Summary Asset Ledger Report
This report displays depreciation and disposal activities by asset, within a specified period of time (this month or this year). This report also includes asset type details.
Note: If you're not familiar with the MIP Report Builder, see Report Builder for an introduction.
You can choose to use the report as-is by selecting Export or View, or make edits to the report by selecting Edit.
If you choose to make edits to the report, the Report Builder page will display. From this page, use the Setup tab to choose the columns you'd like to appear on the report. You can rename the columns under the Column Heading.
The following columns are available to include in the report:

| Asset ID | The asset's assigned ID |
| Status | The status of the asset (Active, Inactive, or Discontinued) |
| Description | The description of the asset |
| Category | The category the asset belongs to |
| Tag Number | The asset's physical tag number, if applicable |
| Original Asset ID | The ID of the original asset. Original Asset ID fields can be used when you want to indicate an improvement to an existing asset, or to track assets that have been reclassified or moved to a different location. It is not a required field. |
| Taxable | Indicates whether the asset is taxable or not |
| Acquisition Code | An optional designation code, used to represent how an asset was acquired |
| Valuation Code | An optional designation code, used to represent the method used to determine the asset's value |
| Responsibility Code | An optional designation code, used to represent the group or person responsible for the asset |
| Location Code | An optional designation code, used to represent the physical location of the asset |
| Distribution Code | The distribution code, based on the asset's type |
| Asset Type ID | The asset's type |
| Asset Account | The general ledger asset account, based on the asset's type |
| Accumulated Depreciation Account | The general ledger asset account for accumulated depreciation, based on the asset's type |
| Cost |
The cost or basis of the asset recorded in Maintenance > Fixed Assets. The system does not track manual changes to this value that occur outside of the disposal process. If this value is updated directly without a corresponding manual General Ledger adjustment, the Net Book Value may become skewed. |
| Life | The life of the asset, displayed in months |
| Last Depreciation Date | The date when the asset was last depreciated |

Beginning Accumulated Depreciation |
The depreciation for the asset as of the beginning of the report date range (the "From" date). This amount includes calculations from:
If a disposal happened before the "From" date, the disposal depreciation is included in this value. If applicable, the External System Accumulated Depreciation is used to derive this value if its accrual period occurs before the "From" date in the report. |

Current Depreciation |
The depreciation for the asset within the report date range (the "From" and "Through" dates). This amount includes calculations from:
If an asset was affected by disposals, you'll need to add the Disposal Depreciation (Accumulated) to this value to tie out the Ending Accumulated Depreciation. If applicable, the External System Accumulated Depreciation is used to derive this value if its accrual period falls within the "From" and "Through" dates of the report. |

Ending Accumulated Depreciation |
The total depreciation for the asset from the beginning of its depreciable life within the report date range (the "Through" date). This amount includes calculations from:
The calculation accounts for the subtraction of the Accumulated Depreciation Disposed. |

| Begin Depreciation Date | The date the asset was placed into service, whether from MIP or an external system |
| Fully Depreciated | Whether the asset is fully depreciated, indicated by "Yes" or No" |
| Last Disposal ID | The most recent ID assigned to the disposal |
| Last Disposal Date | The date assigned to the disposal |
| Full/Partial Disposal | Indicates whether the disposal was a Full or Partial Disposal |
| Cost/Basis Disposed | The difference between the Before Disposal Cost/Basis and the After Disposal Cost/Basis, using the amounts within the report date range |

Disposal Depreciation (Accumulated) |
The "catch-up" depreciation accrued during the disposal process, accumulated within the report date range (the "From" and "Through" dates) If you're disposing of an asset between depreciation frequency periods, the system will first calculate and book the catch-up depreciation, then process the disposal. If multiple disposal events affect an asset within the report parameters, this column will show the accumulation of the disposal catch-up depreciation. Example: If your asset was last depreciated in March and you're disposing of the asset in June, if you have not processed regular depreciation between March and the disposal date, the system will create disposal catch-up depreciation records before it processes the actual disposal. If there are additional effects to the accumulated depreciation due to a disposal event, that value will be reflected in Accumulated Depreciation Disposed. |
| Gain/(Loss) on Disposal | The difference between the Cost/Basis Disposed and the Accumulated Depreciation Disposed, using the amounts transacted within the report date range |

Net Book Value |
The net value of the asset (Cost or basis minus Ending Accumulated Depreciation) The calculation uses the accumulated depreciation less the Accumulated Depreciation Disposed from the beginning of the asset's depreciable life through the "Through" date used in the report. The calculation accounts for depreciation history and disposals, and any accumulated depreciation generated outside the system. The Net Book Value includes calculations from:

External System Last Depreciated Date |
The date the asset was last depreciated in a system outside of MIP Example: The asset was last depreciated on 12/31/2024 before moving to MIP in January 2025. |

External System Months Depreciated |
The total number of months the asset was depreciated in a system outside of MIP Example: The asset was depreciated for 12 months in 2024 before moving to MIP in 2025. |

External System Accumulated Depreciation |
The total accumulated depreciation for the asset recorded in a system outside of MIP, up to the External System Last Depreciated Date Example: The asset depreciated $1,000 per month for 12 months in 2024, for a total accumulated depreciation of $12,000. |
Use the Filter tab to narrow down and define the data using the available filters.
Use the Options tab to Summarize Amounts on the report, implement security features, and more.

Select "Summarize Amounts" to add amounts together and display one line item with the total amount. All document information must be identical for the system to add items together.

Select "Do Not Allow Changes to this Report" to secure the report so that other users cannot save their changes to it. This option can only be undone by the user that locked the report.

Select "Year End Adjustments" to include year end adjustments on the report. This entry type was designated during transaction entry.

Select "Open Entries in Detail" to include opening balances (system or user opening entries) in detail.

Select "Replace total debits and credits with Balance" to show the net amount for each segment where totals have been requested. Otherwise, the report displays the total debits and total credits for each segment.

Select "Suppress Lines with All Zeros" so that documents with zero amounts do not print. This eliminates records having zero in all amount columns. If it is not selected, every line prints, even if it has a zero value.
Use the Layout tab to change the font and page setup for a report.
