Other Online Directory Options

There are additional factors which you may control but which are not directly accessed via Online Constituent Directory or Advanced Data Examiner Setup. They are described below.

Filtering Data Rows by Lookup Table Driven Columns

Your site can control which data rows will be included in the Online Constituent Directory by defining Filters on the data tables, and/or via many of the lookup table driven fields in the data tables that are a part of the directory. Each of these lookup tables will have an eDirectory flag field, typically named table_ecom. When this field is set to 'N', that lookup table entry is not available for use. A constituent will not be able to view a data row that includes that entry, nor will he or she be able to use that entry when updating an existing or inserting a new data row.

For example, if you would like to display only attributes that belong to the Sports attribute group, set the eDirectory flag on the attribute type entries with a table group of Sports to 'Y' and set the flag for all other attribute types to 'N'.

Data Display

Use the Custom Display Designer (also known as the Customizer) to customize the layout of the Millennium data that displays on your Online Constituent Directory website. (Refer to the Custom Display Designer topic for complete instructions on customizing display and maintenance forms.)

  1. Using Internet Explorer as your browser, log on to the system as a Millennium system administrator.
  2. Access the Profiles version of the Custom Display Designer by using Millennium Explorer, Tools>Display Design>Profiles.
  3. Once the Customizer opens, select the Profiles menu item from the Customizer Navigation Tool Bar, and choose the data table.
  4. Select Display Type>eDirectory.

    Note: The eDirectory menu item is available only if the data table that you selected is available to the Online Constituent Directory.

  5. Utilize the Custom Display Designer's editing tools to make your customizations.

Lookup Table Data

Lookup Table fields that are required on insert within Millennium (for example, do not have a value/code of blank) or any other data deemed mandatory, must be placed either on the Online Constituent Directory Customized Display form to be inserted by the constituents Online, or on the Data Examiner Setup Define Defaults, which are used during the import of the Online Constituent Directory constituent data into Millennium.

Relationship Data

Both Constituent and non-constituent relationships will be displayed. Your constituents can update both of these. However, when a constituent adds a new relationship, it will be inserted into the relation_pending table as a non-constituent relationship, but you will have the opportunity to make it a Constituent Relationship when processing through the Advanced Data Examiner.

Attribute Data

If you add the Attribute Type field to the Online Constituent Directory Profile search screen, and your site maintains 1000 or more attributes, considerable slowness may result. Although Attribute Type is a value-based lookup table driven field, the values will be loaded into a list box for display to the Online Constituent Directory user for this particular search screen.

Search for Other Members

Use the Custom Display Designer to customize the layout of the Online Constituent Directory Search for Other Members form.

  1. Using Internet Explorer as your browser, log on to the system as a Millennium system administrator.
  2. Access the Searches version of the Custom Display Designer by using Millennium Explorer, Tools>Display Design>Searches.
  3. Once the Customizer is open, select the Searches menu item from the Navigation Tool Bar.
  4. Select Profile Search from the cascading menu, and then select the Display Type>eDirectory.
  5. Utilize the Custom Display Designer's editing tools to make your customizations.

Constituent Publishing Options

In addition to your organization's ability to choose what data tables to include in your Online Constituent Directory, Millennium allows a constituent to exercise control over what of his or her own data may be published for other constituents to see if the Options for Publishing Tables is set to Published by Consent. This control exists at two levels.

At a global level, a constituent may indicate that NONE of the data from a particular table be published. When he or she so indicates, the Publish flag on his or her Basic Data row that corresponds to the table they want to restrict will be set to No. And consequently, all new data rows inserted into that particular table, for this constituent, will have its Publish flag set to 'N'.

At the individual data row level, a constituent may restrict the publication of some, but not all data rows from a particular data table. When the constituent so indicates, the publish flag on the individual data row is set accordingly.

Note: Each data row in the Address table has a different Constituent Publish option. Instead of the Publish check box, the constituent may choose from three options in a drop-down list. 'Do Not Hide' will show all address and phone number information, 'Hide the Phone Number' will show only the address information, but will not the phone number. 'Hide' will not show neither the address nor phone number information. Therefore, the addrpubfl field may be 2, 1, or 0 respectively, rather than Y or N, as it is in the other data tables.

There are three tiers of control over the data that will be available for display on the Online Constituent Directory. The following examples will illustrate this.

Example: Your institution sets the Online Directory Setup, Options for Publishing page so that Employment information will be Published by Consent The ecomm_pub_06 flag in the sysinfo system table is set to '2'. However, Constituent A indicates that none of her Employment information should be published. The corepub06 field in her Basic Data row will be set to 'N'. On your institution's website, all other constituents' Employment information will be published, but none of constituent A's Employment information will be published.

Example: Your institution sets the Online Directory Setup, System Options for Publishing page so that Employment information will be Published by Consent The ecomm_pub_06 flag in the sysinfo system table is set to '2'. But Constituent B indicates that you may publish his active Employment information only. The corepub06 field in his Basic Data row will be set to Y. However, the jobspubfl field on all of Constituent B's Employment rows that do not have a Status of Active, can be set to N. On your institution's website, only the Active Employment rows for Constituent B will be displayed.

These examples also illustrate that, in order for a data row to be displayed on your institution's website, either the Options for Publishing must be set to Published, or, if set to Publish by Consent, the publish flag on the individual data row and the corresponding publish flag on the constituent's Basic Data row must agree that the data may be published. If not in agreement, then the data will not be published.

See how others see me

The constituent will also have the ability to 'See how others see me'. This allows the constituent to view his or her own data as other constituents will be able view it. This display will not include any data marked as do not publish, nor will it include any giving information.

The menus to create or update data will not be available in the 'See How Others See Me' display.
