Concepts
When a constituent registers for an Event, he or she may do so on behalf of several event attendees. The registrant may or may not attend the event. For example, one spouse may register on behalf of both spouses and the children in the family, and all will be attending the event. Or, an employer might register for a set of employees who will attend, though the employer will not.
Within the Events World, a single Registration row will be created in each case. Then, in order to track all of the details for the actual event attendees, a row is created in the Event Guest data table for each person who will be attending the event. Event Guest rows will be linked to the Registration row, and belong to the constituent who is responsible for that registration. If the Registrant is attending the event, an Event Guest row will also be created for him or her.
Important! The registrant must be a constituent on the system, but Event Guests can be either constituents or non-constituents.
There are several other data rows that may be linked to each Event Guest row. This system allows you to track information for each guest independently of the other guests under the same Registration. Very often, different guests (even under the same Registration) will choose to participate in different Activities within the Event, will receive different Items because of their participation, may stay in separate accommodations, may pledge different amounts, etc. Some of this guest-specific information is stored in the Event Guest row itself and some is stored in other data table rows that are linked to the Event Guest row.
Even though the Registration row stores information about the complete registration package, an Event Guest row will be created for each person who will participate in any part of the Event. Each of these Guest rows will be linked to a particular Registration row. An Event Guest row will also be created for the owner of the Registration if that constituent will be attending the Event. Other data rows may be linked to each Guest row to describe the Items that guest will receive, what Activities the guest will attend, Lodging arrangements, Tournament Needs, or other Special Needs. To prevent duplication, the system checks and does not allow a Registrant to be a Guest of a different Registrant or for an existing Guest to become a Registrant for the same Event.
The Event Guest row holds name, address and phone information for the guest, name tag information, a flag that may be used to signal whether the name tag has or has not been printed, an amount that the Guest has pledged, an organization that the Guest will represent at the Event, and the name of the Event for which the person will be a Guest.
In addition to those data columns, Event Guest rows may have links to multiple data rows in the following tables:
Attendance - Each row describes the Guest's participation in one of the Activities within the Event.
Guest Items - Each row describes an Item that the Guest may be offered as a result of participation in the Event or Activity.
Lodging - This row may be used to track the Guest's hotel accommodations.
Special Needs - This row may be used to track the Guest's special dietary requirements or a disability.
Tourney Needs - This row may be used to track information about the Guest's participation in an athletic tournament.
Transportation - This row may be used to track information about the Guest's transportation needs or plans.
Each Event Guest row is linked to a single Registration row, but each Registration may serve as the primary link for multiple Event Guest rows. In the same pattern, Event Guest rows may serve as the primary link for multiple other data rows in the tables listed above. The following chart illustrates one possible example of the links between these data rows.
In this example, one constituent has registered on behalf of three Guests. Each of the Guests has Lodging information and each is attending one Activity (which may be the same or different for each Guest). The second Guest in the diagram has some special dietary or disability needs. The third Guest has information on special Tournament assignments and is receiving an Item based on the Activity he or she is attending. The Registrant has paid a fee toward the cost of registering all of the Guests for all of the Activities they are scheduled to attend.
Important! For the same Event, a person can not be both a Registrant and a Guest of a different Registrant. Therefore, as you enter Guest information, the system will verify that the constituent is not already a Registrant. And as you enter Registrant information, the system will verify that the constituent is not already a Guest of another Registrant.
Finding registered Guests
Find the constituent and non-constituent Guests who are registered to attend an Event either by Registrant or by Activity.
- Once you locate an Event, the Search/Create Registration form can be used to find Guests by the constituent who registered them.
- Once you locate an Event Activity, the Attendee Search form will find Guests who are attending the Activity

The Search/Create Registration form is also used to locate existing Event registration records (and as the starting point for creating new registrations). See the Event Registration topic for more details about this form.
Attendee Search form
The top portion of the form resembles the standard constituent Search form used throughout the system. This portion of the form may be used to locate an existing Guest when you know either the ID Number or a name or partial name for the Guest. Address information may be added to the search form to narrow the search, but it is not intended to be the basis for a search. Note that Guests may be constituents or non-constituents and if searching for a non-constituent Guest, there will be no ID Number and therefore only Name (and Address) information may be used.

Attendance Listing Report
The Attendee Search page includes a link to access the Attendance Listing report. Click the link to display a quick listing of all of the guests who will be attending currently displayed Activity. Also shown on the report are the names of the constituents who registered the Guests.
Viewing Guest information for a Registrant
Information about all Guests for a registrant can be viewed on the Registration details page for the constituent who registered the Guests. Complete the following steps to locate the Registration Detail page for a registrant.

Locate the Event.
- In the Millennium Explorer, click Events, and click Event Search if the search page is not already displayed.
- Type in the event code or event name in the Event Code/Name box and click Search.
- All Events that meet your search criteria will display on the Search Results page. Click the name of the Event that you want.

Locate the Registration record for the constituent who registered the Guest(s).
After you locate the Event:
- In Millennium Explorer, click Registrations to display the Search/Create Registration form.
- If you know the name or id number of the constituent who registered the Guest, type it into the Name/ID box (format for the name is Last/First Middle)
- If you do not know who registered the Guest, click Search for a Guest to display the Guest ID Search page, and then type in the name or id number of the Guest into the Name/ID box (format for the name is Last/First Middle).

Click Search. The Registration page displays. If a search results page is displayed instead, you will need to click on the name you want in order to display the Registration page.
Information about Guests who are registered by this constituent is shown after the details about the Registration.
- Each Guest record will have his or her own section on the Registration details page. Use the
Collapse button in each Guest section header to collapse and expand the individual guest sections as needed.
Viewing Guest information for an Activity
The information about a Guest who is attending an activity can be viewed on the Attendee page. Complete the following steps to locate the Attendee page for a Guest.

Locate the Event.
- In the Millennium Explorer, click Events, and click Event Search if the search page is not already displayed.
- Type in the event code or event name in the Event Code/Name box and click Search.
- All Events that meet your search criteria will display on the Search Results page. Click the name of the Event that you want.

Locate the Activity.
After you locate the Event:
- In Millennium Explorer, click Activities, and click Search if the Activity Search page for the Event is not already displayed.
- Click the name of the Activity.
- In Millennium Explorer, click to display the Attendee Search page.
- Type the Guest's name or id number into the Name/ID box. Format for the name search is Last/First Middle. An ID number search can be used only when the Guest is a constituent.
- Click Search. The Attendee page for the guest displays (if the Guest search returns more than one name, the Attendee page will display after you click the name that you want).
Creating a new Guest row as the Registration is created

If the Guest row will belong to the same constituent who owns the Registration, begin the process of creating a new Registration row for the current Event, verifying that the Create Guest Row for this Registrant check box is checked. You will automatically be prompted with an Event Guest Insert form with default data taken from the Registrant's Profile data. This will include Name and Address information.
Enter additional data or edit the data that was pulled into this form as described in Step 7 below.

If the Registrant is a Guest, and if you want to create additional Guest rows for the same Registration at the time the Registration is created, the system will prompt you through the process.
Begin by creating the new Registration row. As part of the process of creating the Registrant's Guest information (including Attendance and Guest Item info), you will be shown an Available Activities form. When you have entered all Activity and Guest Item info for the Registrant's Guest row and are ready to initiate the creation of a new Event Guest row from that form, click on the Guest's Activity list is complete check box on the Available Activities form. The radio buttons below that check box will be made available. Click to activate the button labeled Add a New Guest to this Registrant and then click OK. You will be given a Guest Search form.
- Use this search form and enter the Guest's name or ID number (if applicable) and Address info (if desired) .
- Click Search.

If the data you entered matches one or more constituents on the database, a Search Results page displays, listing the constituent or constituents.
- A constituent will appear in the search results more than one time if he or she has more than one Lookup Name row. Click the Sort by ID and Display Unique List hyperlink to remove duplicate rows from the Search Results display. If you re-sort the search results, the duplicates will display again.
- Locate the desired constituent and click on the name hyperlink. You will be given a Guest Insert form showing Name and Address data for that constituent.
- If the desired constituent is not shown, click the Refine the Query hyperlink. The Search form re-displays to allow you to redo your constituent search.
- When you enter data that does not match any existing constituents on the database, your search form will include a Create a Non-Constituent Guest hyperlink to allow you to create a non-constituent event guest. Click the hyperlink if that is what you want to do.

On Guest Detail, edit of type in information for the following fields, as necessary.
If your organization uses Instant Address:
Guest Detail includes fields for mailing address information. The
Envelope button displays next to the Address Line 1 field to indicate that Instant Address is available to help you enter a valid mailing address for the guest, or to verify that the guest's address is valid according to "postal authority data". Instructions for using Instant Address are located in the Using Instant Address to enter and verify addresses topic.
What is Instant Address?
Instant Address is a third party service that is offered by Initium Software and integrated into Millennium. It assists users when entering and updating address information by providing real-time address autocomplete functionality and address verification. For information about Initium Software and Instant Address, visit www.initiumsoftware.com.
Information about the guest name
The preferred name information is used by default for the Title, First, Middle, Last, and Suffix text boxes. If the Guest is a constituent and has a Name row with a Type of Event Name, that information will be used as default data for the Name Tag Line 1 text box on the form. If no such Name row exists, the system will use the data in the preferred name as the default for the Name Tag Line 1 as well as the other Name text boxes. Any data that appears in the form by default, may be edited before the row is created.
Insert Spouse as Guest for this Event: Check this box to insert the Spouse as a Guest for this Event.
Title: Guest's name title
First Name: Guest's first name
Middle Name: Guest's middle name
Last Name: Guest's last name
Suffix: Guest's name suffix
Pledge: Type the total amount (if any) that the Guest has pledged for this Event.
ID number: If the Guest is a constituent, this field will show the Constituent ID.
Phone: Phone number for the Guest
Tag Printed - select this box if the Guest's name tag has been printed.
Attended? - Denotes the Guest's attendance at any one of the event's activities: the system will automatically select this box when one of the Guest Attendance Attended boxes is manually selected.
Address Line 1- The first line of the Guest's address. If the Guest is a constituent, this information will automatically be shown in the Insert form, but it can be edited.
Address Line 2: The second line of the Guest's address.
Address Line 3: The third line of the Guest's address.
City: Guest's city.
Place: Guest's state.
ZIP : If you edit the ZIP Code, and if the Country is blank or USA, the City and State will be automatically entered based on the first five characters entered here and the corresponding entry in the ZIP Code lookup table. Also, the data will be formatted as a USA code. If the Zip Code is not found in the Zip Code lookup table, then the address fields will not be populated. But, if the country is not blank and not USA, then the ZIP Code may be any free text and no automated address data entry occurs.
E-Mail: The guest's email address.
Tag Line 1: The information that you want to have appear on the first line of a name tag. For constituent Guests, the system will first use the formatted name from a Name row of the type Event Name as the default for this field in the Insert form. If no such Name row exists, the preferred name will be used. In either case, you may edit this information before inserting the row.
Tag Line 2: The information that you want to have appear on the second line of a name tag.
Tag Line 3: The information that you want to have appear on the third line of a name tag.
Rep of - (Representative Of) Type in the name of a business or organization (if any) that this Guest will represent at this Event.
Comment: A free text comment that may be associated with this Guest.

When all data appears in the form as you want, click on Insert to create the row,
OR
Cancel to halt the process without creating a new row.
Note: Although Name and Address information is pulled into the Insert form by default, edits you may make here in an Event Guest row do not automatically update the Name or Address row in the Profiles World.
Adding a new Guest to an existing Registration

Locate the Event.
- In the Millennium Explorer, click Events, and click Event Search if the search page is not already displayed.
- Type in the event code or event name in the Event Code/Name box and click Search.
- All Events that meet your search criteria will display on the Search Results page. Click the name of the Event that you want.

Locate the existing Registration record.
After you locate the Event:
- In Millennium Explorer, click Registrations to display the Search/Create Registration page.
- If you know the name or id number of the constituent who registered the Guest, type it into the Name/ID box (format for the name is Last/First Middle)
- If you do not know who registered the Guest, click Search for a Guest to display the Guest ID Search page, and then type in the name or id number of the Guest into the Name/ID box (format for the name is Last/First Middle).
- Click Search. The Registration page displays. If a search results page is displayed instead, you will need to click on the name you want in order to display the Registration page.
- Point to the Edit button
located to the left of the registrant's name, and click or .

Another way:

located either in an existing Guest section header or to the left of any existing Guest name. Click Insert or Insert via Default.
- The Constituent Guest ID Search form displays. Enter the Guest's name or ID number (if applicable) and Address information (if desired).
- Click Search.

- If the information that you entered does not match an existing constituent, the Constituent Guest ID Search form re-displays. Enter in different information for the Name/ID and Address (if desired) and click Search again. Or click Create a Non-Constituent Guest to create a non-constituent event guest.

Editing Event Guest data

- Type in the event code or event name in the Event Code/Name box and click Search.
- All Events that meet your search criteria will display on the Search Results page. Click the name of the Event that you want.

After you locate the Event:
- In Millennium Explorer, click Registrations to display the Search/Create Registration form.
- If you know the name or id number of the constituent who registered the Guest, type it into the Name/ID box (format for the name is Last/First Middle)
- If you do not know who registered the Guest, click Search for a Guest to display the Guest ID Search page, and then type in the name or id number of the Guest into the Name/ID box (format for the name is Last/First Middle).

Click Search. The Registration page displays. If a search results page is displayed instead, you will need to click on the name you want in order to display the Registration page.
Information about Guests who are registered by this constituent is shown after the details about the Registration.
- Point to the Edit button
located to the left of the Guest name. An Update form showing the current data will be presented.
- Tab or mouse click to each text box containing data that you want to edit. Make the desired changes.

Click the Update to make the changes to the data,
OR
Click Delete to remove the data record from the system,
OR
Click Cancel to close the update form. There will be no changes to existing data.
Event Guest Table Field Descriptions
Event Guest data is stored in the event_guest data table. The following fields are included. The field labels and non-displaying designations that are listed here are those that the system uses by default. If you want to override these default settings, you must customize your display definition.
Note: Custom fields are included in the data table, and are available for any purpose that you want to define. These fields are not shown on the standard Display or standard Data Maintenance forms. If you want to make use of one or more of the custom fields, use the Custom Display Designer to edit the standard Display and Data Maintenance forms.
