Research Source
Research Source is a secondary table that provides the means for an institution to schedule and monitor the progress of the donor research activity that is performed for individual constituents. Each row from this table is attached to the constituent's Tracking row and is displayed following that row.
Most Research offices create a standard set of resources or publications that they want to have examined, in order to evaluate a constituent's potential for becoming a major gift contributor. These might include such resources as the Business Periodicals Index which includes most business publications, or individual indexes such as that for the Wall Street Journal. Also included might be: DIALOG database search results, Lexis-Nexis database search results, Marquis' Who's Who Biographies, or the Biography and Genealogy Master Index.
Each row includes a Resource field which identifies a particular publication, database, or other resource that is to be examined in relationship to the constituent who "owns" the row. In addition to the name of the resource, fields are provided for the volume, issue, and page for the resource (when applicable).
Each row in the Research Sources table will focus on the scheduling of research using one of these resources (or others that the institution chooses). Several date fields allow you to track:
- The dates of publication of the resource
- The date that the request for research was made
- The requested (or actual) date of research completion
- The last date that this resource was checked
- The date that the row was created in the system
- The date of the last edit to this row.
The row also contains the name of the person requesting that the research be performed, a flag to indicate whether or not any information was found during the research, and another flag indicating that research has begun (even if it has not yet been completed).
When the research is performed and information is uncovered about the constituent, it should be entered in the appropriate table and row, depending on the nature of the information. Therefore, if relationship or employment information is found, it should be entered accordingly. Personal information would probably be entered in Basic Data, financial info would probably be entered in that table, and so on. Likewise, if the research uncovers a publication or another kind of media that has a reference to or by the constituent, that information should be entered in the Media table. Note that while both the Media and Research Sources tables may contain information about publications, the Research Sources table is designed to maintain information about the schedule and process of performing research, whereas the Media table is designed to maintain the results of that search, if they pertain to a Media reference.
- Although the Resource Source is secondary to the Tracking table, a Research Source table can be created if no Tracking table exists.
- An Administrator can remove the Research Source table from the Millennium Explorer if not used. See Table Options for more information.
- Millennium system administrators or the database administrator can configure audit logging for the Research Sources data table. For more information, see Audit Log.
Research Source Field Descriptions
Research Source data is stored in the research_source table. The following fields are included. The field labels and non-displaying designations that are listed here are those that the system uses by default. If you want to override these default settings, you must customize your display definition.
Note: Custom fields are included in the data table, and are available for any purpose that you want to define. These fields are not shown on the standard Display or standard Data Maintenance forms. If you want to make use of one or more of the custom fields, use the Custom Display Designer to edit the standard Display and Data Maintenance forms.
