Set System Defaults / Multiple Defaults per User

A new Prototype_Name table will be created; it will contain the following fields: Default Name, table # of associated default, key of associated default, Username of owning user, active flag.

System Defaults and multiple Defaults will be available where most Defaults are currently available in Profiles and Events. To setup System Defaults, the system administrator (sa or MILLORA) will log into Millennium and go through the process of defining Defaults for each table.

When choosing Define Default from the popup menu, a new form will be displayed that will list all the names of users existing defaults (no name), the System Default, and with the option to create a New Default. Choosing New Default or choosing the System Default will pre-fill the Default form with the values from the System Default, the user will be required to give the new Default a new and unique name. At the top of each default form, a textbox for the Default Name and a checkbox for the active flag will now be included. When creating a new default, the Default Name will be mandatory.

When Insert via Default is selected during data entry, the user will be presented with the active default for that table. A user will be allowed only one active default per table. If during Define Default, the active checkbox is selected the triggers will deactivate any other active defaults defined in that table for that user.

Wildcard Searches

 

Now Wildcards, percent ( % ) and underscore ( _ ) are available to use with any free text or Value-based Lookup field on most Search, Data Entry or Lookup Table Maintenance forms. They are not available for list boxes (drop-down lists).

 

The Search forms that allow Wildcards include Profiles and Events, and any Data Entry form that contains a Name Lookup field, including Correspondence, Employment, Relation, Gifts, Dues, Registration, Event Guest, Event Solicitor, Speaker and Organizers. The Name Lookup forms require a partial value in the name field, before the other fields on the form will be used to narrow the search.

 

The Lookup Table Maintenance forms that allow Wildcards include the following Value-based Lookup Tables; Attribute Types, Chart of Accounts, Dues Batch Numbers, Gift Batch Numbers, Institutions and Solicitation Codes. As do the following Insert/Update Data Entry forms; Attributes, Corebio, Dues, Education, Gifts and Proposals.

 

Previously, wildcards were already available in Reporting, so any Reports that reference Value-based Lookup fields will have Wildcard capability and can be used while saving non-prompted criteria, or while running prompted criteria. NOTE: At this time, Wildcard characters are not supported in the Run portion of MR. The outcome is unknown if Wildcard characters are passed into MR.

Caching of Customizer Screens

Increases the speed of the Millennium Displays when utilizing the Customizer Screens. The Customizer will notify the Customizer cache any time a change is made to a Customizer Screen so that the effected screens can be re-cached. In turn, the software will query the cache when building Customizer displays and forms.

Data Entry Verification

 

(Improve Error Messages)

Additional data verification has been added to the Millennium Data Entry forms on Insert and Update. This will reduce errors caused by invalid data entry for dates and list box lookups.   

The date verification and formatting will be incorporated only into the Customizer screens for Profiles andEvents on the dates that hold the calendar icon. If an invalid date is entered a warning will pop up stating "The date entered is not valid. Please try again." and will place the cursor in the invalid date field.

The lookup verification will be incorporated into both the Customizer and Templates screens for Profiles andEvents. If a selection is not made in a lookup list box, the system will verify that a blank lookup exists. If a blank lookup exists, it will be entered for that lookup, otherwise, if a blank lookup does not exist, a warning will pop up stating "Please choose a value before continuing." and will place the cursor in the appropriate lookup field.

Popup Menu Delay

All popup menus will have a half second delay before being displayed. This will avoid the popup menus from being displayed when not desired. In the past when moving about or scrolling around screens the fly-over menu items would popup unnecessarily.

This will make data entry in the Profiles World more accurate by allowing users to create special instructions for specific constituents. Once a constituent is selected, you will be able to use the Alerts menu item to create special instructions or notes that will popup the next time that specific constituent's table row is updated or a new one is added. The Alerts menu item can be found between the Display All and Biographical menu items for Browser and Defined Profile and Biographical Data for Windows.

Allow Multiple Stock Transactions

When inserting a Gift or Dues row with a Tender of Securities, on the Securities screen, there will be a new checkbox added to the bottom, named Multiple Securities. When this box is checked and the current Securities screen is inserted another Securities screen will appear, if the Multiple Securities box is once again checked, another Securities screen will appear and so on. If you do not check this box, and insert the current Securities row, no other Securities screens will appear.

Also, under the Transactions menu item from the Edit Menu (fly-over menu) there is a new option to select, Add Securities. This allows you to add additional Securities rows to an already inserted Gift or Dues row. This Transactions menu item will only appear if the current Gift or Dues row you are editing has a Tender of Securities, otherwise it will grayed out.

Link to Existing Rows

Now you can create a link between two preexisting rows. Most Profiles tables that currently allow row links will now allow link to existing rows, thus eliminating the process of creating new rows every time.

A new edit menu item named 'Link to Existing' has been added. Once you select the data row you want to have additional information linked from, you will use the edit (fly-over) menu to select 'Link to Existing', when expanded it will list the specific data types available to link from. When the specific data type is selected several scenarios may occur. If the specific data type is used for that constituent it will automatically go to that data row for that same constituent. If the specific data type is used for other constituents you will be shown the search screen to search for another constituent. If the specific data type is used for the constituent's spouse it will automatically go to that data row for that constituent's spouse. In all scenarios, once you reach the data row you want to link to, you must use the edit (fly-over) menu to either select; Link this <specific data type>, Insert a new Linked <specific data type>, Cancel Linking and Close Menu.

Journal/Correct with Linked Transactions

Under the Millennium System Options on the System Options page a new item (flag) has been added; Automatically Journal Credits and Honors. This flag will be set to 'N' during the upgrade and set to 'Y' in the Sample databases.

If the Automatically Journal Credits and Honors flag is checked ('Y'), then linked Honors and Credits will automatically be journaled during the data entry of a journal transaction. If the flag is not checked ('N'), then linked Honors and Credits will not automatically be journaled and will need to be manually Journaled as done in past releases.

Copy Address to Clipboard

The Copy to Clipboard function is available via the context menu for the specific Address row. This menu is accessed by passing the mouse pointer over the Edit button to the left of that row and choosing Copy to Clipboard. When selected it will copy out the Preferred Name Salutation along with Address Lines 1, 2, and 3, City, State and Zip Code for USA addresses and Preferred Name Salutation along with Address Lines 1, 2, and 3, City, Zip Code (if applicable) and Country. This copy will not be visible to the user, until another application is opened to where you want the Name and Addresses pasted, use the menu item to Paste and your selected Address will appear with the Preferred Name Salutation for the constituent's address you selected for Copy to Clipboard.

NOTE: This feature is only available when using Internet Explorer as your Browser or Windows. It is not available for Safari.

On Name and Contact Info pages, when data is entered in to the override fields, the override box will become automatically checked for you.

Preferred Address Warning

If your Site Administrator has chosen to enable the 'Check preferred address' option on the System Options page, there are two scenarios where you may receive the Preferred Address warning. The first scenario is when more than one preferred address is attempted to be entered on a particular constituent, a warning message will popup stating 'This constituent has more that one preferred address, would you like to continue?'. The second scenario is when there is not currently a preferred address for a particular constituent and you attempt to insert the first address row or add an additional address for that constituent and do not check the Preferred Address box, a message will popup stating 'There are no preferred addresses for this constituent, would you like to continue?'. When either of these instances occur, if you select Cancel, it will bring you back to the previous data entry screen for the address you are attempting to Insert or Update, if you select Ok, it will insert the Address as is, allowing you to enter in more than one preferred address or no preferred address. Please note: Seasonal Addresses are not taken into consideration for this feature.

This flag will be set to No during the upgrade and set to Yes in the Sample databases

Point of Origin on Giving Screen

When the current gift or dues screen has already been set to short or mini display, and selecting the context menu to the left of one specific transaction, the menu item under Display shows Detail. When the Detail menu option is selected that single transaction will be shown in detail. To get back to the previous Giving Detail or Dues Detail screen you will need to click on the Explorer menu on the left where it states Giving Detail or Dues Detail. When this function is completed, the screen will place its focus on the transaction that was just selected for Detailed Display. Please note that when the Gift or Dues transaction is towards the top of the screen, the transaction selected for Detail, once returning to the main screen will be placed as the focus on that screen. If a Gift or Dues transaction is towards the bottom, more specifically the last few, it will show that transaction at the middle or bottom of the screen.

Add Letters to Browser

Now, the Letters functionality is also incorporated into the Browser, where before it only existed in the Windows Client.

To successfully run this feature, you must have rights on your local machine to be able to download/install, otherwise, these components will not function.

Close Print Screen Automatically

Once the print command is executed from the pop-up Print dialog box, the information will be sent to the printer and the Print dialog box as well as the separate instance of the browser will be closed. If Cancel is selected from the Print Options screen, it will close immediately along with closing the separate browser instance. However, if the Print Options screen is moved aside, the fly-over menus are still available on the second browser instance, allowing Updates or Inserts to the data screens. At this point, the data is written to the database, but, the second browser instance will continue to stay open, not showing the changes on the main screen behind it. When this occurs, and all second instances are closed the main screen will need to be refreshed to show changes.

Add Number of Rows Returned to the bottom of the Search Results page

When using the Standard Search form and your results return more than one constituent, along with the list of Constituents, the total number of rows returned will display at the bottom of the Search Results page. The statement will read, 'The Search has returned x matches.' where x is the number of rows returned. If your Search Results notify you that 'The maximum display number of 500 names has been reached. Please re-specify the criteria to narrow the search.' the statement will read, 'The Search has returned 500 matches.'

Add Seating Layout to Browser

Incorporating the same functionality in the Browser that already exists in the Windows Client. This will allow Browser Clients to implement, use and maintain the Events Seating Layout which was previously not available in the Browser.

The new menu item, Seating, will reside under Events in the Explorer menu on the left. When selected, the main window will open and display the standard Activity and Event Header along with the Seating Layout display.

To successfully run this feature, you must have rights on your local machine to be able to download/install, otherwise, these components will not function. In addition, if the Windows Client has at any time ever been used on the current client machine, you must log in to the Windows Client and download the updated files first then close the Windows Client and proceed to the Browser Client to use the Seating feature. On the other hand, if you have used the Windows Client in the past and no longer want to use the Windows Client, you may also uninstall the Windows Client first then log in to the Browser Client.

Add Analytical Reports to Browser

This feature will incorporate the same functionality in the Browser that already exists in the Windows Client. This will make it easier for Browser Clients to implement, use and maintain the Analytical Reports which was previously not available in the Browser.

The Millennium OLAP Servers section under the Tools / System Upkeep / System Info page has been available in previous versions, now the functionality is available to apply to the Analytical Reports in the Browser client.

A new menu item, Analytical Reports, will reside under Reporting in the Explorer menu on the left. When selected, the main window will open and display the Analytical Reports header. This page will contain Select Data groups and Select Briefing Books menu items.

To successfully run this feature, you must have rights on your local machine to be able to download/install, otherwise, these components will not function.

When clicking the first option to view the report history, you will be brought to another screen showing all reports that have run to completion and will be automatically directed to the bottom of that screen. There is also a link at the top and the bottom of the report history page stating 'Click here to refresh the report history for this Queue.'

VSE Reports

A new VSE Crystal Format has been installed along with New Criteria.

To use the new VSE reports you must make the change to pull the CAE codes (U, V, W) in order to signify a deferred gift instead of using Class1.

IF YOU STILL USE CLASS1 FOR DEFERRED GIVING, you will use your current criteria (saved under edit criteria) with your old VSE Crystal format and also with the attached new VSE Crystal format for the new section mentioned below. You will need to save your old format with a different name (VSE old).

Please note that if you started using CAE codes for deferred gifts in the middle of the year, you must use the Data Sync utility before running this report so that all deferred gifts entered in this year will be populated with the CAE codes based on the Chart of Accounts code.

Other than using CAE codes for deferred gifts, the main change on this report is the addition of Section 4b.C.2 entitled Additional Matching Gifts Details Matching Gifts Not Directly From a Corporation in Group Footer 1 section l of the Crystal format.

Now, the Campaign Year and Solicitation fields were added to the default payment form. Please note that if you plan to remove those items from the Customizer screen in order to retain the familiar form experienced in prior versions, the payment row is not updated with parent record giftcampyr or giftsolic values, it will be blank.

 

This is the expected functionality; behavior was requested to be able to edit these fields in the payment rows, and did not want them to always automatically be populated from the parent record.

That form shows text boxes for the data fields that are available for modification from allocation to allocation, such as Purpose, Campaign, Campaign Year, Classification 1, Classification 2, or Comment. (Your institution may choose to include additional data fields in this set and edit the maintenance form definitions accordingly.) They will each default to the same data contained in those fields in the first allocation. You should edit any of those as desired for the second allocation.

Mark Complete - You may mark a Task as complete by selecting the Mark Complete item from the edit menu to the left of the display of the Task. When you do so, if the Due Date is in the past, the system will automatically set the completed date to the current day's date and the completed flag for the data row to 'Y' and remove it from the display. It cannot be today's date or a date in the future as it will not be removed from the display. For example,

  1. If the Due Date is in the past (text is red), the Task will disappear when you choose Mark Complete from the context menu.

  2. If the Due Date is today's date or in the future (text is green), and the Mark Complete menu item is selected, the Task text will turn black and will remain on the screen until the Due Date has been changed to reflect a date in the past and then selecting the Mark Complete item again.

Documentation changed to: If a change is made to the Sysinfo assignment frequency field, existing assignments are not changed. The Assignment Service uses both the system option and the individual assignment frequency to determine when an assignment runs. The value that is greater determines how often the assignment is run. If an individual assignment is set at 5 minutes, the sysinfo setting will take precedence, because it is a greater value. Same with an individual assignment interval; if it is higher than the sysinfo field value, the individual setting takes precedence.

Secondary Giving Tables

There are several secondary tables that hold data that is linked to a primary Giving transaction row. Three of these, Credit Card, Gift in Kind, and Securities deal with additional data concerning the way in which the donation was tendered. For two of these three tables, each primary row for Credit Card and Gift in Kind may have no more than one secondary row. For Securities, each primary row may have multiple secondary rows. When using the standard Long mode of display, this secondary data (if it exists) will be integrated into the Gift or Dues display immediately below the line showing the Tender Type. If the transaction is jointly owned by two constituents, the secondary row will be created for and linked to both 'sides' of the transaction, that being the constituent's side from which you were working from and it's joint row. When that constituent's transaction is displayed, the Credit Card, Gift in Kind or Securities data is incorporated into the main body of the display of the transaction. When the other constituent's transaction is displayed (the constituent whose transaction does NOT 'own' the linked Credit Card, Gift in Kind or Securities data row), the secondary data will be incorporated into the transaction's display, but instead it is displayed below the cross reference information showing the name of the constituent with whom the transaction is joint (the constituent who 'owns' the Credit Card, Gift in Kind, or Securities row.)
