What's New and Resolved Issues

The following items are included in Millennium 2014.1. Some items are enhancements to the software, some are changes, and some are corrections.

What's New

Advanced Data Examiner and ADE Import Tool

Function Description
ADE Import Tool

Multiple mapping plans can be deleted at one time from the ADE Import Tool.

Prior to this release, mapping plans could only be deleted one at a time.

Advanced Data Examiner - Integration with Initium Software Instant Address

Initium Software's Instant Address assists users in entering and updating address information. It provides real time address autocompletion functionality and mailing address verification in accordance with "postal authority data". Instant Address is integrated into Millennium forms that contain mailing address information. These include the pending data review forms in the Advanced Data Examiner for addresses, and for the credit card and bank draft forms that are linked to gifts, dues, and event registration fees, and event guest.

You will receive a URL from Initium Software when you purchase Instant Address. Enter this URL into System Options (Tools > System Upkeep > System Options > Initium Software). Then, users who access insert and update forms that contain mailing address fields will see the Envelope button to the right of the address's first line field to indicate that Instant Address is available.

Notes:
  • Instant Address is not available in Mobile Millennium or in the Online Constituent Directory.
  • Instant Address will not autocomplete or verify billing address fields for credit cards.

Advanced Data Examiner

Pending data rows can be cleared directly from the Advanced Data Examiner Data Summary Page.

Every pending data rows imported by a specific source can be deleted from the pending tables (and therefore from the ADE) without having to manually review each pending data row separately.

New constituents

Assign custom ID numbers to new constituents that are added to the system by using the ADE Import Tool and ADE.

Notes:
  • ID numbers must be included in the input file that the ADE Import Tool imports into the pending tables.
  • The ADE Import Tool and the ADE will verify that an ID number to be assigned to a new constituent is not already in use by an existing constituent.

Prior to this release, the ADE assigned system-generated ID numbers to new constituents.

Events

Function Description
Search/Create registration On the Search/Create Registration form, enter search criteria and click New. Constituents who match the search criteria will be listed. A (G) now displays next to the names of constituents who are already event guests.
Integration with Initium Software Instant Address

Changes to Registration Details and Event Guest displays

Registrant guest details (Guest Items, Activities, Special Needs, for examples) a will display on the registrant's Registration details display page.

The Registration > Guests item has been removed from the Millennium Explorer.

Prior to this release, users had to search for the registrant to display Registration details, and then click on the Guests item in Millennium Explorer to see details about the Guests.

Additional changes:

  • The complete Guest record, which includes linked data such as Event Items and Activity Attendance, displays in a separate section for each Guest. The section for each Guest can be expanded and collapsed.
  • The Mini display option has been added to the data displays.
  • The Detail display option has been added to the display for Guests.
  • If data display modes are set to Long (or if set to Short and your user option to Display Linked Data in Short Display is activated), you can view the following data:
    • Existing Event fees linked to the Registration.
    • Existing data linked to a Guest record (such as Attendance, Event Items, Guest Special Needs, and so forth).
    • Existing data linked to an Activity Attendance record (such as Attendance Special Needs and Attendance Items).
  • The section header for Activity Items is now labeled Attendance Items.
  • Attendance Special Needs and Attendance Tourney Needs can be linked to Guest Activity Attendance records directly from those records on the Registration display page. Prior to this change, users had to access the Attendee page for the Guest in order to link these Needs.

Millennium Drive

Function Description
 

Community Brands introduces Millennium Drive!

Millennium Drive is an easy-to-use and interactive way for users to explore information about their active prospects and about other constituents, about their tasks, and about their portfolio of major gift proposals. Millennium Drive provides an improved user experience for viewing Millennium data. Data is gathered from Biographical, Giving, Prospect Management, and from the Events world, and presented for viewing and analysis in a variety of ways.

The Millennium Drive installation is delivered with the Millennium Web Server and Reporting Server installations. It will need to be installed on the Web Server (IIS) computer. However, you must first install Millennium 2014.1 before you install and configure Millennium Drive.

Organizations must have a valid SSL certificate in order to use Millennium Drive. The Wildcard certificate for the Millennium web site (if you have one) can be used. We strongly recommend not using a self-signed certificate.

A user will use his or her Millennium user name and password to sign in to Millennium Drive. The user name must be linked to a constituent ID number in order to successfully sign in.

Several enhancements and changes to the Millennium software are made in this release to support Millennium Drive:

  • New columns in several lookup tables.
  • New standard memory name codes and values.
  • A new standard report group code and value.
  • New standard Summary Utility Definitions
  • A standard Years Utility definition
  • Four new standard financial reports to run the Summaries utility or the Years utility to create records in the Summaries data table.

Mobile access to Millennium

Function Description
Prevent users from logging on

During an active System Alert that locks out users, a user will not be able to log on to Millennium on a mobile device. When the System Alert expires or is set to inactive, the user will be able to sign in.

See the System Alerts topic for more information about setting a System Alert that locks out users.

The Login Lockout system option can be set to Yes to prevent users from signing in to Millennium after repeated failed attempts. A user who makes repeated failed log on attempts on a mobile device will be prevented from logging on until either a system administrator clears the lock, or a specified period of time has passed.

My Millennium

Function Description
Setup > Appearance

Blue has been set as the new default Display Theme Type.

  • The upgrade will automatically switch Users to the Blue theme only if they currently use the Green theme.
  • Users currently using the Blue theme will notice that the system now uses a different shade of Blue.
  • Users who want to continue to use the Green theme will need to reset their Theme Type back to Green after the upgrade.

Prior to this release, Green was the default Display Theme Type.

Removing Java from Clipboard Setup

Users will use the newly designed Clipboard Setup page to define their Copy to Clipboard field list. They can select the fields to copy and determine the order in which they will be copied by using a new Drag and Drop feature, as well as the page's Add, Remove, Move Up and Move Down buttons. The Clipboard Setup page does not use Java, and it can be accessed by using Millennium Explorer, My Millennium > User Options > Clipboard Setup. See User Options - Clipboard Setup.

Java has also been removed from the process that system administrators use to copy a user's Copy to Clipboard field list definition to other users and user groups. See Copy Clipboard Setup to other Users.

Background: The Copy to Clipboard Address feature allows users to copy fields from a selected address (and other data tables that relate to the selected address) to the clipboard. Users can choose up to 20 fields to copy to the clipboard by using Clipboard Setup.

Function Description

Check preferred names

(Biographical)

The system is set up to warn users when (during data entry) the constituent for whom they are inserting or updating a name record will have no preferred name or will have multiple preferred names after that name record is inserted or updated.

  • Organizations can turn this system-wide warning off by accessing the System Options page (Tools > System Upkeep > System Options)
  • This feature is applicable only when name records are inserted and updated by using the Name insert and update forms (standard data entry).

Display Death with Basic Data

(Biographical)

There is a new system option to display Death with Basic Data. When this option is set to Yes:

  • The Death item is removed from the Millennium Explorer. If a constituent has a Death record, it will be displayed with Basic Data.
  • The Death section header will not display if a constituent does not have a Death record.
  • Insert a Death record by using the Link > Death or the Link > Death via Default menu item from the edit button Edit Button located to the left of the constituent's Basic Data record.
Copy to Clipboard for Firefox and Chrome

The Address Copy to Clipboard feature is now available for both Chrome and Firefox browser users.

Background: In previous releases, Copy to Clipboard was available for Firefox users when the Status for signed.applets.codebase_principal_support was set to True. Firefox users no longer have to edit this setting in order to use Copy to Clipboard.

Reporting

Function Description
Search Reports

Additional search options have been added to the Search Reports page.

  • Users can to search for reports, Edit/Run reports and View published reports based on the date the criteria was last run. Users can specify a single date or a date range.
  • Users can also search for and Edit/Run reports that have never been run.

Display the Report Groups name The name of the group into which the report has been saved will be displayed with the report name and description when users view the report list in ALL Groups (in any report library).
Delete report criteria and published reports en masse

Report Administrators and Millennium system administrators can locate multiple reports at one time, and delete them en masse, by using the Search Reports page.

Users who are not administrators will only be able to delete the reports that they own, one at a time, from the Edit Criteria and View Reports Millennium Explorer items located within the Reporting World.

Report Groups lookup table

A new standard lookup table code and value has been added to the Report Groups (report_groups) lookup table. The new code is 'driv' and its value is 'Drive'. The system uses the new code to determine what published reports can be viewed in Millennium Drive. Organizations can add extra Drive report group entries if they follow the 'drivX' or 'drivXX' coding scheme. Reports that is saved to a report group with a code of 'driv', 'drivX', or 'drivXX' and published in PDF or HTML format can be viewed in Millennium Drive.

crystal_crufl_mill_install.exe

crystal_crufl_mill_install.exe is now located in the inetpub/wwwroot/mill/tools directory on the IIS Server computer.

Prior to this release, it could only be accessed from the Millennium installation image.

Background: CRUFL_mil.dll is an Millennium component used by Crystal Reports to decrypt and encrypt social security numbers and bank account numbers on report formats. CRUFL_mil.dll is installed in the QUEUE directory on Reporting Server computers. crystal_crufl_mill_install.exe is a stand-alone installation program that is used to install CRUFL_mil.dll on s computer that does not function as a reporting server. (a report developer's computer, for example).

Removing Java from Express Reports

Use the newly designed Express Report form to run Express Reports. The new form replaces the Java Fas Tabs control. On the new form, the Fas Tab displays for Intro, Options, Query, Totals, and Format are represented by different sections.

Additional changes:

  • When a user reruns an express report and chooses the option to use an existing worktable (the Static Results option), the Load Table form displays to allow the user to select the name of the existing worktable. Previously, a user had to type the existing worktable name into a free-text box .
  • When a user exports report results, he or she no longer needs to add the extension (for example .XLS) to the name of the export file.

Gift and Dues Honor ID trigger behavior change

The system triggers will blank out (set to Null) the gifthonrid/dueshonrid field in the original (primary) giving or dues transaction once the linked honor transaction is inserted into the database. In the linked honor transaction, the gifthonrid/dueshonrid field will continue to hold the id number of the constituent who owns the original (primary) transaction.

The 2014.1 database conversion program will blank out (set to Null) the gifthonrid/dueshonrid field in every existing original (primary) transaction to which an honor transaction is linked.

What impact does this behavior have on reporting?

Organizations that maintain custom report formats that use the gifthonrid/dueshonrid field in original (primary) giving/dues transactions to link to data about the constituents who own the linked honor transactions will need to edit the formats. Use the gifthnrkey/dueshnrkey in the original (primary) giving/dues transactions to link to the honor transactions, and then use the giftid/duesid from the honor transactions to link to data about the constituents who own the honor transactions.

New standard reports in the Financial Reports library to support displaying giving information in Millennium Drive

Consecutive Years Giving Abila2, Largest Gift Abila3, Total Giving Abila1, and Total Giving Year to Date Abila4 are new standard reports in the Financial Reports library. These reports run the Summaries utility or the Years utility to create records in the Summaries data table that will display on the Constituents view Summary page in Millennium Drive.

System-wide

Function Description
Data entry error messages

Data maintenance forms have data checking routines in place to insure that you enter data that conforms to database and common sense rules. If you enter data that does not pass a data checking routine, an error message is displayed. Close the message and make the needed corrections.

Caution! Firefox may show a Prevent this page from creating additional dialogs check box on the error message. If this check box is on the error message,do not select it! You could be by-passing important data checking routines and suppressing legitimate error messages. This may result in either generating SQL errors as the form attempts to enter invalid data into your database, or entering nonsense data into your database!

Java Security Warnings

Depending on what version of Java is installed on the workstation computer, Java might display a security warning to the user.

  • If the user is logging on to the system, he or she will need to positively acknowledge (Run or Allow) the warning in order to log on.
  • If the user receives the security warning while performing other tasks within Millennium, the user will need to positively acknowledge it in order to continue his or her work.
  • The Java security warning includes a setting that allows you to disable the warning for the Millennium website and the application named on the warning.

Tools

Function Description
Standard Summary Utility definitions and a Years Utility definition for use with the new standard reports in the Financial Reports library that support displaying giving information in Millennium Drive.

Three new standard numeric Summary utility definitions and a standard Years utility definition are added to the system. These definitions will be used when running the new Financial reports that support displaying giving information in Millennium Drive. Largest Gift Abila3, Total Giving Abila1, and Total Giving Year to Date Abila4 are the names of the new standard numeric Summary definitions.

Review the ReportingReporting section of these release notes for information about the new Financial reports.

 
Important!

Each organization can have only one Years Utility definition, so if your organization already has one defined, then we will not overwrite it. Therefore, if you want Consecutive Years Giving to display in Millennium Drive, you will need to either edit your existing Years Utility definition to point Consecutive Years to the standard abila2/Consecutive Years Giving memory name, or you will need to customize the Millennium Drive Constituents view Summary page.

Launch the Assign Summaries utility (X:\inetpub\wwwroot\mill\tools\AssignSummaryDefinition.exe) to review the details about the new memory definitions. Launch the Set Years Parameter utility (X:\inetpub\wwwroot\mill\tools\SetYearsParameters.exe) to review the details about the standard Years Utility definition.

As part of this enhancement, new codes and values are added to the Memory Names (memory_names) lookup table. These are:

Do not change these codes. But you may want to change these values, especially if you already use the same values for different codes in your Memory Names lookup table. Note that the abila2 - Consecutive Years Giving memory name is designed to be used with the Years utility.

Home institution system option

If an active entry in the Institutions lookup table represents your organization, you can identify that entry as your home institution on the System Options page. When constituent Education records are viewed in Millennium Drive, the system will highlight the records that have an Institution equal to your organization's home institution.

Technology

Function Description
Configuring Java

Configure Java to allow it to keep temporary files on the workstation computers. Access the Java Control Panel by using Start > Control Panel > Java. On the General tab, in the Temporary Internet Files section, click Settings. Select the Keep temporary files on my computer check box, and click Apply. After you have completed the Java configuration steps, be sure to close all open browser windows.

Background:

When Millennium uses a Java applet, Java shows a security warning, and users have the choice to allow Millennium to use the applet or to block it. The Java security warning has an option to turn off the warning for the Millennium application and web site. If Java cannot keep temporary files on the computer, then the application ( Millennium) will be UNKNOWN every time it attempts to use a Java applet. This means that the warning will not be turned off.

Prior to this release, we recommended to organizations that they do not allow Java to keep temporary files on workstation computers.

Copy to Clipboard for Firefox The additional workstation configuration tasks that enabled Firefox browser users to use the Address Copy to Clipboard feature no longer need to be performed.

Database Changes

Table/Directory Description
memories

Custom columns have been added to the memories data table. (The memories table holds Summary records). The following columns have been added:

  • 20 date columns
  • 20 currency columns
  • 10 numeric columns
  • 10 Yes/No columns
  • 5 text columns

The new columns are not available on the Summaries Utility or on the Years Utility. You can use a SQL or Oracle database query tool to assign values to these columns.

address_utilization

The table_ordr column has been added to the Address Utilizations lookup table. It is reserved for future use.

A new column is added to the Address Utilizations lookup table. The Major Gift Display (table_ordr) column is used by the system to indicate that an address, phone, email or web address record will or will not display in Millennium Drive. It also determines the order in which the records will display. If the value of the Major Gift Display column is greater than 0, then a record with that Utilization will display in Millennium Drive. If the value is equal to 0, then that record will not display. A record with a Utilization whose Major Gift Display is equal to 1 will display first, a record with a Utilization whose Major Gift Display value is equal to 2 will display second, and so forth.

This field has no impact on how address, phone, and internet address records will display in the standard Millennium data displays.

various lookup tables

To support Millennium Drive, a Major Gift Display (table_mgo) column has been added to several lookup tables. In some of the lookup tables, this column is reserved for future use. In others, the system will use the value in this column to determine what data records to display on the Millennium Drive Touch Points page.

Touch Points is a Constituents page in Millennium Drive. It is a timeline graph and listing of a constituent's interactions with your organization (touches) and of his or her major life events. The information that displays on the Touch Points page is pulled from different data tables. The system determines what data records to display based on the value of a Major Gift Display field in lookup tables.

The following chart shows what lookup tables have the new column and if the column is reserved for future use or is in use at this time.

Data records will display on the Touch Points page only if they are assigned to a lookup table entry where the Major Gift Display is equal to Y. The Major Gift Display value has no impact on how data records will display in the standard Millennium data displays.

Example: A task displays on the Touch Points page only if Major Gift Display the Tasks Type assigned to the task is set to Y.

Background:

Relationships records will display on Touch Points only when the following four conditions are met:

  • The Major Gift flag = 'Y' for the Is a Relationship. (relisa.table_mgo = Y)
  • The Major Gift flag = 'Y' for the Is a Group. (relisagrp.table_mgo = Y)
  • The Major Gift flag = 'Y' for the Whose Relationship. (relwhose.table_mgo = Y)
  • The Major Gift flag = 'Y' for the Whose Group. (relwhogrp.table_mgo = Y)

This field has no impact on how Relationship records will display in Millennium.

login_audit The login_mobile column has been added to the login_audit system table to track attempts to log on to the system through Mobile Millennium.

M17292 Reporting > Search Reports Click the Edit link on the report in the Report Search results. The report form sometimes displays without the Title, Format/Utility name, or criteria.
