Concepts
Guest Items vs. Items
It is important to understand the distinctions between the Guest Items table and the Items table. Each of the rows in the Items table describes a piece of merchandise or a menu choice that may be offered to those who participate in an Activity or in an Event. Each Item row is linked to a particular Event row or to a particular Activity row.
When a Guest is registered to attend an Event and/or an Activity that is a part of the Event, you can assign any of the Items that link to an Event row or an Activity row to the Guest. To track the Guest's item choice (or your choice of item for him), a Guest Item row is created for each item that he or she will receive. Each Guest will have his or her own set of Guest Items rows, based on the Event and the specific set of Activities that Guest will attend.
Everyone who is signed up to attend the Fall Festival will be offered a commemorative key chain. Everyone who participates in the Walk-a-thon (a Fall Festival Activity) is offered a T shirt in size M, L or XL. You will have created four rows in the Items table - one for the key chain (that is linked to the Fall Festival Event row), and one for each T-shirt size (each of which will be linked to the Walk-a-thon Activity row).
A couple registers for the Fall Festival, but only one member of the couple participates in the Walk-a-thon. That member requests a T shirt in size M. As you create the Registration and Guest rows for the couple, you can assign Guest Items to each of them, based on the Event itself, and on the Activities that each will or will not participate in. For attending the Event, both members will be assigned a key chain, so each will have a linked Event Item row in the Guest Items table. In addition, the member who is participating in the Walk-a-thon will be assigned a T-shirt, so he or she will have an Activity Item row in the Guest Items table as well.
Event Items vs. Activity Items
An item that is assigned to a Guest based on his or her participation in the Event is called an Event Item. An item that is assigned to a Guest based on his or her participation in one of the event's activities is called an Activity Item.
Standard Guest Items
Items that are typically offered to every guest are called Standard items. For example, your institution hosts an event fund raiser in which every participant (guest) is a member of a team. Each team has a captain. Every team member will receive a white participant T-shirt. In addition, the captain receives a red T-shirt with the word 'Captain' on the back. The white T-shirt is a Standard item because everyone will be offered one. The captain T-shirt item is not a Standard item because it will be offered only to special event participants.
Item Inventory
As each Guest Items row is created, the Remaining Inventory count for the corresponding row in the Items table is reduced.
If a Guest is eligible to receive an Item but chooses not to do so, you can do one of two things (as a procedural policy within your institution). You may simply cancel out of the process of creating the Guest Items row when given the opportunity to create one. Or, you may create the row but use the Declined flag to indicate that although the Guest was offered the item, he or she chose not to receive it. In either case, the Inventory count is not reduced for that Item.
Viewing Guest Items
Each Guest record will have his or her own section on the Registration details page. Assigned Event Items display within that section, in the Event Items section. The Event Items section is shown only if Event Items have already been assigned to the Guest. In addition, the Guest display mode must be set to Long or Detail, or set to Short and the user option to Display Linked Data in Short Display is activated.
Activity Items will also display in a Guest section, under the Activity record and in the Attendance Items section. The Attendance Items section is shown only if Activity Items have been assigned to a Guest based on his or her participation in that Activity. In addition. the Guest display mode must be set to Long or Detail (or Short if the user option to Display Linked Data in Short Display is activated), and the Attendance display mode must be set to Long (or Short if the user option to Display Linked Data in Short Display is activated).
Guest Items Data Entry
Millennium uses the Express Registration process to add a Registration to an event, and to add Guests to Event Registrations that already exist. The Express Registration one-screen data entry page that includes an Event Items section if there are items linked to Event. If the Event has Activities, the data entry page also includes an Activities section. There is no separate section for Activity Items on the Express Registration data entry page. Instead, items that are linked to an Activity will be shown under the details for the Activity to which they are linked.
You can assign Event and Activity Items for a Guest at the time of registration (on the Express Registration data entry page). Or you can add them after a Guest has been registered for the Event and for the Activities that he or she will be participating in.

The system can log data entry and changes for the Guest Items data table. The audit logging feature is optional, and it is configured by a Millennium System administrator or the database administrator. For more information, see Audit Log.
View existing Event and Activity Items for a Guest

Locate the Event.
- In the Millennium Explorer, click Events, and click Event Search if the search page is not already displayed.
- Type in the event code or event name in the Event Code/Name box and click Search.
- All Events that meet your search criteria will display on the Search Results page. Click the name of the Event that you want.

Locate the Registration record for the constituent who registered the Guest.
After you locate the Event:
- In Millennium Explorer, click Registrations to display the Search/Create Registration form.
- If you know the name or id number of the constituent who registered the Guest, type it into the Name/ID box (format for the name is Last/First Middle)
- If you do not know who registered the Guest, click Search for a Guest to display the Guest ID Search page, and then type in the name or id number of the Guest into the Name/ID box (format for the name is Last/First Middle).

Click Search. The Registration page displays. If a search results page is displayed instead, you will need to click on the name you want in order to display the Registration page.
Information about Guests who are registered by this constituent is shown after the details about the Registration.

Locate the Guest record.

Event Items are linked to the Guest record. Locate the Event Items section. All items that a Guest receives based on his or her participation in the Event will be displayed in the section.
If you do not see the Event Items section for the Guest:
- Display the Guest record in Long display or Detail display.
- If you still do not see the section, then no Event Items have been assigned to the guest.

Activity Items that are linked to a particular Guest Activity Attendance record. Locate the Attendance section for the Guest, locate the name of the Activity, and then locate the Attendance Items section for that particular Activity. All items that a Guest receives based on his or her participation in that Activity will be displayed in the section.
If you do not see the Attendance Items section for an Activity:
- Display the Activity record in Long display.
- If you still do not see the section, then no items have been assigned to the Guest for that Activity.
Assign Event and Activity Items during Registration
The Express Registration process is used to add a Registration to an event and also to add Guests to Event Registrations that already exist. Express Registration uses a one-screen data entry form that includes the Registration Detail section and the Guest Detail section (note that the Registration Detail section will not display if you are using Express Registration to add a Guest to an existing Event Registration).
If applicable to the Event, the page will also include sections for Event Items, Activities, Guest Lodging, Guest Special Needs, Guest Tourney Needs, and Guest Transportation Needs.
The Event Items section will list details about the items that are available to the Guest based on his or her participation in the Event. Items that are standard and that are still available (the inventory is not yet exhausted) are selected by default.
- No action is needed to assign a standard Event Item to the Guest.
- If you do not want to assign a standard Event Item, then clear the check box associated with the item.
- To assign a non-standard Event item, then select the check box associated with the item.
- If the Event itself is a meal (breakfast, lunch, dinner for examples) then items that are menu choices may be shown. These items display as options, and only one can be selected for the Event.
- If an item is no longer available (its inventory is exhausted) then it cannot be selected.
The Activities section includes information about each individual Event Activity. Below the description for each individual Activity (name, location, start and end date, fee, and so forth), details about the items that are available to the Guest based on his or her participation in that individual Activity are listed. Activity items that are standard and that are still available (the inventory is not yet exhausted) are selected by default.
- No action is needed to assign a standard Activity Item to the Guest.
- If you do not want to assign a standard Activity Item, then clear the check box associated with the item.
- To assign a non-standard Activity item, then select the check box associated with the item.
- If the Activity is a meal, then items that are menu choices may be shown. These items display as options, and only one can be selected for this Activity.
- If an item is no longer available (its inventory is exhausted) then it cannot be selected.
Assign Event Items after a Guest is registered

- In the Millennium Explorer, click Events, and click Event Search if the search page is not already displayed.
- Type in the event code or event name in the Event Code/Name box and click Search.
- All Events that meet your search criteria will display on the Search Results page. Click the name of the Event that you want.

Locate and display the Registration record for the constituent who registered the Guest.
After you locate the Event:
- In Millennium Explorer, click Registrations to display the Search/Create Registration form.
- If you know the name or id number of the constituent who registered the Guest, type it into the Name/ID box (format for the name is Last/First Middle)
- If you do not know who registered the Guest, click Search for a Guest to display the Guest ID Search page, and then type in the name or id number of the Guest into the Name/ID box (format for the name is Last/First Middle).

Click Search. The Registration page displays. If a search results page is displayed instead, you will need to click on the name you want in order to display the Registration page.
Information about Guests who are registered by this constituent is shown after the details about the Registration.

Locate the Guest record. Point to the Edit Button
located to the left of the Guest ID number or name. Click Link > Event Items. The Items Available for this Event page will display.
Note: is not available from the Edit Button menu that is located in the Guest section header.
- Under Items, Items Available lists all of the items (by Name, Color, and Size) that are available for this event (only). Menu Choice shows all of the menu options (including None), that are available for this event.
- If there are no items available, then Items Available list will be empty. If there are no menu options available, then None will be the only option that is shown.
- To add items (that are not menu choices):
- In Items Available, select the check box to the left of each item that you want to add.

Click Add. The item is now listed in Assigned Items. You can assign all of the items at one time by clicking Add All.
Important! Using the Add All button will assign each and every available item (not one of each available item). For example, if there are 1000 tote bags available for the event, then all 1000 of them will be assigned to this guest.
If you intended to assign only one of each item that is available, then select the check box to the left of every item in Available Items list, and click Add.
- If you change your mind, select the check box to the left of the item or items in the Assigned Items list that you want to remove and click Remove. You can remove all of the assigned items at one time by clicking Remove All.
- To select a menu item, under Menu Choice, click the option that you want.
- Click OK
to add the new items or make a new menu choice.
OR
Click Cancel to close the page (no event items will be added, or menu choices changed).
Assign Activity Items after a Guest is registered

Locate the Event.
- In the Millennium Explorer, click Events, and click Event Search if the search page is not already displayed.
- Type in the event code or event name in the Event Code/Name box and click Search.
- All Events that meet your search criteria will display on the Search Results page. Click the name of the Event that you want.

Locate and display the Registration record for the constituent who registered the Guest.
After you locate the Event:
- In Millennium Explorer, click Registrations to display the Search/Create Registration form.
- If you know the name or id number of the constituent who registered the Guest, type it into the Name/ID box (format for the name is Last/First Middle)
- If you do not know who registered the Guest, click Search for a Guest to display the Guest ID Search page, and then type in the name or id number of the Guest into the Name/ID box (format for the name is Last/First Middle).

Click Search. The Registration page displays. If a search results page is displayed instead, you will need to click on the name you want in order to display the Registration page.
Information about Guests who are registered by this constituent is shown after the details about the Registration.
- Once you have located the Guest record, locate the Attendance section for the guest, and then locate the specific Activity.
- Point to the Edit Button
located to the left of the Activity name. Click Link > Activity Item. The Items Available for this Activity page will display.
- Under Items, Items Available lists all of the items (by Name, Color, and Size) that are available for this activity (only). Menu Choice shows all of the menu options (including None), that are available for this activity.
- If there are no items available for the guest, then Items Available list will be empty. If there are no menu options available for the activity, then None will be the only option that is shown.
- To add items (that are not menu choices):
- In Items Available, select the check box to the left of each item that you want to add.

Click Add. The item is now listed in Assigned Items. You can assign all of the items at one time by clicking Add All.
Important! Using the Add All button will assign each and every available item (not one of each available item). For example, if there are 200 large blue T-shirts available, then all 200 of them will be assigned to this guest.
If you intended to assign only one of each item that is available, then select the check box to the left of every item in Available Items list, and click Add.
- If you change your mind, select the check box to the left of the item or items in the Assigned Items list that you want to remove and click Remove. You can remove all of the assigned items at one time by clicking Remove All.
- To select a menu item, under Menu Choice, click the option that you want.
- Click OK
to add the new items or make a new menu choice.
OR
Click Cancel to close the page (no activity items will be added, or menu choices changed).
Edit existing Guest Items
- Display the Event Items or Activity Items for the guest. If necessary, review the steps in the View existing Event Items and Activity Items for a Guest section of this topic.
- Click the Edit Button
to the immediate left of the Event or Activity Item that you want to edit. An Update form showing the current data will be presented.
- Tab or mouse click to the Declined?, Distributed?, or Comment you want to edit. Make the desired changes to those three fields. You will not be able to edit the Item Name, Size, Color or Value. To edit the Item Name, Size, Color or Value, you will need to add a new Guest Item to reflect these changes and then delete the current Item. If you want to change a menu choice, review the Change a Menu Choice section of this topic (below).
- Click the Update button to make the changes to the data,
OR
Click Delete to remove the data row from the system,
OR
Click Cancel to halt the process without making any changes to the data row.
Change a menu choice
- Display the Event Items or Activity Items for the guest. If necessary, review the steps in the View existing Event Items and Activity Items for a Guest section of this topic.
- Click the Edit Button
in the Event Items or Activity Items header section.
- Click Insert. The Items Availablefor this Event or Items Availablefor this Activity page will display.
- Under Menu Choice, click the option that you want.
- Click OK.
View and maintain Activity Items from the Attendee page
Community Brands provides an alternative way to view and maintain Activity Items.
The Attendee page is used to view and maintain Attendance information for one specific Event Activity after a Guest has been registered to attend that Activity. You can assign, view, and edit Activity Items that link to an activity by using the Attendee page. You cannot assign, view or edit Event Items by using the Attendee page.
Complete the following steps to locate the Attendee page for a Guest who is attending a particular activity:

Locate the Event.
- In the Millennium Explorer, click Events, and click Event Search if the search page is not already displayed.
- Type in the event code or event name in the Event Code/Name box and click Search.
- All Events that meet your search criteria will display on the Search Results page. Click the name of the Event that you want.

Locate the Activity.
After you locate the Event:
- In Millennium Explorer, click Activities, and click Search if the Activity Search page for the Event is not already displayed.
- Click the name of the Activity.
- In Millennium Explorer, click to display the Attendee Search page.
- Type the Guest's name or id number into the Name/ID box (format for the name is Last/First Middle).

Click Search. The Attendee page for the guest displays (if the Guest search returns more than one name, the Attendee page will display after you click the name that you want).
The Activity Items section is shown after the Attendance Details section. Any assigned Activity Items will be listed.
- To assign a new Activity Item, point to the Edit button
located in the Activity Items header and click Insert.
- To edit an Activity Item, point to the edit button located to the left of the Activity Item name and click Update/Delete.
Guest Items Column Descriptions
Event Item and Activity Item data is store in the guest_items data table. The following columns are included. The column labels and non-displaying designations that are listed here are those that the system uses by default. If you want to override these default settings, you must customize your display definition.
Note: Custom fields are included in the data table, and are available for any purpose that you want to define. These fields are not shown on the standard Display or standard Data Maintenance forms. If you want to make use of one or more of the custom fields, use the Custom Display Designer to edit the standard Display and Data Maintenance forms.
