Addresses
A constituent can have an unlimited number of Address rows. Each row will be assigned an Address Type identifying it as a home, business, college, or any other type of address desired. In addition to the information necessary to create a mailing address, other information (such as phone numbers, fax number, modem number, county, and time zone) is recorded in the Address row. Your institution may classify certain zip code ranges into districts, regions, territories, or zones for your own purposes.
You may designate the particular months for which any address is valid, if an address is seasonal. You may assign Start and Stop dates to the address if the address is temporary.
A Locator (addrlocatr) is used to describe the validity of the address information. If the information is presumed to be current, it is labeled Good. If it has been returned at least once by the postal system, you may choose to label it Returned. If you conclude that it is not valid, it may be considered Lost. If you want to keep an archive of previous address information for certain groups of constituents or for all constituents, you may use the Update Address function, which uses a Locator of Former for historical information.
Utilization codes are available to designate that certain address rows are to be used for certain kinds of mailings on a constituent by constituent basis. For example, a constituent may want that newsletters be sent to the Business address while solicitations are to be sent to the Home address.
The first Utilization code (addrmc1) is used by the system to designate an Address row as the preferred address. While the system does allow a constituent to have multiple preferred addresses, or no preferred address at all, one and only one Address row for each constituent should be designated as the preferred address; to be used in all default situations.
You may choose to keep a history of all former addresses if you want, or you might choose to do so only for a select set of constituents. If you choose to maintain former address information, you should use the Start and Stop dates and the Locator field to track the past addresses. You may also use Millennium's Update/Archive function to assist you in archiving a former address as you create a new one.
Address rows may be linked to addresses that belong to a spouse or another constituent and then when edits are made to one, they will also automatically be made to the other. Address rows may also be linked to Employment rows that belong to the same constituent, allowing you to incorporate the job title as part of a business address. Phone rows may also be linked to an Address.
In addition to address information, this table supports a secondary table for additional Phone Numbers (those that are not linked with a particular Address as well as those that are) and Internet Addresses.
Note: Millennium system administrators or the database administrator can configure audit logging for the Address data table. For more information, see Audit Log.

The Envelope button displays next to the Line 1 field to indicate that Instant Address is available to help you enter a valid mailing address or verify that a mailing address is valid according to "postal authority data". Instructions for using Instant Address are located in the Using Instant Address to enter and verify addresses topic.
What is Instant Address?
Instant Address is a third party service that is offered by Initium Software and integrated into Millennium. It assists users when entering and updating address information by providing real-time address autocomplete functionality and address verification. Countries Considerations
Address ZIP Codes and Non-USA Countries
When Millennium is installed, the ZIP Code lookup table (zipcodes) is included containing standard USA zip code information (only). When you create an Address row indicating USA as the Country (as described below), the system will assume that the ZIP Code text box for that Address will contain an entry from the ZIP Code lookup table. In that case, the system will examine the first five characters that you enter in that text box and compare them to the lookup table. The remaining characters in the text box are treated as free text. This allows you to enter the ZIP plus four digits or not, as you prefer. The system will automatically format the text you enter as five characters, dash, and the remaining characters.
USA/Non-USA Countries
The system interprets an Address to be USA if one of the following conditions is met:
- The Country text box is left blank on the Insert or Update form.
- The Country which is selected from the list box is one whose row in the Countries lookup table has a Group designation that is anything other than for (foreign). This would include a blank for the Group field.
Therefore, in order to have the system treat the entire ZIP Code text box as free text and not apply USA formatting to the data you enter, you must choose an entry from the Country lookup table that does have a Group of for. When you use such an entry, the standard Address display will show that row with the notation, Non-USA following the Address information.
Automatic Data Entry from the ZIP Code Lookup Table
When USA is the Country (according to the definition above), and therefore , the system will utilize the ZIP Code lookup table while creating a new Address row to find the matching ZIP Code entry and then automatically copy several other standard fields in that same ZIP Code row into the Address row. In addition, your institution may have defined some of the optional fields in the ZIP Code lookup table and if so, that information will also be copied into the Address row along with the other standard data. These fields are:

This behavior occurs automatically when an Address row is inserted, even if you have entered contradictory information for any of the fields listed above, in the insert form. Therefore, when creating new Addresses which use a USA ZIP Code you should make it a practice to leave the text boxes for the listed fields blank and allow the system to fill them in. You should fill in any of the additional text boxes as desired (Type, Locator, Utilization, etc.)
You may override the automatic entry of certain of this data from the ZIP Code information to the Address row if you want, by editing the data row once it has been created. If you manually edit any existing data in the City, State, District, Region, Territory, or Zone, the system will accept your data in preference to the data that corresponds to the ZIP Code lookup entry.
When editing an Address row, if you edit the ZIP Code itself but do not edit the data from any of the listed fields on the same edit form, the system will assume that you do not want to override the automatic behavior and it will automatically edit the listed data fields to conform to the ZIP Code entry in the zipcodes lookup table that you entered as an edit.
When editing an Address row, if you edit the ZIP Code itself AND you also manually edit any of the listed data columns, the system will accept your data as an override for those that you changed. It will automatically edit any of the remaining listed fields that you do not manually edit, using the data in the ZIP Code lookup table entry that you choose.
Note: The following fields are only allowed to be changed during the Edit process after an address row has been inserted, they cannot be forced during the insert process; County, Region, District, Zone, Territory.
Automatic Data Entry from the Countries Lookup Table
When you use a non-USA Country (according to the definition above) while creating a new Address row, the system ignores the ZIP Code lookup table, but instead automatically copies several other fields from the Countries lookup table row into the Address row, if your institution has chosen to make use of them. These fields are:
District (optional)
Region (optional)
Territory (optional)
Zone (optional).
This behavior occurs automatically when an Address row is inserted even if you have entered contradictory information for any of these fields in the insert form. Therefore, when creating new Addresses which use a non-USA Country, you should make it a practice to leave the text boxes for the listed fields blank and allow the system to fill them in. You should fill in any of the additional text boxes as desired (Type, Locator, Utilization, etc.)
You may override the information that was automatically entered in this way by re-accessing the data row (after it has been created) and editing the desired information.
Address Utilization
Specific kinds of mailings may be directed to a certain address if desired. For example, you might want all alumni mailings to go to the home address, while all athletic mailings would go to the business address. The Address Utilization portion of the input screen permits you to assign these mailing preferences.
The Address Utilization portion of the maintenance screen shows check boxes for up to twenty Utilization codes. You may define these codes as you want using the Address Utilization lookup table. Any entries in that lookup table that have not been re-defined at your institution will display as Utilization 9, Utilization 10, etc.
All twenty Utilizations are included on the Data Maintenance form for the Address data table. The Long Display form will show the label 'Utilizations:', and then list the labels for all Utilizations that are checked (that is to say, set to 'Y'). If you want to add one or more, but not all, of the Utilizations to a different Display form (for example, Short, or Mini), do so via the Custom Display Designer by selecting addrmc1, addrmc2, and so forth, from the Customizer's Data Field List Box. But, be aware that the labels for these codes will no longer be automatically derived from the address_utilization lookup table, but from the data column's alias in Millennium's fieldlst system table.
Preferred Address
For consistent results in reporting using Address rows, constituents should have one (and only one) Address row that is checked as the Preferred Address (the first position in the Utilization area and lookup table Code 1). If your system administrator has enabled the Check Preferred Address system option and you attempt to enter more than one preferred address, you will receive a warning. And, if this system option is enabled and a constituent does not have a preferred address and you enter one and do not mark it preferred (or remove the preferred address designation from an existing address, leaving a constituent with no preferred address), you will receive a warning.
Updating Address Records
Update/Archive
If your institution makes it a policy to retain the details of previous address information for some or all constituents, the Address Update/Archive function will facilitate the processing of that information.
The Address Update/Archive function is available via the context menu for the specific Address row. This menu is accessed by passing the mouse pointer over the Edit button to the left of that row and choosing Update/Archive. This item will only be available for Addresses that have a Locator set to 'Good'.
When the Address row is updated, the system automatically performs several edits to that existing address row and then prompts for the creation of an address row for the new information. (Remember that the Update function is available in addition to the standard editing functions.)
When using the automatic update, the following things occur:
The original Address row's Locator is changed to Former.
The Type is set to the 'former' version of the original Type (Home becomes Former Home, Business becomes Former Business, etc.). It is important that each address type entered in the address_types lookup table has a corresponding 'former' version of that type also entered in the address_types lookup table in order for this to function correctly.
If the original row does not already have a Stop Date, it will be set to the Start Date that is manually entered for the new Address row. If none is manually entered, it will be set to the current day's date.
The Utilizations are unchecked.
That data row is saved and closed. (Note that if this Address row was linked to other Addresses, these automatic updates will also occur for those data rows in the same way that they would occur if the edits were entered manually.)
Most of the information from the previous Address is copied to a new, Insert form, with these exceptions:
- If the original already had a Stop Date, that date will default to the Start Date in the insert form.
- If the original did not have a Stop Date, the current day's date will default to the Start Date in the insert form, but it may be manually edited prior to the creation of the new Address row. If it is manually edited and there was no Stop Date in the original, the Start Date of the new row will become the Stop Date of the original.
- The Locator is set to Good.
- The District, Region, Territory, and Zone are removed from the Insert form. (The system enters that information automatically, based on the ZIP Code that is entered.)
All of the information that is shown in the Insert form is available for editing before you click Insert to create the data row.
If you Update/Archive an Address that links to an Employment row, the Archived Address row and Employment row are unlinked and the new Address row is automatically linked to the Employment row.
Manual Update
You may use the Locator entry former and/or the former Address Types in data maintenance forms to manually update Address rows. If you set an Address Locator to former, the system will automatically set the Address Type to the former version of the original Type (Home becomes Former Home, Business becomes Former Business, etc.). Each address type entered in the address_types lookup table will have a corresponding 'former' version of that type also entered in the address_types lookup table in order for this to function correctly. The system will also clear the Preferred Address utilization. However, if you set an Address Type to the former version of the original Type, the system will not automatically set the Locator to former, nor will it automatically unchecked the Preferred Address utilization.
If you update an Address that links to an Employment row with an Active job status by setting the Address's locator and type to Former, you will be prompted to set the Employment row's status to No Longer at this Position. The Address row will remain linked to the Employment row regardless of your choice at the prompt.
Copy to Clipboard
The Copy to Clipboard function allows you to copy to the clipboard specific Address row information and other information that directly relates, or is linked to, a specific Address row. Each user can customize his or her own Copy to Clipboard layout definition. Up to twenty data fields from the Address, Employment, Internet Address, Name, and Phone data tables can be included in the definition. Each user's Copy to Clipboard definition is set using the Clipboard Setup User Option.
- The copied information will not be visible to the user until the application to where you want the information pasted (for example, WordPad) is opened. Once opened, use the appropriate menu item from this other application to Paste, and then your selected data fields will be visible.
- If you are pasting to Notepad, your selected data fields will not be separated by carriage returns.
To use Copy to Clipboard with Internet Explorer:
- Point to the Edit button
located to the left of the Address row.
- Click Copy to Clipboard.
- Open the application to where you want to paste the information (for example, WordPad).
- Use the appropriate menu item from this application to Paste.
To use Copy to Clipboard with Firefox and Chrome browsers:
- Point to the Edit button
located to the left of the Address row.
- Click Copy to Clipboard. A message displays to show you the information that you will be copying.
- On your keyboard, press Ctrl+C.
- Press Enter or click OK to close the message.
- Open the application to where you want to paste the information (for example, WordPad).
- Use the appropriate menu item from this application to Paste.
Note: The Copy to Clipboard feature is not available for Safari users.
Copy to Clipboard will copy out the data fields that you have selected in your Copy to Clipboard layout definition, according to these rules:
- If one or more Name data fields are included in your definition, Copy to Clipboard will ASCII order the constituent's Name rows by name type (nametype) and then select the first one. If there is a preferred name. and your site's code for the preferred name is 'a', then that will be the Name row selected; otherwise, the first name found will be used.
- If one or more Employment data fields are included in your definition, Copy to Clipboard will select the Employment row that links to your selected Address. If no Employment row is linked to your selected Address, then no Employment data fields will be copied out.
- If one or more Phone Number data fields are included in your definition, Copy to Clipboard will select the Phone Number row that links to your selected Address. If no Phone Number row is linked to your selected Address, then no Phone Number data fields will be copied out. If more than one Phone Number row are linked to your selected Address, Copy to Clipboard ASCII order them by phone type (phntype) code, and then select the first one.
- If one or more
Internet Address data fields are included in your definition:
- If your definition matches Address to Internet Address by Utilization, and your selected Address is the constituent's preferred address, Copy to Clipboard will select the constituent's preferred Internet Address row (intmc1 = 'Y'). If no preferred Internet Address row exists, then no Internet Address data fields will be copied out. And if your selected Address is not the constituent's preferred address, then no Internet Address data fields will be copied out.
- If your definition matches Address to Internet Address by Type, Copy to Clipboard will select the Internet Address row that matches your selected Address by type. If no Internet Address of that type exists, then no Internet Address data fields will be copied out. If more than one Internet Address row matches your selected Address, then Copy to Clipboard will select the first one found.
- Copy to Clipboard will not copy out former web or former email addresses.

If a user does not have a Copy to Clipboard layout definition, then the standard Copy to Clipboard layout will be used.
This standard includes the following data columns, in order, and adheres to the rules listed above.
- Formatted Name
- Job Title (from linked Employment Row)
- Company Name (from linked Employment Row)
- Address Line 1 (if not blank)
- Address Line 2 (if not blank)
- Address Line 3 (if not blank)
- Address City Line (the formatted City, State, Zip and Country line)
Write a Letter
By using an address row's Write a Letter Edit button menu item, the system will automatically generate a 'form' letter for the constituent. The letter will include the constituent's name, salutation, and the information from the selected address row. See the Write a Letter topic for details about this feature.
The Write a Letter feature works only for the Internet Explorer browser.
Address Dates
There are several fields in the Address row that are used to track dates that are associated with the address. Each is designed for a different purpose, and several are automatically maintained by the system.

Linked Address Rows
It is possible to create a link between a particular Address row and certain other rows in the database, possibly belonging to another constituent. In this situation, the data from the linked row is not displayed with the original. The hyperlink text acts a cross reference telling you the destination of the hyperlink jump. When you click that text to execute the jump, the linked row will be displayed. That display will also include hyperlink text that will return you to the display of the original row.
Information on the specific techniques for establishing links between rows are located in the topics, Data Maintenance, How to Link New to Existing and Data Maintenance, How to Link Existing to Existing.
There are four kinds of links that may be established for Address rows.
Spousal Address/ Link
If an Address row belongs to a constituent who has a spousal relationship with another constituent, you may choose to create a linked Address for that spouse. This is done on an individual basis for any of the Addresses belonging to the primary constituent (either may be used as the primary). This enables the automatic updating of both rows when either is edited.
When two Address rows are linked and edits are made to one of the rows, the system automatically makes the same edits to the other row, with the exception of the Utilization columns. Those settings are not automatically edited, in order to preserve the ability to set different mailing preferences for each constituent.
Non-spouse Addresses/Address Link
It is possible to create linked Address rows for any two constituents, regardless of whether they have an existing relationship or not. When the link has been created, updating the row belonging to one, automatically updates the other.
When two Address rows are linked and edits are made to one of the rows, the system automatically makes the same edits to the other row. The exception to this behavior is the Utilization columns. Those settings are not automatically edited, in order to preserve the ability to set different mailing preferences for each constituent.
Linked Address/Employment
You may also create a link between an Address row and an Employment row belonging to the same constituent. By creating this linkage, the system can use data from the Name, Address and Employment rows to construct a business mailing label.
If you change the status of an Employment row from Active to No Longer at this Position and that Employment row has a linked Address, you will be prompted with the opportunity to set the locator of the linked Address to Former and the Address stop date to the date you change the status. If you choose not to, then you will be prompted with the opportunity to unlink the Address. This option preserves the Address just as it was, but without the link to the Employment row.
If you update an Address that links to an Employment row using Update/Archive, the Archived Address row and Employment row are unlinked and the new Address row is automatically linked to the Employment row.
If you update an Address that links to an Employment row with an Active job status by setting the Address's locator and type to Former, you will be prompted to set the Employment row's status to No Longer at this Position. The Address row will remain linked to the Employment row regardless of your choice at the prompt.
Linked Phone
A new Phone Number can be linked to an Address during the Address insert process. On the Address Insert form, select Insert + Phone, instead of Insert, when creating the new address. The Phone Insert form is presented automatically; enter the phone number information on this form, and select Insert.
A new Phone Number can be linked to an existing Address by selecting the edit menu of the address to which you want to link a Phone Number to, and selecting either Link Phone or Link Phone via Default. See Link New to Existing for more information.
An existing Phone Number can be linked to an existing Address by selecting the edit menu of the address to which you want to link a Phone Number to, and selecting Link to Existing Phone. See Link Existing to Existing for more information.
Once a Phone Number has been linked to an Address, you can use the Phone row's edit menu to select the options of Link Phone to Spouse, Link Phone to Other, or Link to Existing Phone on Other. See Link and Link to Existing for more information.
If you want to update or delete a Phone Number which is linked to an Address, you may do so in one of two ways.
- If an update on
the Address row as well as the Phone Number is row is necessary, access
the Update form for the Address, make desired changes, and select Update + Phone instead of Update.
The Phone Update form for the linked Phone Number is presented automatically.
Make changes to the information on the Phone Number Update form and select
Update. If more than one Phone Number is
linked to this Address row, the update form for the next linked Phone
number is then automatically presented.
- If you want to delete the linked Phone Number, select Delete instead. If more than one Phone Number is linked to this Address row, you are returned to the Address row; the update form for the next linked Phone Number is not presented. It is important to note that Delete does not just unlink the Phone Number from this Address row, but deletes the Phone Number from the database as well.
- To halt the Phone Number update process, select Cancel. If more than one Phone Number is linked to this Address row, the update form for the next linked Phone number is then automatically presented.
- To update or delete a linked Phone Number without making changes to the address to which it is linked, use the appropriate menu item on the context menu accessed via the Edit button located to the left of the Phone Number that you want to update or delete.
Update/Archive and Linked Phone Numbers
When an Address is Updated via Update/Archive, all Phone Numbers linked to the Address will be Update/Archived as well.
- New Phone Number rows are created and linked to the New Address row;
- The information in the new linked Phone Number rows is the same as the information in the existing linked Phone Number rows.
- Existing linked Phone Number rows remain linked to the archived address, but their type (phntype) is changed to 'former' version of their original type (for example, a fax phone number is changed to former fax phone number).
Addresses and Contact Info
If a constituent is maintained as a contact in a Contact Info row, and that constituent's address information is linked to an Address row, the following system behaviors can occur:
- If an Address row is updated, the address information in the Contact Info row will be updated as well.
- If an Address row is deleted, the deleted address information will remain in the Contact Info row.
Addresses for Deceased or Disbanded Constituents
When a Death data row is created for a constituent, the Locator for all Address rows for that constituent are automatically set to Deceased. This helps to ensure data consistency and assists in the prevention of inadvertent mailings to deceased constituents.
Address Field Descriptions
Address data is stored in the address data table. The following fields are included. The field labels and non-displaying designations that are listed here are those that the system uses by default. If you want to override these default settings, you must customize your display definition.
Note: Custom fields are included in the data table, and are available for any purpose that you want to define. These fields are not shown on the standard Display or standard Data Maintenance forms. If you want to make use of one or more of the custom fields, use the Custom Display Designer to edit the standard Display and Data Maintenance forms.
