Agents

The very powerful Agent server feature is now available via the Windows interface, allowing each user to define a set of circumstances in the database that he or she wants an agent to 'watch' for. When the agent detects that the circumstance has occurred, it will notify the user or someone else, in one of several ways, such as an on-screen advisory (delivered either as text or announced audibly by the animated agent character, Merlin), a letter, or an email.

For more complete information on this feature, see the Help topic, Agents. This component is accessed via the item, Agents, in the Profiles World's action toolbar. To use this feature, a user must create Assignments and also set his or her own preferences for the Notification process. When the circumstances of an assignment are met, the system will create an entry in the Advisory table and notify the user.

For example, you might give the agent the assignment of watching the database and notifying you and sending an email to the institution president when the capital campaign reaches a certain total. Or you might set an assignment to notify you (or another office within the institution) when death information is received for constituents.

Auto Update

A feature has been added to the Windows interface. Now, as soon as you try to access a login form, the Auto Update function compares the components on the local client machine with those stored on the IIS machine. If the IIS components are newer (by version number or date) than the client components, you will be prompted to update those components before logging in.

If you click on Yes, the update will take place immediately and automatically. You will then be automatically be presented with a login form. A log file of the changes will have been written to the client directory on your machine. This file, MillAutoUpdate.txt, will contain an entry for each file that was checked, the Version numbers and dates for the server and client copy of each, and the action (Same version, Same date, Successful update, etc.)

If you click on No, no updates will take place and you will be given a login form.

Customized Displays

General non-profit institutions may want to make use of the GNP templates which have been included in the installation of Release 7.2. These templates remove some of the elements of the standard display and maintenance forms which are only relevant to educational institutions (such as Basic Data's Preferred Schools, and Preferred Years columns).

These mit files are located in the \Inetpub\WWWRoot\Mill\Template\GNP folder. To make use of any of them, the system administrator may copy the desired mit files to the \Inetpub\WWWRoot\Mill\Template folder.

Log Off

In the Browser interface, when using Microsoft Internet Explorer, closing the browser automatically invokes the Log Off command, logging the user out of the IIS. (This functionality is not available using Netscape.)

The system will now translate all UserId/User Name input from the login form into uppercase before submitting it to the database.

Some enhancements have been made to the login form.

Both Windows and Browser now include the ability to log a user off of the system from another workstation. When you receive the message that login is denied because that User id is active from another location, the login form will also include a check box labeled Log Out. You may re-enter the User id and Password and activate the Log Out check box. Doing so will clear the UserId/User Name from the IIS, allowing you to log onto that or another machine with that UserId/User. This function is not case sensitive, therefore you may use upper or lower case.

Also, the Windows interface's login form now includes a 'Clear' item on it's menu bar which clears the form, and also clears the login information from the Registry for that workstation.

Executive Users

With Release 7.2, institutions may choose to purchase Executive Seat licenses from Community Brands to enable as many of their Windows interface users as desired to make use of the IDEA components, Mapping and Analytical Reporting.

Millennium's new Mapping function integrates the use of Microsoft's MapPoint software and a generic worktable created in Millennium, to geographically map information, for a wide variety of purposes. This may range from examining giving patterns from a geographic perspective, to planning visits to donors, including driving directions and nearby restaurants. The mapping functions may be performed using a generic worktable generated via the Millennium Reporter, through Profiles' Easy Ask constituent searches, or standard constituent searches. ™

The Analytical Reporting function of Millennium IDEA is an extremely powerful tool that allows you to make a nearly instantaneous analysis of information from your database. This function uses the combined power and speed of Microsoft SQL OLAP services, ProClarity, and Millennium IDEA. ™™

This form of reporting is based on the creation and storage of a subset of information copied from the primary Millennium database, described in IDEA as a Data Group but also sometimes described as a 'data cube'. In addition to the data that is copied from the primary database, the data group also contains some pieces of information that are defined and calculated from that information, such as a constituent's total giving amount. Some of these calculations are pre-calculated information, based on the relationship between the pieces of information that it holds.

IIS Lockdown

Millennium Release 7.2 was tested with Microsoft's Internet Information Server Lockdown Wizard (IIS Lockdown and URL Scan) installed. For information on the settings used, see the System Configuration document, Millennium 7.2 System Configuration.doc found at the root of the installation CD for this release.

Data Entry and Display

When a new data row is inserted or edited and you are returned to the display of the data table, the display will be scrolled to show the row you just inserted or edited at the top of the display, unless there are too few additional data rows to fill the scrolling area. In that case, the inserted row will be part of the display, but not necessarily at the very top of the display area.

Browser - The Insert, Update, and Delete buttons within the data maintenance forms are now available or not available in accordance with the current user's security permissions.

An additional item, Default, has been added to the action toolbar in the Profiles World, permitting data entry via keyboard shortcut keys, using Default definitions.

Easy Ask Searching

A new search function is available for users of the Windows interface. This feature is powered by the third party software, EasyAsk . From the standard search form in the Profiles World, you may switch to Easy Ask mode and enter questions or instructions in plain, English language terminology. The system will translate your question into an SQL query, submit it, and display the results. You may refine the results set by submitting additional questions and have them applied only to the results of the previous question, if desired. ™

This function uses a dictionary that is the basis for the translation of your question to the actual query statement that is processed. As installed, this dictionary contains some standard definitions that are part of the Easy Ask software product and some Millennium standard definitions. Your institution may make system-wide modifications or additions to the definitions as appropriate. The system will also automatically generate a personal copy of that dictionary, so that each user may create his or her own definitions. For more information, see the topic, Dictionary.

If the question that you pose via Easy Ask is one that will take a significant amount of time to execute, the system will inform you and allow you to cancel or to have the action of the search continue, but in the background. In that case, the Agent notification system will alert you when the search results are available.

Note that this feature requires the purchase of licenses from the third party vendor. Clients who are upgrading to Release 7.2 are given the option of buying licenses and activating this feature for some or all users, or deferring the purchase of the licenses indefinitely. To accommodate this option, each user is identified as Regular (Easy Ask is not available), Regular + Easy Ask (Easy Ask is available), or Executive (Easy Ask and several other components are available). The action bar in the Search dialog form will show the Easy Ask item enabled or disabled in accordance with the setting for the current user.

The Division and the Company Name fields have each been increased in length by 20 characters.

If an Employment Status is set to the standard entry in the Job Status lookup table, 'No Longer at This Position', Code 'no', the Matching Company flag (jobsmflag) will automatically be set to 'N'.

Giving Mini Display

In order to permit sort definitions to be applied to allocations or linked transactions individually within the Mini Display, a new display option is available. From the Millennium Explorer's Profiles World item, the User Options, Display item now includes a check box for 'Group Linked Transactions together in Mini Display.' When that item is not checked, every data row from the Gift or Dues table is shown in the Mini Display as if it were an independent transaction. When that option is checked, pledge payments are grouped with the pledge to which they 'belong', secondary allocations are grouped with the primary transaction, and linked credits are shown with the primary transaction. When grouped for the display, sorting and filtering are applied to the primary transaction and all linked transactions are included or excluded in accordance with the primary. When not grouped for the display, the sorting and filtering definitions are applied to each piece.

Giving Pledge Data

When a Pledge is created you are prompted to enter additional information which the system uses to create the initial Payment Schedule for that Pledge. Now, if the Pledge is joint with another constituent, that additional Pledge info will also be copied to the secondary constituent's data row. (Be aware that these data fields reflect the conditions at the time that the Pledge was created, only. The Payment Schedule may have been modified since that time in innumerable ways, which would invalidate the data that is stored in these giving columns.) The affected fields are: giftplgtyp, giftpaycnt, giftstrty, giftstrtm, duesplgtyp, duespaycnt, duesstrty, and duesstrtm.

Giving Secondary Tables

A Journal Flag and Date field have been added to each of the linked, secondary Giving tables, to indicate that the row is linked to a transaction that has subsequently been journaled, and the date on which that occurred. These tables are: Credit Card, Gift In Kind, Honoree, Payments, Quid Pro Quo, Receipts, Securities, and Solicitor. The system will automatically fill in this information when the transaction is journaled. When (if) a correcting transaction is entered (either automatically or manually), you will be prompted to create a new version of the linked secondary row, as appropriate.

Giving Tree

A new, powerful, graphical display is available for the Gifts and Dues data tables. This display is constructed with the use of third party software by Inxight Software and is sometime described as a 'star chart' or a 'hyperbolic tree'. This display has the capability to categorize and represent all of a constituent's transactions with a series of rectangular boxes positioned graphically around a center node, which shows the sum of those transactions.

  • A constituent's transactions are represented in the display, in conformity with the same user options that are in effect for the Giving Trends display.

  • The display is dynamic, allowing each user to expand and collapse individual 'branches', to drag the entire tree to variable positions in the display field, or to control the spacing of the display.

  • The tree may be organized using a user-controlled set of data fields from the transactions, and may be reorganized dynamically.

  • Totals are calculated at each level of the tree display.

In the Browser interface, the Millennium Explorer includes the items Dues Tree, and Giving Tree. In the Windows interface, the tree displays are accessed via the right-click context menu (from the table header) items, Display Dues Tree, or Display Giving Tree. For more information, see Giving Tree.

Giving Trends

The user-selected options (such as Include spouse, joint, match, etc.) on the Giving Trends display now apply to the graph and to the charted information shown below the graph. Previously, they were only applied to the graph.

Journals

There are enhancements to the journaling process.

It is now possible to journal and add a correcting transaction in a one-step process. The context menu for each transaction (the primary allocation if there are multiple allocations) now includes the item, Journal & Add Correction. When you use this item instead of Journal, the system automatically changes the type of the original to the void version of the original type, and creates the journal version with a negative of the amount, as usual. But now using the new function, the system will prompt for the creation of a new, correcting transaction by presenting an insert form containing a copy of the original transaction's data. You may edit only the portion that is to be changed when you insert the new transaction. (This function is not available for pledge transactions to which payments have already been made.)

When such sets of journal and correcting transactions are displayed, you may set your user Transaction Display Options to show or not show the journals and voids, as before. If you are displaying them, and use the single line display mode, you may now choose to group the correcting transactions with the original, now-journaled transactions, or to have them displayed as independent transactions.

It is now possible to journal individual, secondary allocations from a multi-allocation transaction. This is accomplished from within the allocation applet (Browser) or allocation dialog (Windows). If you have the user option activated to display them, the journal and void are displayed the same way that secondary allocations are displayed. When a secondary allocation is journaled, you must immediately enter a correcting allocation (or multiple allocations) to replace the amount of the journaled allocation to bring the set of allocations into balance. With this functionality, it is also possible to add a comment to an individual allocation as it is being journaled.

It is now possible to journal a Pledge Credit transaction.

Membership

To preserve the Membership duration regardless of the timing of the renewal, the rules for the calculation of the Expiration Date of a Membership Renewal are as follows:

Renewal Expiration date is based on the current Expiration Date plus the Duration of the Membership Type. (Expiration timing is maintained, whether the member renews early, on time, or late.)

The Automated Membership Process has been fully activated for use in the Windows interface.

Names

Some changes have been made to the automatic Name formatting performed by the system.

Previously, an override of the system-generated combined name only prevailed when the constituent had a constituent spouse, and the constituent spouse had a Name row of the same type. With 7.2, if an Override check box is activated, the information entered in the corresponding text box is accepted, regardless of the existence of a Relationship or Name Type.

If a constituent has a Roman numeral in the name suffix, the formatted name will not have a comma (Mr. John Doe IV, not Mr. John Doe, IV).

Profile Reports

The access to the Profile reports in the Windows interface has been re-labeled. Previously, these on-demand web reports were accessed via the File, Print menu items in the Profiles World. The word 'Print' has been changed to 'Run'. The functionality remains as it was. (Once a report has been selected, the results are displayed on the screen and you may print from that display, if desired.)

Receipts

The Windows context menu for giving transactions now includes the item, Print Receipt. This allows you to print a receipt for an individual transaction, using the standard format, Print Receipt.rpt. If you want, your institution may customize that Crystal format and replace the standard version.

Quid Pro Quo information is now included in the Detailed Display of Giving transactions.

Relationship

The constituency type and preferred year for the secondary constituent have been added to the long display of a Relationship. When appropriate, a 'deceased' notation has been added to both the long and short display of a Relationship. Thus, the line in the long display that includes the hyperlink could show as: 'Is John Doe, Individual, 1956, Deceased'.

When a Relationship row is automatically created based on the creation of an Employment row, the Source from the Employment row is now carried over to the Relationship row.

A change has been made to conditions that trigger the update of the UserId and Last Change Date in a constituent Relationship row. Previously, a change to any data in the row triggered the update of the UserId and Change Date. Now this is true for any data other than the name fields in the Relationship row. (This is to alter the previous situation where a change to information in a Name row for a constituent also changed the UserId and Change Date for both sides of all Relationship rows for the constituent.)

Relationship Tree

The previous Relation Trees (Family, Corporate, and Prospect) have been replaced by a single, new, graphical display, capable of displaying all of a constituent's Relationships. This display is constructed with the use of third party software by Inxight Software and is sometime described as a 'star chart' or a 'hyperbolic tree'. The tree has many new and robust features, including:

  • All of a constituent's relationships are represented in the display, organized by Relationship Group, not just those that conform to a standard list of Relationship Types.

  • The display is dynamic, allowing each user to expand and collapse individual 'branches', to drag the entire tree to variable positions in the display field, or to control the spacing of the display.

  • The tree may be constructed to a user-controlled number of levels, building the display far beyond the set of Relationships belonging to the original constituent.

  • The software can search out a path of linkage from the primary constituent to any other constituent you choose.

  • From the display, you may switch to the display of a tree centered on any other constituent in the display, by double-clicking that name.

Note that in order to make use of the tree's full potential, Relationship Groups should be in place for all Relationship Type entries in the lookup table. If your institution has not already been using that field to categorize Relationships Types, we recommend that you do so at this time, and then use the Data Sync utility to apply those group designations to the Relationship data rows in the database.

Save Search Results

It is now possible to save Profile World search results via the Windows interface. When you have performed either a standard search or an Easy Ask search that produced a list of constituents as the search results, you may click the item, Save this Result in the action toolbar at the top of the form. You will be prompted to assign a name to the saved worktable, provide a free text description of it, and you will be shown the date and the number of rows that will be created in the work table. The work tables are created as generic work tables, with the standard layout.

Once named and saved, any of these work tables may be re-opened at a future date in the standard search form, or in the Easy Ask search form, by clicking the Load Prior Result item and locating its name in the list. The work table may also be used in the Millennium Reporter, with the Run Option, Use existing export file.

Single Line Gift Display

The Windows interface now offers an additional form of display for Gifts and Dues. The Single Line display shows each data row in a single line, using coded information, rather than lookup table values.

The Task Default Definition form now allows you to specify an 'Assign To' name or Id Number.

Value-based Lookup Tables

Two adjustments have been made to the Value-based (Super) Lookup applet used for data entry.

If you enter information that is a unique, but partial match for an entry in the lookup table, the applet does not appear, and the entry is automatically placed in the data maintenance form. Previously in this situation, the applet appeared with the single, matching entry highlighted and it was necessary to click on OK to accept that entry.

When working in any maintenance form that uses a Value-based lookup applet, it is now the case that if you click on Cancel in the lookup applet, the maintenance form is also canceled.

Refinements have been made to the behavior of the list box for Value-based lookup table fields in data maintenance forms to bring them to conformity with standard Windows behaviors.

View Generic Worktable as Search Results

Using the Windows interface, you may now access any saved generic worktable to view via the Search Results display. This may be a worktable that was generated via a Standard Search and then saved, via an Easy Ask search question whose result set was saved, or a generic worktable that was generated by the Millennium Reporter.

When you access or save a report, the name of the report now displays at the top of the form, as a point of reference.

Creating/Editing Report Criteria

Some changes have been made to the report form, and the process of creating or editing criteria, in order to streamline the number of screens or windows that are presented.

Previously, when the report form was first presented, the top row included five action items, and the Help item was activated by default. Now, Add is the item that is activated by default, and the New Line item has been moved to the top row, to become the sixth item there. Previously, it was accessed from the set of Add items. Now, you may immediately click on New Line to begin the process of defining a line of criteria.

Previously, Step 1 (identifying a data table) and Step 2 (identifying a data column) were presented and used, one step at a time. They are now shown on the same dialog form. When you select a data table name from the pull-down list, another list box just below it will automatically show the corresponding field names, and the display area beneath those list boxes will show the layout of the edit form for the specified data table. In addition, just below that layout you will be shown a copy of the set of criteria statements that have already been defined for the current report, for reference purposes.

Previously, in Step 3 (choosing a relator), if you had already identified an object, and then changed to a different relator, the object list box was cleared. Now when appropriate, the objects are retained.

Event Reporting

At Step 3 of constructing report criteria (choosing a comparison and object) using an Activity name, the system will now provide a list of all Activities that have been defined by the institution, in a list box similar to those shown for lookup table columns. The Activity names will be shown alphabetically by name, followed by the name of the Event to which each belongs, in parentheses.

Export Worktables

The Millennium Reporter now includes the option to take a generic worktable that it creates by running the selection criteria and automatically convert it to either a Comma Separated or a Tab Delimited export file as part of the process of running a the report. To do this, you must not specify a Crystal format for the report, and you must specify the type of export file you want to create on the Options, Report form. When using this option, the export file will contain exactly the information in the generic worktable.

(Note that you have previously been able to create CSV or Tab Delimited export files as the final output from a Crystal format, as well as several other types of export files. In that case, the contents of the export file may contain more or less information than the generic export table did, according to format's specifications.)

You may now use up to twenty-five report groups per report. Previously, a single report was limited to using a total of ten optional and/or mandatory groups.

Interactive Reports

A new category of reports has been added to the Windows interface, the Interactive Reports. (These are approximately the same set of reports that have been available via the Browser interface's EIS World). Focusing primarily on Prospect Tracking, these are standard, drill-down reports that are executed on-demand. They are not launched through the Millennium Reporter. When the formatted information is displayed, you may click on certain pieces of information to drill down to view the details that make up that information.

For example, if a report displays a list of Prospect Managers, you may click on a name in the list and the report will automatically show a list of that Manager's Prospects.

Publishing Reports

An additional option is available for the publication of formatted report results within the Millennium Reporter. Now, in addition to publishing reports in HTML format, you also have the option of publishing them in PDF format. Both types of report are available for display via the View Reports (Browser) or Published Reports (Windows) items in the Millennium Explorer.

To make use of this option, the Adobe Acrobat Reader must be available on the workstation from which you are accessing Millennium. This is a free, third party software product, which can be downloaded from: http://www.adobe.com/products/acrobat/readstep.html.

Note that there are two distinct Run Destinations involving PDF. This enhancement allows you to publish in PDF format (when using Crystal Formats) and then access the published report results within Millennium. The system does so by automatically launching the Acrobat Reader. There is a second option (not new to this release) that allows you to create export files from within Crystal, in PDF format (or Excel, or any number of other formats).

Queue

When running reports at Low priority, and you stop the current report, other low priority reports will now launch in turn. Previously, the report with the status of 'Stopping 'had to be cleared before the next report of low priority would launch.

Queue as NT Service

Queues are now installed on a Windows NT or 2000 machine (only) and may be run either as an NT Service, or as a foreground application (as it did previously). Running it as a service allows the Queue to automatically launch and run, without the need for an operator to log onto the machine following a reboot. Two new, related utilities manage this functionality, the Millennium Queue Service (milqueue.exe) and Queue Administration (queueadmin.exe).

Queue History Log

The run of each report is now tracked in a log file that is maintained in the Queue directory on each machine that hosts a Queue. They are accessible via a link on the Queue Management display. This log shows a listing of the report criteria that have been executed by that Queue, since the last time the log was cleared or deleted. It shows the criteria name, the Run for User logon, the status (Report completed, etc.), the run date and time, and the number of data rows that were selected. If an error occurred, that information is also noted.

In addition to a link to the display of the report history log, the display also has a link to a function that clears the contents of the log.

Queue Management

The information shown in Queue Management previously displayed the 'Report Owner', that being the UserId who created the criteria. It will now display the 'Run For' UserId for the report.

Run Options

The wording of some run options have been revised for clarity. Formerly, there were options labeled, Use existing export file? and Save export file? and both pertained to a generic worktable that the Millennium Reporter creates as part of the reporting process. Those options are now labeled, Use existing worktable? and Save worktable? in order to distinguish those processes from the Destination, Export options, which refer to the creation of an export file from within a Crystal Report format. The revised wording is also used in the Prompt form, when it is applicable.

Run Options

It is now possible to edit the Report Title and the specification of a Crystal format from the Run Options form. When the form is presented, it will contain the existing information for these elements in text boxes at the top of the form, along with the other options that were previously on that form. You may edit the Report Title by typing, and you may choose an alternate format name from the pull-down list of format names from the same library as the report criteria. When you make these changes via the Run Options form, the changes do not affect the saved version of the report criteria - only the current run of the report. If you want to make permanent changes to the report definition, you must still do so as before, in the main report form.

Run Options

When running a report that uses prompted replies, parameters, a Crystal export option, or which saves the generic export work table, the system will now present a single, consolidated form for specifying those options. These were previously presented in a series of pop-up dialog boxes. If none of those elements is used by the report, this form will not be presented. When it is applicable, it will contain only the elements that pertain to the report criteria being run.

Report Descripts

Previously, the free text description that could be associated with any set of report criteria was stored in the report criteria table. It will now be stored in the new report_descriptions field in the row in the report_descripts table that corresponds to the report criteria table.

Saving Totals and Groups

It is now possible to save a Total definition or any set of criteria statements that have been defined as a Group within a set of criteria, for re-use in another set of criteria. To do so, you must first highlight the header line in the criteria display that identifies the Total or the Group that you want to save. Next, you will use the appropriate item under the File menu - either Save Total, or Save Group. Note that these items are only enabled when the corresponding header line has been highlighted within the criteria.

You will be prompted to assign a name to the saved Total or Group.

List Millennium DLLs - Produces a snapshot listing of the DLLs contained in the INETPUB/Scripts/Mill directory, showing the name, date, size and version number of each.

List Templates - Produces a listing of all standard templates (.mit files), with the date, size and a link to an example for each.

Test Lookup Cache - Compares a list of the currently cached lookup tables in the IIS to a standard list of expected tables. If any are missing, an error message is shown.

Import Utility

Several enhancements have been made to the Import Utility:

The layout of the import file has been changed to accommodate 124 instead of 56 fields. The additional fields include Country, ZIP Code, Locator, and Mailcodes for an Address and Business Address. Also, the additional Education data: Concentrations, Department, Day Granted, Pref Month and Pref Year, and the ability to import a complete, second Education record from the same import file. Also, the additional Death data: Deceased Date, Death Cause, and Death Notify.

The ability to import a tab-delimited file has been added.

The utility will not update business addresses that are linked to an Employment row, or to another address. It will still update business addresses that are not linked, or create new business addresses, as appropriate.

The utility will attempt to match on name information only if that check box is checked. It will match on address information only if the name check box is checked and address field check boxes are checked.

The utility offers the option of archiving and updating addresses.

The utility is 'backwards compatible'. That is, sites who have import data using the prior layout may use those files with the updated utility. New fields will be read as blank values.

Report_Criteria

This new table has been added to the millreports database to store saved lines of criteria that are part of a Total or Group which has been saved for re-use in the Millennium Reporter. The table includes the following columns:

criteria_name - The user-assigned name of the saved Total or Group.
report_type - A flag indicating whether the criteria are used in Profile reporting or Event reporting.
criteria_type - A flag indicating whether the individual lines of criteria are part of a Total or Group.
created_by - A copy of the User Id for the person who saved the criteria.
create_date - The date on which the criteria was saved.
line_number - The position of the individual line of criteria within the set that make up the Total or Group definition.

Easy Ask Searching

There are some known issues with the Easy Ask software that affect it's use in Millennium.

1. You may not form a question such as 'How old is...?' (identifying a constituent.)
2. You may not extend a question and re-enter exactly the same question as initially posed.

If you change the status on a Membership Type to N in the membership_type lookup table, the system still allows you to insert that type if the constituent has that membership type and the system picks it as the "best-fit" membership.

The system does not permit the creation of a Registration Fee data row until or unless there are Guests attending Activities (and therefore a default Registration Fee can be calculated.)

The list of Attendees displayed in Seating Layout maintenance may become out of sync with the name of the Activity shown in the header for the Seating Assignment function. This problem is avoided by choosing an Activity in the Millennium Explorer, and then going directly to the Seating Assignments function.

If a Correspondence data row is inserted without identifying a 'Sent By' constituent, the subsequent Edit maintenance form will be the Non-constituent version.
