Custom Bio

The Custom Bio data table is made available as part of Millennium for maintaining data that does not readily fit into any of the other, standard data tables. Some institutions have unique, or highly specialized data requirements, or perhaps a need to segregate highly sensitive information within a specialized table. The Custom Bio table serves as a way to do so.

For example, a hospital may want to track patient history details, such as the duration of the hospital stay, treatment, outcome, or cost. A research foundation may need to track the nature of a constituent's involvement with a disorder or disease, such as whether the constituent is a patient or a care-giver, the specific form or status of the disease, or treatments. A service foundation might want to track the details of services that have been provided to the constituent, such as a guide dog's name, breed, age, or training.

The use of the Custom Bio table is entirely at the discretion of the institution. In addition to the standard, system-generated, and system-use fields, the table structure offers several data fields of each data type, including several that are driven by custom lookup tables. Therefore, your institution may define the use of any or all of those discretionary data fields in the Custom Bio table for any use that you find beneficial to your data maintenance needs. Your institution may use the Custom Display Designer to add or remove data fields from the Data Display and Data Maintenance forms, as well as to create meaningful labels for each data field in use.

Notes:

Display an Existing Custom Bio Record

  1. From the Millennium Explorer, expand the Profiles World, and then the Biographical item. Click to highlight the item, Custom Bio.
  2. Click Next Search and use the standard or Advanced Search function to locate the desired constituent. When the Search has been successful, the Custom Bio data row(s) will be displayed.

Create a New Custom Bio Record

  1. From the Millennium Explorer, expand the Profiles World, and then the Biographical item. Click to highlight the item, Custom Bio.
  2. Click Next Search and use the standard or Advanced Search function to locate the desired constituent. When the Search has been successful, any existing Custom Bio data row(s) will be displayed.
  3. Pass the mouse pointer over the table name in the header or over the edit button for an existing Custom Bio row to access a context menu. Click Insert or Insert via Default. You will be given an Insert form.
  4. Tab or mouse click to the individual text boxes on the form, entering the desired information, according to data type.
  5. When all information appears in the form as desired, click Insert to create the data row.

Edit an Existing Custom Bio Record

  1. From the Millennium Explorer, expand the Profiles World, and then the Biographical item. Click to highlight the item, Custom Bio.
  2. Click Next Search and use the standard or Advanced Search function to locate the desired constituent. When the Search has been successful, the Custom Bio data row(s) will be displayed. If necessary, scroll to locate the display of the desired data row.
  3. Pass the mouse pointer over the table name in the header or over the edit button for an existing Custom Bio row to access a context menu. Click Update/Delete. You will be given an Update form containing the existing data.
  4. Tab or mouse click to highlight the desired text box and make the changes according to the field's data type.
  5. When all information appears in the form as desired, click Update to make the changes.

Custom Bio Field Descriptions

Custom Bio data is stored in the custombio data table. The following fields are included. The field labels and non-displaying designations that are listed here are those that the system uses by default. If you want to override these default settings, you must customize your display definition.

Data from the Online Constituent Directory will have a source of Online Directory. Data from Soft Edit users will have a source of Soft Edit. Data whose import source is the ADE Import Tool can be assigned a value (other than Online Directory or Soft Edit) from the ade_source lookup table by the user who executes the utility, or the source can be blank.
