Giving Trends

The display frame to the right will show a graph, a chart, and some textual description of the current constituent's giving information. The graph will display fiscal year totals for the current and previous four calendar years, based on the transactions' Effective Dates. The chart and descriptive information will display information based on the constituent's entire giving history.

The Giving Trends display provides a summarized, graphical view of a specific constituent's Gift giving history. This does not include any Dues information, which is shown in a separate display, the Dues Trends.

Each user may adjust the options for this display to include or exclude a spouse's giving info or other joint amounts; to focus on one particular campaign or all campaigns; to include or exclude pledges and/or credit transactions; to include or exclude matching pledges that are linked to this constituent's transactions, whether those matching pledges have or have not yet been received by the institution; to include or exclude potential pledge and potential match pledge amounts. As these options are changed, the system will automatically calculate and adjust the display. The month to be used as the starting month of the fiscal year is a institutional-wide option, set by the system administrator on the System Options page.

Below the graph, the exact total amount of the constituent's giving to the specified Campaign is shown, along with the exact total amount of unpaid pledges remaining to that Campaign, the total number of years in which the constituent made a donation to that Campaign, and the number of consecutive years in which the constituent made a donation to that Campaign. Below those statistics, a chart of three notable donations is shown. These are the first donation, the latest (most recent) donation and the single largest donation. Each is shown with the amount, the date and the campaign for that transaction.

Note: An Administrator can remove the Giving Trends from the Millennium Explorer if not used. See Table Options for more information.

Giving Trends Components

Description

Just above the graph, you will see a sentence that describes the options that were used to create the graph, chart and other summary information. These are user options that are set via the Options button on that display.

Graph

A three dimensional columnar graph is constructed and displayed, showing the constituent's total giving to the specified Campaign, or to all Campaigns combined, for the current and previous four Campaign Years. The scale used for the vertical axis of the graph will be based on the dollar amount of that constituent's total and the sentence just above the graph tells the scale that is used. Therefore, when browsing between the Giving Trends display for a variety of constituents, it is important to check the scale that is used in each case, in order to view the information with the proper perspective.

Total

Below the graph and to the left, an exact total amount of giving is shown. This total will include data from all years, not just the five most recent ones that are shown in the graph. The total will be calculated in accordance with the options that are in effect. As a reminder, those options are shown in the description above the graph.

Outstanding Pledges

Below the graph and to the right, an exact total of all outstanding pledges is shown. This total will include data from all years, not just the five most recent ones that are shown in the graph. The total will be calculated in accordance with the options that are shown in the description above the graph.

Years Giving

Following the Total and Outstanding Pledge amounts, the Trends display shows the total number of distinct years in which the constituent made a donation. This is calculated in accordance with the other options that are activated, including the fiscal year start month.

Consecutive Years Giving

The Consecutive Years Giving is calculated starting with the previous year and counting backwards.

Notable Giving

Below the Total and Total Outstanding Pledges, a chart is shown of three particular transactions belonging to the constituent. These are the first donation that was given, the most recent donation, and the single largest transaction. These will be identified in accordance with the Options that are in effect. For each of these transactions, the date, the amount, and the Campaign is also shown.

Giving Trends Options

To alter the definition that the system will use to make the calculations for the Giving Trends graph, you may click on the Options button at the top of that display page. This will take you to an edit form that shows the variables that you may change. These options help the system determine which Gift Transactions to include and exclude. These calculations will be made using those with Types of gift, bequest, pledge payment, or cumulative transaction and may include other Types, depending on the options you choose. In all cases, the calculations will be made using the Amount field (in the case of Pledges, this field is labeled, Balance).

Campaign

A pull down list box will be provided so that you may choose the one Campaign on which you want to have the Giving Trends focus. This list is taken from your institution's Campaigns lookup table. Note too, that the list includes the item, ALL which will indicate to the system that you want to have the Giving Trends constructed using Giving transactions to all Campaigns, combined. All calculations will still be made in accordance with the other options that you select.

Include Spouse

A check box is shown that allows you to indicate to the system whether or not to consider the spouse's transactions for inclusion in the calculation of amounts for the Giving Trends display. If this option is activated, all of the spouse's transactions are considered, regardless of whether they are jointly owned by the spouses or not. In order to be included, the spouse transactions must conform to the other options that are set for the Trends display (pledges, credits, potentials).

These relationship types are included:

A constituent's deceased spouse's transactions will only be included if there is no other existing spouse relationship.

Include Joint

A check box is shown that allows you to indicate to the system whether or not to include the full amount of transactions that are jointly owned. If the Joint option is activated, the system will consider all joint transactions for inclusion in the constituent's Trends display. These joint transactions may be jointly owned by the constituent's spouse or any other constituent. If the Include Spouse option is also activated at the same time as the Include Joint option, the system will not include the spouse joint transactions twice, but will adjust accordingly. In order to be included, the joint transactions must conform to the other options that are set for the Trends display (pledges, credits, potentials).

Include Pledges

A check box is shown that allows you to indicate to the system whether or not to include transactions with a Type of pledge, expectancy, or match pledge. These transactions represent a commitment to the institution, but have not yet been realized as actual donations.

Payments that have already been received against any pledges are automatically included in the calculations for the Trends display. This option allows you to include or exclude the balance of any pledges made. Since the amount field in such transactions is reduced as pledges are paid off, there is no duplication by including such transactions.

Note that the Outstanding Pledge amount that is shown below the graph will be calculated, even if you choose not to include pledges in the graphed display.

Include Credits

A check box is shown that allows you to indicate to the system whether or not to include transactions with a Type of credit, pledge credit, or match credit (from corporation or foundation constituents) that are linked to the constituent's transactions.

Match Credit amounts will not be included in the Trends calculations for the constituents (typically corporations and foundations) who own the match credit transaction.

Pledge credits are included in the Trends calculations only if the Include Pledges option is also selected.

Include Matching Due

A check box is shown that allows you to indicate to the system whether or not to include the balance amount(s) from any matching pledges (mp) that are linked to the constituent's transactions. Be aware that in this context, 'due' simply means that the match pledge is unpaid, not that a payment is currently due or overdue. Match pledges must be linked to the primary constituent's transactions in order to be considered for inclusion in the Trends calculations. Even if the spouse or joint transactions are included in the Trends calculations, matching pledges linked to the spouse or joint transactions are not.

Matching Due amounts will not be included in the Trends calculations for the constituents (typically corporations and foundations) who make (owns) the matching pledges. If you want to include the amount of money that a corporation or foundation owes to other constituents, then select the Include Pledges option when calculating the corporation's or foundation's Giving Trends.

Include Matching Paid

A check box is shown that allows you to indicate to the system whether or not to include the paid amount(s) from any linked matching pledges (mp) that are linked to the constituent's transactions. Match pledges must be linked to the primary constituent's transactions in order to be considered for inclusion in the Trends calculations. Even if the spouse or joint transactions are included in the Trends calculations, matching pledges linked to the spouse or joint transactions are not.

Include Potentials with Matching Due

A check box is shown that allows you to indicate to the system whether or not to include transactions with a type of match pledge potential (o) that are linked to the constituent's transactions.

Match Pledge Potentials will not be included in the Trends calculations for the constituents (typically corporations and foundations) who own the match pledge potential transactions.

Select Giving Trends Options

  1. Access the display of the Giving Trends for a constituent and click on the Options button in that display.
  2. Click the arrow to the right of the Campaigns pull-down list box to display the available Campaigns or type in the beginning letter of the name of the desired Campaign. Continue to type that letter until the desired Campaign name is shown. If you want to have the Giving Trends show totals for all Campaigns combined, select ALL.
  3. Tab or mouse click on the Include Spouse check box. If you want to have the totals calculated using the transactions from both spouses, click to place a check in the box.
  4. Tab or mouse click on the Include Joint check box. If you want to have the totals calculated using the full amount of any transactions that are jointly owned by this constituent, click to place a check in the box.
  5. Tab or mouse click on the Include Pledges check box. If you want to have the totals calculated including pledges and expectancies, click to place a check in the box.
  6. Tab or mouse click on the Include Credits check box. If you want to have the totals calculated including credit transactions, click to place a check in the box.
  7. Tab or mouse click on the Include Matching Due check box. If you want to have the totals calculated using the unpaid amount of any match pledge transactions that are linked to those owned by this constituent, click to place a check in the box.
  8. Tab or mouse click on the Include Matching Paid check box. If you want to have the totals calculated using the paid amount of any match pledge transactions that are linked to those owned by this constituent, click to place a check in the box.
  9. Tab or mouse click on the Include Potentials with Matching Due check box. If you want to have the totals calculated using the amount of any match potential transactions that are linked to this constituent's transactions, click to place a check in the box.
  10. When all options appear as you want, click on OK to institute these options or Cancel to halt the process without altering the options.
