Event and Activity Actions
The Events Action table may be used to describe each of the jobs or actions that must be undertaken to successfully sponsor an Event, or an Activity within the Event. Once the actions have been planned and entered, the assignment of the responsibility for each action is made by linking a Task data row to the Event Action row. Each Event Action may have multiple linked Tasks. And each Task will belong to the constituent who will have the responsibility for completing the event action (or a portion of it). Each Event Action row will 'belong' to either a specific Event row, or belong to a specific Activity within the Event. It will not belong to any constituent in the system.
In the Events World, when Event Action rows are displayed in standard short mode, the Type, Completion Date, Priority, and Due On date fields are shown. When displayed in standard long mode, in addition to the fields shown in short mode, the Campaign, Campaign Year, Division, Source, Location, Comments, Change Date, and User id are also displayed. Also in long mode, or when the Display Linked Data in Short Display User Option is checked, any linked Tasks are shown as secondary rows, indented below the primary row and labeled as Event Actions Tasks.
Note: Millennium system administrators or the database administrator can configure audit logging for the Event Actions data table. For more information, see Audit Log.
Display Event Actions Linked to an Event
- Access the Event whose Actions data rows you want to view. Refer to Accessing an Existing Event for instructions.
- In the Millennium Explorer, click on Event Info.
- Click the Actions item, under Event Info. The system will display all of the Actions that are linked to the Event you accessed in step 1. If Tasks have been linked to any of these Action rows, they will display as well (provided the display mode is set to Long, or the Display Linked Data in Short DisplayUser Option is checked).
Display Event Actions Linked to an Activity
- Access the Event whose Activity's Actions data you want to view. Refer to Accessing an Existing Event for instructions.
- In the Millennium Explorer, click on Activities to expand that item
- From within the data display area, click on the desired Activity name hyperlink. For more information see, Accessing an Existing Activity.
- Click the Actions item under Activities. The system will display all of the Actions that are linked to the Activity you accessed in step 3. If Tasks have been linked to any of these Action rows, they will display as well (provided the display mode is set to Long, or the user option Display Linked Data in Short Display User Option is checked).
Create a New Event Action Row
- To create an Event Action linked to an Event, begin by following the instructions for accessing the display of Event Actions linked to an Event, shown directly above. To create an Event Action linked to an Activity, begin by following the instructions for accessing the display of Event Actions linked to an Activity, shown directly above.
- Pass the mouse pointer over the Event Actions section header edit button to the left of any existing Event Actions, to access a context menu. Click Insert or Insert via Default.
- You will be given an Insert form either blank or with your current active default definition for Event Actions. If you want to use a default definition that is not currently flagged as your active one, then point to the Choose Default item from the section header edit button context menu instead, and click on the name of the desired default definition.
- Enter the appropriate data for each of the data columns.

When all data appears in the form as you want, click on Insert to create the Event Action row. A Tasks insert form will automatically be presented. You may choose, at this point, to link a Task to the Event Action row by completing the Tasks insert form See the Tasks topic for instructions. If not, click Cancel on the Tasks insert form to close this form without creating the linked Task
OR
Click Cancel to halt the process without creating a new row.
Edit Existing Event Action Data
- To edit an Event Action linked to an Event, begin by following the instructions for accessing the display of Event Actions linked to an Event, shown above. To edit an Event Action linked to an Activity, begin by following the instructions for accessing the display of Event Actions linked to an Activity, shown above.
- Pass the mouse pointer over the edit button to the left of the desired Event Action row to access a context menu. Click Update/Delete. An Update form showing the current data will be presented.

Tab or mouse click to each text box containing data that you want to edit. Make the desired changes, and click on the Update button to make the changes to the data,
OR
Click Delete to remove the data row from the system,
OR
Click Cancel to halt the process without making any changes to the data row.
- Note: if you delete an Event Action to which one or more Tasks are linked, the linked Tasks will be deleted as well.
Link a Task to an Existing Event Action
- To link a Task to an Event Action linked to an Event, begin by following the instructions for accessing the display of Event Actions linked to an Event, shown above. To link a Task to an Event Action linked to an Activity, begin by following the instructions for accessing the display of Event Actions linked to an Activity, shown above.
- Pass the mouse pointer over the edit button to the left of the desired Event Action row to access a context menu. Point to Link, and then click on Task, or Task via Default.
- You will be given either a blank Insert form or one populated with your current active default definition for Tasks. From this point forward, refer to the Tasks topic for instructions for completing this insert form.
Customize Event Action Data Display and Maintenance Forms
- Using Internet Explorer as your browser, log on to the system as a Millennium system administrator.
- Access the Events version of the Custom Display Designer by using Millennium Explorer, .
- Click the Events item on the Navigation Tool Bar to access the Display Designer's context menu, and then click on the Actions item.
- Click Display Type and click on the desired Display Type menu item (for example, Long or Short).
- Utilize the Custom Display Designer's editing tools to make your customizations.
- Click Save to save and apply your changes.

Event Actions Field Descriptions
Event Actions data is stored in the event_actions data table. The following fields are included. The field labels and non-displaying designations that are listed here are those that the system uses by default. If you want to override these default settings, you must customize your display definition.
Note: Custom fields are included in the data table, and are available for any purpose that you want to define. These fields are not shown on the standard Display or standard Data Maintenance forms. If you want to make use of one or more of the custom fields, use the Custom Display Designer to edit the standard Display and Data Maintenance forms.
