (R) is shown next to the names of constituents who are already registered for the event. A (G) is shown next to the names of constituents who are already event guests.

  3. To locate a Registration record by using a Guest name or id number search:
    1. Click the Search for a Guest link.
    2. On the Guest ID Search form, type the Guest name or ID number into the Name/ID text box. Format for a name search is Last/First Middle. (You can also type in partial name information and add address information to help with the search). If you are searching for a non-constituent Guest, then you must type in name information.
    3. Click Search to list Guests who match the search criteria.

      If no matches are found, you have the opportunity to enter different search criteria, or you can click the Search for a Registrant link to return to the Search/Create Registration form.

      Note: A Guest who is a constituent will appear in the list more than one time if he or she has more than one Lookup Name row. Click the Sort by ID and Display Unique List link to remove duplicate constituent Guest rows from the list. If you re-sort the list, the duplicate rows will display again.

Creating Registration Records

Registration records can be created in one of the following ways:

Creating a new Registration record using the Express Registration form

The Express Registration process is used to add a Registration to an event and also to add Guests to Event Registrations that already exist. Express Registration uses a one-screen data entry form that includes the Registration Detail section and the Guest Detail section (note that the Registration Detail section will not display if you are using Express Registration to add a Guest to an existing Event Registration).

If applicable to the Event, the page will also include sections for Event Items, Activities, Guest Lodging, Guest Special Needs, Guest Tourney Needs, and Guest Transportation Needs. If applicable to a specific Event Activity, the Activities section will include additional sections for Attendance Special Needs and Attendance Tourney Needs below the Activity details and Activity Items (if any).

Complete the following steps to create a single Registration record by using the Express Registration form.

  1. In Millennium Explorer, click on Registration and click on Search. The Search/Create Registration form displays (it may not be necessary to click Search; the form may display immediately upon clicking Registration).
  2. Enter the ID Number (if known) or the name or partial name of the Registrant (using the form, Last/First Middle) in Name/ID text box on the form. You may also enter Address information. Click New. The Constituent Search Results page displays and it will list all of the constituents who match your search criteria.

    Note: An (R) is shown next to the names of constituents who are already registered for the event. A (G) is shown next to the names of constituents who are already event guests. You cannot create a registration for a constituent who is already registered for the event and you cannot register a constituent who is already a guest of a different registrant (for this event).

  3. Click the name of the constituent for whom you are creating the registration record to display the Express Registration form.
  4. Complete the Activities section.

    • Activities that are standard will be selected by default. No action is needed to assign a standard Activity.
    • If you do not want to assign a standard activity, then clear the check box associated with the activity.
    • To assign a non-standard activity to a guest, then select the check box associated with the activity.

    For each Activity:

    1. If an Activity was set up to record special needs that link to the Guest's Activity Attendance, then complete the Attendance Special Needs section for the activity. These are the same fields as shown in Step 9.
    2. If an Activity was set up to record tournament needs that link to the Guest's Activity Attendance, then complete the Attendance Tourney Needs section for the activity.These are the same fields as shown in Step 10.
  5. Once all sections have been completed click on one of these buttons to continue.

    • Finish Registration - This option will bring you to the Registration Detail for the Registrant just inserted.
    • Add Another Registration - This option will return you to the original Search/Create Registration form to perform another Registration.
    • Add A Guest - This option will bring you to the Constituent Guest Search ID form and allow you to search for a Guest to insert.
    • Enter A Fee - This option will allow you to enter information on the Fees (Event Income) that are being paid toward this Registration. After that information is entered, you will be returned to the display of the Registration Detail for the current Registration and Fee rows.
    • Cancel This Insert - This option will return you to the original Search/Create Registration form to perform another Registrant search.

Creating a New Registration row from an Event or Activity Correspondence

Complete the following steps to create a single Registration record from a constituent's Event or Activity Correspondence record.

An Event or Activity Correspondence row must already exist for the constituent who is to be registered (You can use the Add Correspondence Utility to create correspondence records that link to Events or Event Activities.)

  1. OR

  2. Point to the Edit button edit button located to the left of the Correspondence record and click Check Registration. If a Registration row already exists, the Registration page is shown. If a Registration row does not exist, the Express Registration form displays instead.
  3. Complete the Express Registration form to create the registration record for the constituent. If necessary, review the steps beginning at Step 5 in the Creating a new Registration record using the Express Registration form section of this topic to complete the form.

Importing registrants

Constituents that are listed in a worktable that your User ID owns can be registered for an Event, all at one time, by using the Import Registrants button on the Search/Create Registration page. Worktables that you own include your saved Search Results, your saved report worktables, and report worktables that were saved when reports were run on your behalf.

To load the worktable for import:

  1. Click Import Registrants. The Load Table form displays. Every worktable that your User ID owns will be listed.
  2. Select the name of the worktable that you want to use.
  3. Click Accept.

    ClosedOther buttons on the Load Tables form:

    Cancel will close the Load Tables form.

    Delete will delete the selected worktable. A confirmation message will be shown before the system deletes the worktable.

The system will attempt to register each constituent in the worktable. A constituent can not be registered again if he or she is already registered for the event.

If there are errors, duplicate constituents in the worktable, or constituents who had already registered for the event, click on the name of the error log for more information.

Editing existing Registration records

  1. Point to the Edit button edit button located to the left of the registrant's name and click Update/Delete.
  2. Tab or mouse click to each text box containing data that you want to edit. Make the desired changes.
  3. Note that the Create Guest Row for this Registrant check box will be disabled if the Registrant already has a linked Guest row. If not, it will be selected by default. If you do not want to create a Guest row at this time, clear the check box.
  4. Click Update to make the changes to the data,

    OR

    Click Delete to remove the data record from the system,

    OR

    Click Cancel to close the update form. There will be no changes to existing data.

Registration table field descriptions

Event Registration data is stored in the registration data table. The following fields are included. The field labels and non-displaying designations that are listed here are those that the system uses by default. If you want to override these default settings, you must customize your display definition.

Note: Custom fields are included in the data table, and are available for any purpose that you want to define. These fields are not shown on the standard Display or standard Data Maintenance forms. If you want to make use of one or more of the custom fields, use the Custom Display Designer to edit the standard Display and Data Maintenance forms.

If this row is created or updated from data that originally came from the registration_pending table, then this field will hold information about the data's import source. Data from the Online Constituent Directory will have a source of Online Directory. Data from Soft Edit users will have a source of Soft Edit. Data whose import source is the ADE Import Tool can be assigned a value (other than Online Directory or Soft Edit) from the ade_source lookup table by the user who executes the utility, or the source can be blank.
