System Information
Note: Only a system administrator can access the System Info page.
Millennium consists of many programs, files, tables, directories, and other components. Not all institutions will use the same configuration of hardware and therefore the location of the necessary components will vary from institution to institution. In order for the system to operate appropriately, the paths, shares, and other settings must be registered in the System Information page in the Tools World.
Your site's Millennium configuration includes the following system Information components:
- System Settings
- Registration Information
- Visual Analyzer Server
- Reporting Information
- Reporting Queues
- Reporting Printers
- Replication Servers
There are certain system requirements for some of these components, and most are established at the time that Millennium is installed at your institution. Many will never need to be edited unless you are making significant modifications to your hardware configuration and therefore, should not be changed without consultation with our staff. Others, such as the Reporting Queues and Reporting Printers may be created, edited, or deleted as needed.
When the Millennium software is installed or upgraded, the installation or upgrade process will update the version information that is shown just below the System Information page title, which may then be used as a reference in troubleshooting situations.
Each of the System Information components is displayed
below a header. To the left of each header is a Help icon. Click this
icon to access the Help topic that pertains to the system information
component. See Data
Display, Help
for further details on how context-sensitive Help behaves in Millennium.
For System Information components such as Reporting Queues contain a New icon to the right of the header. Click this icon to add a new
Queue, printer, or server component to the Millennium Configuration.
Finally, to the left of each component's display is an edit button. Click
to make any changes to a component or to remove a component (if removal
is allowed) from the System Information configuration.
System Settings
Database Server
The setting for the Database Server is entered at the time that Millennium is installed at your institution and should not be edited. It indicates to the software whether your system is installed to use MS SQL Server or Oracle.
Internet Directory
The location for the Millennium Internet Directory is entered at the time that Millennium is installed at your institution and would only be edited if your system were undergoing substantial reconfiguration. Before undertaking any such action, please discuss your intentions with Millennium Customer Support to verify that your plans will allow Millennium to operate appropriately.
Millennium_Admin Password
Caution! It is imperative that you perform any changes to the millennium_admin password by using Millennium and not by using SQL. Changes made by using SQL will not be recognized by Millennium, and will disable the operation of the Millennium software until the situation is corrected.
To operate appropriately, an internal system log on named millennium_admin is used. This log on uses a password. To enhance the security of your system, you may choose to change this password periodically. This may be done by clicking the Edit button to the left of the display of the label, millennium_admin Password in the System Settings. When you do so, you will be given an edit form with three text boxes. The first is for the current password. That information must be entered in order for the edit to be accepted by the system. The next two boxes are for the new password and a confirmation of that password. You may enter up to 30 characters for the password. The characters will be shown as x's in the edit form. When all three boxes have the appropriate information and you click on Insert, the new password will be encrypted and stored internally.
- Since this password is tracked and used internally, if you forget the password that you have assigned to millennium_admin, the system will still operate appropriately. HOWEVER, you will be prevented from changing the password since the current password is required in the Edit form.
- For MS SQL Server sites only: As of Millennium version 7.4, millennium_admin was added to the system administrators Servers Roles in order to enable the functionality for the version 7.4 E72 enhancement, that allows users to change their own password.
Registration Information
When your institution purchases Millennium, the contractual agreement is based on factors that include:
- The number of replication servers
- The number of reporting servers (queues)
- The Number of users
- User access types (Standard, Plus, Executive)
- The number of constituents in your database
To ensure ongoing compliance, the system performs internal checks based on the Registration and Serial Numbers for your institution's installation of Millennium, and the conditions of your contractual agreement. If your site is found to be out of compliance in any of the areas described above, the first stage of a grace period will begin and the system administrator should contact Community Brands to make arrangements to correct the situation as soon as possible.
For the first thirty days, each user will be given one warning message upon log on and another if he or she attempts to add a user, a constituent and/or a server, depending on the nature of the of non-compliance. The user may continue to use the system and add new constituents and users if desired, but additional servers may not be added.
For the next thirty days, a stronger message is given at log on, and when the user attempts to add a user, constituent and/or server, depending on the nature of the of non-compliance. The user may continue to use the system and add new constituents and users if desired, but again, additional servers may not be added.
For the next thirty days, a more emphatic message informs users that they will be prevented from adding a new user, constituent, or server until the system is brought into compliance.
If no corrective action has been undertaken following these three warning periods, users will be prevented from logging on to Millennium until compliance is restored.
The following user names are exempt from the count of system users:
- TRAINING
- sa (for SQL sites)
- MILLORA (for Oracle sites)
- All User names that have been assigned to your Online Constituent Directory users (constituents)
Registration Number
Following your system installation, the Registration information should ONLY be edited following an upgrade of your institution's license, and then ONLY at the direction of Community Brands, using the information that is provided to you. Edits made to the registration number in any other circumstances are likely to disable some or all of the operation of your software.
Serial Number
This is your client identification number, and once it is entered correctly during the system installation, it is not available for future editing.
Visual Analyzer Server
If your site has purchased the Visual Analyzer, Millennium will need to know the following information in order for the Visual Analyzer to operate.
QlikView Server
Enter the name of the computer (as it is identified in your network) where the QlikView Server is installed here.
Important! Do not install the QlikView Server and the IIS Server on the same machine.
For example, if olympus is the name of the computer on which the QlikView Server resides, enter olympus.
Document Location
The QlikView Server installation created a directory named X:\Program Files\Qlikview\Examples\QvsDocuments, a folder named Millennium, and in the Millennium folder, two sub-folders named Standard and Custom. The Millennium folder was then set up to be shared as Millennium. The Document Location reflects the UNC location for the Millennium folder. The UNC path entered here must reflect the current, physical location of these documents.
For example, if the QlikView Server is installed on a computer named olympus, enter \\olympus\ Millennium.
A row with the information supplied here is inserted into the report_servers system table.
Reporting Information
The Reporting Information on this page will be entered as the system is initially installed, and in general will not need to be edited unless you are moving your Internet Information Server (IIS) to a different machine, or renaming the IIS machine, or if you want to change the share for any of the locations that are shown in this set of information. The path locations that are shown use the Universal Naming Convention (UNC) to describe the "logical location" for the different items that are shown.
Institution
The Institution name may be any text that you want to enter. The data that is entered in this text box will be the default Institution name for all users who create or edit criteria. Individual users may overwrite this system-wide Institution Name default when creating new, or editing existing, criteria in the Reporting World.
HTML Report Location
The Millennium HTML Reports directory is the location for the HTML and PDF report output files. It must be located on the IIS Server. After the initial system configuration, you would only edit this setting if your system is being re-configured (the IIS is being relocated), or if you want to adjust the share that previously existed for this path. The UNC must reflect the current, physical location of the HTML Reports Directory.
Report Template Format Location
The Millennium Report Template directory is the location for the Crystal Reports RPT format templates that are provided by Community Brands as part of the Millennium standard report templates. It should also be located on the IIS Server. After the initial system configuration, you would only edit this setting if your system is being re-configured (the IIS is being relocated), or if you want to adjust the share that previously existed for this path.
Default Format Location
Individual users may create and save Crystal formats (RPT's) in any location that they want. They do so via the Report Form, through the Options, Defaults, Report Path. The default Format Location may be different for each user. Until a user registers a particular location in that way, the system will offer the default location that is specified here on the System Info page. This institution default may also be set to any location you choose. The UNC path must be entered in this text box so that the system can locate the format appropriately. Following the configuration at the time of installation, this location might need to be edited if you choose to relocate the Crystal RPT files, if you choose to change a share, or if you want to specify another location to be used as your institution's default value.
Default Export Path
This is the default UNC path that the site will use when they choose to export a report to Word, Excel, etc. This is for the export of a report, not for the publishing of a report.
Photos Location
Photos Location is the full UNC path for the Docs Virtual Directory. The Docs Virtual Directory is the location of the Millennium Attachments. The system will use this path to display photos on reports. During the Web Server (IIS) installation (or upgrade) process, the system administrator at your organization configured the docs directory - or the virtual directory containing the docs folder - with the appropriate shares and permissions so that it can be accessed by Reporting Server computers.
Edit Reporting Information
- Logon to Millennium from any computer. Expand the Tools World item in the Millennium Explorer. Click System Upkeep, then System Info.
- Click the Edit button to the left of the Institution label to access the Reporting Information form.
-
Tab to, or mouse
click in the text box that you want to edit and make the appropriate changes.
Institution Name - may be edited in any way you want.
HTML Reports Directory - must exactly represent the full UNC path for the HTML results of the run of reports that are to be published to HTML.
Millennium Template Directory - must exactly represent the full UNC path for the Crystal report formats (RPT's) that are provided by Community Brands and are used by the standard Millennium Report templates
Default Format Location - must exactly represent the full UNC path for the Crystal report formats (RPT's) that are created and saved by users at your institution.
Default Export Path - must exactly represent the full UNC path for the export of a report to Word, Excel, etc.
- When all text boxes reflect the accurate locations of all elements, click OK.
- Click the Edit button to the left of the Photos Location label to access the Photos Location form. Type the full UNC path for the Docs Virtual Directory in the Photos Location field, and click OK.
Reporting Queues
Background
When Millennium is installed at your institution, at least one Reporting Queue is created. However, it is likely that multiple reporting Queues will be created, each on a different server, in order to distribute the processing of reporting functions.
Reporting Queues are created by running the Reporting Server component of the Millennium Installation program at the computer that will function as an Millennium Reporting Server (Queue). Instructions for installing and configuring a Reporting Server can be found in the Millennium Installation Guide - Chapter 3 : Installing the Reporting Server.
Before creating a new Reporting Queue, determine if the computer where the Queue will reside has previously "hosted" a Queue for the current version of Millennium. If so, it should still have the appropriate and most current Queue.exe and Crystal dll's. If this is the case, it is not necessary to reinstall the Reporting Server on that computer.
Reporting Queue Items
The System Information page will list all of the Reporting Queues that have been created. This list displays in alphabetical order, based on the Queue name. The items that are shown for each Queue depends on which database engine your site uses - MS SQL Server, or Oracle.
Important! The first Queue that is listed here will be the one that will be used for all Profiles World Advanced Searches.
SQL Reporting Queue Items
Name
The first item on the Reporting Queue display is the Queue name. On the Insert form, this appears with a text box so that you may enter any text that you want to use as the name of the Queue. We would suggest something meaningful and descriptive (possibly the name of the machine on which it resides) for ease of identification by your users. This name is the one that they will see in a pull-down list of available Queues at the time users begin the run of a report. And this is the name that will be seen when the system administrator sets the default queue for a Database Group via Group Maintenance or sets the default queue for an individual Millennium user via User Maintenance or when the Millennium user sets an individual report's default reporting printer via the Advanced Report Options form.
If more than one Queue has been created, the list of queue names that are available will display in ASCII order. If you want to designate one particular Queue as the system default Queue, it should be named so that it appears first in this list.
On the Edit form for Reporting Queues, the Queue name is shown as static data, and it is not available for editing. To change the name of a Queue, you must Delete the current entry and Insert a new one that uses the same settings as the old one, but with the new name.
You may redefine a Queue by editing the path or the databases that are associated with that particular name.
Queue Path
The Queue path reflects the UNC path for the location where the Queue.exe file has been installed and will reside. This location must be able to access the database computer (where the data and work databases are located) with the ODBC named Web SQL.
Database Computer
In an SQL environment, the Database computer item reflects the name of the computer (as it is identified in your network) where the data database, or a replicated copy is located. Many, if not all, of the Queues at a site will use the same Database computer, though it is possible that alternates have been set up to perform as a Database computer. Please reference the Software Environment document on the installation CD provided to you for a list of approved servers.
Data Database
In the SQL environment, the Data Database item shows the name of the data database that the Millennium Reporter will use to process criteria. It is possible that a Database Computer could have more than one such Data Databases and therefore this information must be registered. The Data Database that is specified here must reside on the Database computer that was specified above.
Primary Database Computer
In a non-replicated, SQL environment, the Primary Database Computer will be the same as the Database Computer. If the data database has been replicated to a second server for reporting purposes, the Primary Database Computer will show the name of the computer (as it is identified in your network) where the primary database is located. This is the server to which Web SQL on the IIS Computer points.
Oracle Reporting Queue Items
This is the name that will be seen when the system administrator sets the default queue for a Database Group via Group Maintenance and sets the default queue for an individual Millennium user via User Maintenance. And, this is the name that will be used by each Millennium user when he or she sets his/her own default queue via Report Options.
Database Alias
If your reporting server is located on a different machine than the primary database, this information should be the alias for the database that is replicated for reporting purposes. If your reporting database is not replicated, this information will be the same as the alias for the primary database.
ODBC DSN
The ODBC DSN must be Web SQL.
Primary Database Alias
This information is the primary database's alias, the NetEasy connect strings.
Configuring System Information for a new reporting queue
Once you have installed and configured the Reporting Server, you must configure System Information so that the new reporting queue can be used with Millennium.
MS SQL Server
- Logon to Millennium as a Millennium system administrator or the database administrator, and access the System Information page (In the Millennium Explorer, use ).
- Click the New
icon located to the right of the Reporting Queues header. The Reporting Queue insert form displays.
- Enter a name for the Queue in the Name field.
- Enter the UNC Pate to Queue.exe in the Queue Path field. This is the location that you gave when you installed Queue.exe. The format here is \\<Reporting Server machine name>\Queue.
- Enter the name of the server (as identified in your network) where the milldata database or a replicated copy of the database is located in the Database Computer field. If you have multiple database instances on the same server, you will specify the <server name>\<instance name>.
- Enter the name of the database in the Data Database field; for example, milldata. The name is case sensitive.
- Enter the name of the Database Server where the production database resides in the Primary Database Computer field. This is the machine that hosts the database to which the IIS Server points. In a single reporting server configuration, this will be the same as the Database computer name. If you have multiple database instances on the same server, you will specify the <server name>\<instance name>.
- Click Insert
to create the Queue. A row with the information supplied here is inserted
into the
Oracle
-
Click the New
icon located to the right of the Reporting Queues header.
- Enter the Net Easy connect string for the reporting database in the Database Alias field. If your reporting database is not replicated, this information will be the same as the alias for the primary database.
- Enter the ODBC connection name in the ODBC System DSN field. This must be Web SQL.
- Enter the Net easy connect string for the production database in the Primary Database Alias field.
-
Click Insert
to create the Queue. A row with the information supplied here is inserted
into the
Replication Servers
If your institution uses a replicated database, this area of the System Info page is used to register it with Millennium. Registration information must include the name of the computer and the name of the replicated database on that computer. This facilitates the changing of the user password on the replicated database when the password is changed through Millennium.
If your institution does not use a replicated database or does not want Millennium to change the user passwords on the replicated database, you may leave this information blank.
Reporting Printers
The Reporting Printers area of the display page shows each of the associations between Queues and the printers on your network system. In order for a printer to be associated with a Queue, the printer driver must be installed on the Queue machine, the printer must be configured to print from this Queue machine, and then the printer information must be entered on the System Information page, as described here.
To determine the system name, driver and location of all of the printers that are available for use by a Queue machine, Millennium provides Printers.exe, a utility which may be run to display this information in the way that it needs to be entered into the Reporting Printers area on this System info page. This utility is located in the IIS machine at X:/inetpub/wwwroot/mill/tools. Additional copies of this utility are located in the Queue directory on each of the Queue machines. Printers.exe will produce a display window titled, Visible Printers and showing all printers that are configured to this Queue machine. In the display, three pieces of information, separated by commas are shown for each such printer. These are the Name, Driver, and Location. This information should be entered EXACTLY as displayed into the corresponding text boxes in the Reporting Printer Insert or Update form. Note that the order of the information shown in the Visible Printers Window differs from the order in which they are entered in the Reporting Printers form.
Reporting Printer Items
Queue
The Queue item shows the name of the Queue with which the printer is associated. This name must appear exactly as it has been entered in the Reporting Queues area, above.
Printer Description
The Printer Description item shows the descriptive name that you assign to the printer that is being associated with this Queue. You may use any name that you want, but we suggest that it be meaningful or descriptive. This is the name that a user will see in the list of printers that are available for the Queue that he/she chooses to use when running report criteria. And this is the name that will be seen when the system administrator sets the default reporting printer for a Database Group via Group Maintenance, sets the default reporting printer for an individual Millennium user via User Maintenance, and when the Millennium user sets an individual report's default reporting printer via the Advanced Report Options form.
Note: If more than one printer is to be associated with a Queue, the list of printers that are available for the Queue will display in ASCII order. If you want to designate one particular printer as the system default printer for this Queue, it should be named so that it appears first in this list.
Printer Location
The Printer Location item shows the nomenclature (numbering scheme) for the location of the printer for the printer. Generally this would be something such as "Ne00", "Ne01", etc.
Printer Name
The Printer Name item shows the name of the printer as it is recognized by the Queue machine. This may or may not include a path name, depending on the way in which the printer is recognized by the Queue machine.
Printer Driver
The Printer Driver item shows the name of the driver. Often but not always, the driver will be winspool.
Create a Reporting Printer
- On the machine that is hosting the Millennium Queue, navigate to Printers.exe. Millennium installs Printers.exe in the same location as Queue.exe.
- Double-click Printers.exe and locate the Available Printers list box. Each entry in the list box represents the printers that are available to the Queue machine, and include the Printer Name, Printer Driver, and Printer Location, separated by asterisks, for each of these printers. Copy exactly these three pieces of information for each printer that you want to associate with your Millennium Queue.
- Access the System Information Page.
- Click the New
icon located to the right of the Report Printers header to access the Report Printers insert form.
- Enter the name of the Queue that will be using the printer.
- Enter a description for the printer.
-
Enter the exact
location for the printer as it is recognized by the Reporting Queue computer.
Note: This is the third piece of information shown for this printer in the Printers.exe Available Printers list box, but do not enter any asterisks.
-
Enter the name
of the printer. This must be the name of the printer as it is recognized
by the Queue machine, and it may or may not include path information depending
on the installation of the printer.
Note: This is the first piece of information shown for this printer in the Printers.exe Available Printers list box, but do not enter any asterisks.
-
Enter the name
of the driver for the printer. This must be the exact name of the drive
as it is recognized by the Queue machine.
Note: This is the second piece of information shown for this printer in the Printers.exe Available Printers list box, but do not enter any asterisks.
- Click OK to associate the printer with the Millennium Queue named in step 5. A row with this information is inserted into the report_printers system table.
