Site-Specific Notes

The Millennium Explorer

The Millennium Explorer allows you to navigate throughout Millennium. You may pass from one of the worlds to another, or you may move from page to page within one of the worlds by using the Millennium Explorer to navigate.

When you have successfully logged into the system, your browser will automatically present the Millennium Explorer in a narrow frame to the left of the display area, which is in the larger frame to the right. When first presented, each Millennium Explorer item will be listed with a small graphic. These are:

Each of these listed items in the Explorer serves as headings for additional items that appear below the heading when you focus and then click on it.

Highlighted and Bold

When you point to an Explorer item, the item is bolded. This behavior serves to act as a reminder of the item you will activate, IF you click with the mouse in the current position. Once you click on the item it becomes highlighted, letting you know which menu item you have selected.

Selected

An item is selected in the Millennium Explorer by hovering over an item (becomes bold), and clicking that item. The item selected becomes highlighted. The results of that action depend on the nature of the item.

Behavior

It is not necessary to collapse one branch of the Explorer's tree before expanding another - they may be used in any combination of display states. If necessary, you may use the scroll bar to the right of the Explorer frame to view another portion of the tree. The system will remember the most recent condition of each of the branches during the current Millennium session. That means that if a main branch is collapsed and then re-opened, each of its sub branches will be returned in the same state (expanded or collapsed) in which they were last shown. If the current session is ended and then the user logs in again, the Explorer will exhibit the default display state for each branch.

The Explorer can be hidden from view. To hide it, hover over and click on the line to the right of the Explorer. You can redisplay the Explorer by hovering over and clicking the line to the far left of the display area. To help you locate this line, a small arrow always displays to the right of the line, regardless of the view state of the Explorer.

Explorer - Favorites

The Favorites section provides you with streamlined access to a segment of Constituent Profiles that are specific to your own interests, to your Tasks, to the Prospect Reassignment tool, and to Reports that you have recently edited, run, and published. For additional details, see Favorites.

Note: Bookmarks and Prospects are available if you are a constituent in the database and your User ID is associated with your Millennium constituent Id number. A system administrator must set this up for your User ID. See User Security, User Maintenance for details.

Bookmarks

When you choose a constituent's name from Bookmark Favorites, you jump to the data display for that constituent. To add a constituent to your list of Bookmark Favorites, click on the Bookmark hyperlink that is located in the upper right-hand corner of any Profiles data display screen for the constituent. You cannot Bookmark the constituent whose Id number is associated with your User ID.

Prospects

My Staff

If you are a Director of Prospect Managers you can use the My Staff item to access a list of your Prospect Managers. From the list of Prospect Managers, you can then access a listing of a Manager's Prospects, and then display each of that Manager's Prospects in your One Screen format. If you are a Director's Assistant, or a Researcher for a Director, you can also access the Directors list of Prospect Managers by using this item. The My Staff item will only be available if you have at least one Active Director / Prospect Manager Relationship, or Active Assistant / Director or Researcher / Director Relationship.

My Prospects

If you are a Prospect Manager, you can use the My Prospects item to access a list of your Prospects. From this list, you can then access each Prospect's data display in your One Screen format. The My Prospects item is available to you if you have at least one Active Prospect Manager / Prospect Relationship.

My Tasks

The Tasks item displays a list of all of your own Tasks which do not have a Completed Date.

Reassign

The Reassign item accesses the Prospect Reassignment form. If you are a Director, Assistant to a Director, or the Researcher for a Director, you can use this form to reassign one Manager's Prospects to a different Prospect Manager. For more information, see Prospect Reassignment.

When the Profile world is expanded in the Millennium Explorer, the following items are shown:

Next Search

The Next Search item activates a new Search Database form in the display frame. This is used to identify a constituent whose data you want to view. You may either click on the Next Search item from the explorer menu or you may use the space bar as a hot key to open the Next Search screen. If a Search Results page is currently displayed, then the Next Search item will not be available. To display a Search Database form in this situation, click on the refine the query hyperlink or the Return to the Search Screen hyperlink if that is the hyperlink that is available instead. If you use the refine the query hyperlink, the Search form will be populated with information that you used in the previous search. A blank Search form will display If you used the Return to Search Screen hyperlink instead.

Last Search

The Last Search item is used to retrieve the Search Results page from the most recent standard or worktable constituent search that resulted in the display of a Search Results page. The Last Search item will not be available if a Search Results page is currently displayed.

One Screen View

The One Screen View item allows you to view the constituent and prospect data you want to see on one screen in the Millennium user interface. You can view constituent and prospect data using the system default One Screen View, your institution's default One Screen View, or a custom One Screen view you create for yourself. Snapshot View

The Snapshot View item activates the display of a subset of data tables with the sorts and filters that have been defined for those data tables turned on, if desired. The Snapshot View has been previously defined via the Snapshot Setup User Option.

Defined Display

The Defined Display item activates the display of a subset of data tables that have been previously selected by the user to display via the Defined Display User Option.

Display All

The Display All item activates the display of all data tables.

Note: s>Sites can choose to remove users' ability to display all data tables. If your site has chosen to do so Display All will not be available.

Alerts

The Alerts item displays the Alerts that have been defined for a constituent.

Biographical

The Biographical item expands to show the complete set of tables that maintain data that is generally considered biographical in nature. These are shown in alphabetical order and they include: Address, Attribute, Basic Data, Circle (Membership), Comments, Correspondence, Coverage, Custom Bio, Death, Education, Employment, Event Log, Name, Relation, and Relation Tree. **removed Relation Tree reference The data that belongs to the constituent in any one of these tables may be displayed (by itself) by clicking that table name in the Millennium Explorer.

The Biographical item expands to show the complete set of tables that maintain data that is generally considered biographical in nature. These are shown in alphabetical order and they include: Address, Attribute, Basic Data, Circle (Membership), Comments, Correspondence, Coverage, Custom Bio, Death, Education, Employment, Event Log, Name, and Relation. The data that belongs to the constituent in any one of these tables may be displayed (by itself) by clicking that table name in the Millennium Explorer.

Note: Your site can remove unused Biographical tables (except Basic Data, Name, Address, and Relation) and special displays, such as the Event Log, from the Millennium Explorer, so not all of the tables and displays may be listed under the Biographical item. Your site may have changed the display name for the Custom Bio table. If so, then the Custom Bio table can be accessed by clicking its new display name, and the tables may no longer be shown in alphabetical order.

Giving

The Giving item expands to show the complete set of data tables and charted trends that maintain monetary information, whether in the form of gifts, dues, or promises of donations. They are shown in alphabetical order and they include: Dues Detail, Dues Tree, Dues Trends, Gift Details, Giving Tree, Giving Trends, Membership, Serial Receipts, and Summaries. The data that belongs to the constituent in any one of these tables may be displayed (by itself) by clicking that item in the Explorer. **removed Giving and Dues tree reference

The Giving item expands to show the complete set of data tables and charted trends that maintain monetary information, whether in the form of gifts, dues, or promises of donations. They are shown in alphabetical order and they include: Dues Detail, Dues Trends, Gift Details, Giving Trends, Membership, Serial Receipts, and Summaries. The data that belongs to the constituent in any one of these tables may be displayed (by itself) by clicking that item in the Explorer.

Note: Your site can remove unused Giving tables and special displays, such as Giving Trends, from the Millennium Explorer, so not all of the tables and special displays may be listed under the Giving item.

Prospect

The Prospect item expands to show the complete set of data tables that maintain data that is generally considered part of a Prospect Tracking system. They are shown in alphabetical order and they include: Actions, Custom Prospect, Demographic, Financial, Media, Planned Giving, Proposals, Screening, Tasks, Tracking. The data that belongs to the constituent in any one of these tables may be displayed (by itself) by clicking that item in the Explorer.

Note: Your site can remove unused Prospect Management tables and special displays from the Millennium Explorer, so not all of the tables and displays may be listed under the Prospect item. Your site may have changed the display name for the Custom Prospect table. If so, then the Custom Prospect table can be accessed by clicking its new display name, and the tables may no longer be shown in alphabetical order.

Fast Data Entry

The Fast Data Entry item expands to show Dues Entry and Giving Entry. In Fast Data Entry mode, the system automatically filters the display to show, in Short display mode, only Expectancies, Pledges, Sustainer Pledges, Pledge Potentials, and Match Pledge Transactions with either an unpaid balance remaining, or created with an unspecified amount ($0). This allows the operator to focus on those transactions to which payments may be applied, or to enter new transactions of any transaction type.

Circle Definition

Circles is a sub-World of the Profiles World. The Circle Definition item is used to access the Circle Search screen, which is used to search for and open an existing Circle, or to begin the process of creating a new Circle. For more information, see the Circles topic.

Explorer - Events

When the Events World is expanded in Explorer, the following items are shown.

New Event

The New Event item is used to begin the process of creating a new Event row. When selected, an Insert form for new Event data displays. For more information see the topic, Creating a New Event.

Event Search

The Event Search item displays the Event Search Form, which is used to search for, and open, an existing Event. An existing Event must be opened before any data can be linked (directly or indirectly) to that Event. For more information see the topic, Accessing the Display of an Existing Event.

Event Info

The Event Info item expands to show additional items that refer to the opened Event. Details displays the opened Event row for viewing or for editing. A list of data tables that may contain rows that link to the opened Event also displays. This includes Actions, Correspond(ence), Expenses, Items, Organizers, Solicitors, and Speakers.

Activities

The Activities item expands to show additional items that refer to Activities that are linked to the opened Event. Search lists all activities linked to the Event. Before any other item within Activities is accessed, Details also lists all activities linked to the Event. However, once another item within Activities is accessed, you may use Details to return to the display of the opened Activity. Sort displays a form that allows you define the order in which the Activities will display on the Event's Express Registration form. A listing of data tables that may contain rows that link to an Activity, once that particular Activity is accessed and opened, also displays. This list includes Actions, Attendees, Correspond(ence), Expenses, Items, Organizers, and Speakers.

Registration

The Registration item expands to show additional items that refer to Registrants that are linked to the opened Event. Search displays the Search/Create New Registration form, from which you can search for an existing registrant or an existing guest, or begin the process of creating a new Event Registration row. Use Details to return to the display of the currently opened registration row. Guests is used to display all Guest rows that are linked to the currently opened Registration row.

Seating

The Seating item is used to access the form that is used to design the seating layout for an Event Activity, assign guests to tables or rows, and assign guests to specific table seats. See Seating Layout.

Explorer - My Millennium

My Millennium allows access to functions that allow you to customize your personal use of Millennium. When you click this item in the Explorer, it automatically expands to show the available items as described below

Setup

The Setup item expands to show Appearance and Home Page. Appearance allows you to set the background, colors, font types and sizes you want to use throughout Millennium. Home Page accesses the Home Page Setup form, where you can choose what elements to display on your personal Home Page.

Advisories

The Advisories item displays a listing of all of the Advisories that the Millennium Assignment Service has created on your behalf. These Advisories are based on your Assignment definitions and changes in the database.

Assignments

The Assignments item expands to show the following items.

Charts & Graphs

The Charts & Graphs item expands to show the names of the statistical charts and graphs which you may access for immediate display; these include CAE Category, Campaign Totals, Constituent Counts, Constituent Totals, and Preferred Years.

Contact Upload

The Contact Upload item accesses the page which enables you to upload constituent contact information such as name, address, phone numbers and email addresses to Microsoft Outlook. Once the Millennium contact information has been created in Outlook, use the Contact Upload page to periodically refresh the Outlook information with the information as it currently exists in Millennium.

Reports

The Reports item accesses the listings of two types of reports, Home Page Reports, and On-demand Reports. These lists display in the display frame to the right of the Millennium Explorer.

Tasks

The Tasks item displays a list of all of your own Tasks which do not have a Completed Date. This, of course, assumes that you are a constituent in the database.

User Options

The User Options item allow each operator to choose his or her own preferences for a number of viewing and behavioral options within the Profile world. These preferences are associated with the User ID of the operator who is currently logged in to the system and those settings will be remembered in each new session of Millennium until that operator changes them. The User Options item expands to show the following:

Visual Analyzer

The Visual Analyzer item provides links to both the Standard and Custom Visual Analyzer documents. In order to access these, your site must be licensed to use the Visual Analyzer and your User ID must be granted QlikView User status via User Maintenance.

WealthEngine

The WealthEngine item accesses the user WealthEngine Information page. It is shown only for sites that subscribe to WealthEngine and use named accounts to access WealthEngine (in contrast to proxy service account access to WealthEngine). Furthermore, it is shown only if a Millennium user's user name has been assigned to one of the WealthEngine account names.

Explorer - Reporting

When the Reporting World is expanded in Millennium Explorer, the following items are shown:

Visual Analyzer

The Visual Analyzer item provides links to both the Standard and Custom Visual Analyzer documents. In order to access these, your site must be licensed to use the Visual Analyzer and your User ID must be granted QlikView User status via User Maintenance.

Express Reports

The Express Reports item allows you to access any Express Reports that you (or another user) have created for your User ID. From the Express Reports area you may view the formatted results of the run of any such reports, launch the execution of a saved Express report, or change certain of the run options, parameter values, or prompted reply responses. This area allows you to manage the use of frequently-used reports, bypassing the Millennium Reporter interface to do so. See Express Reports.

Search Reports

The Search Reports item allows you to quickly locate saved report criteria, and edit or run it directly from the Search Reports page. From the Search Reports page, you can quickly locate a Closedpublished report and generate a list of your site's saved and published reports and display the list on one screen.

A published report is one that has been formatted and sent to either the HTML or PDF destination for later viewing through Millennium.

View Report

The View Report item allows you to access and view the formatted results of reports that have already been run. Clicking this item expands to list the report template groups. By clicking the name of the desired template group, the display frame to the right will show an alphabetical list (read from left to right, and then down) of all of the report groups located within the chosen template group. Choose a report group name to access the results of all reports that fall into that group. You may scroll or use the index at the top of that page to locate the desired report results and view the formatted data. Note that this action does not re-run or update the final report results since the last time that it was run.

Run Criteria

The Run Criteria item allows you to initiate the run of a report that has already been created and saved. Clicking the Run Criteria item produces the list of template groups in the Explorer. By clicking the name of the desired template group, the display frame to the right will show an alphabetical list (read from left to right, and then down) of all of the report groups located within the chosen template group. Choose a report group name to access all saved reports that fall into that report group. You may scroll or use the index at the top of that page to locate the desired report file. Clicking the name of the report initiates the run, and you will be given a Report Run Options form in the display frame, so that you may specify such variables as what server you want to use to process the run, whether you do or do not want to print the selection criteria, etc. When you have set those options, the run will be launched.

New Criteria

The New Criteria item allows you to initiate the creation of a new report file. Clicking the New Criteria item produces an expanded list of the report template group names and the additional items Custom Event, and Custom Profile. If you want to use a template as the basis for your new criteria, click on the name of the desired template group. The display frame to the right will show an alphabetical listing of all reports that belong to the chosen template group. You may scroll or use the index at the top of the display to located the desired report template. Click the name of the report template to open the criteria in the Millennium Reporter. If you do not want to use a template as the basis for your new criteria, choose Custom Event or Custom Profile instead. See Creating Custom Criteria for more information.

Edit Criteria

The Edit Criteria item allows you to access a specific report query that has been created and saved, in order to edit it, using the Millennium Reporter. Clicking this item produces the list of report template groups, from which you may choose the appropriate template group to access the specific query that you are interested in editing. By clicking the name of the desired template group, the display frame to the right will show an alphabetical list (read from left to right, and then down) of all of the report groups located within the chosen template group. Choose a report group name to access all existing, saved reports that belong to the report group. You may scroll or use the index at the top of that page to locate the desired query file. When you click on that name in the display frame, that query definition will be opened in the Millennium Reporter, in the display frame in order that you may make the edits you desire.

Maps

The Maps item expands to allow you to create a New Map. Or, use View Map to display a Map that has already been created.

Q Management

The Q Management item accesses information about the available reporting Queues.

Explorer - Tools

When the Tools world is expanded in the Millennium Explorer, the following items are shown.

Audit

The Audit item in the Millennium Explorer expands to display the following items, which allow deal with managing audit logs for tables and table audit reports.

Batch Control

The Batch Control item in the Millennium Explorer expands to display the following items which deal with the creation or editing of Batch Numbers for use in the input or maintenance of Giving information.

Custom Lookups

The Custom Lookups item in the Millennium Explorer expands to display the following items, which deal with the maintenance of the lookup tables that are used within Millennium to support the lookup table-driven custom fields in each data table. If your institution chooses to utilize those columns, and therefore needs to define entries in the corresponding lookup table, access to do so is gained through this item.

Event Lookups

The Event Lookups item in the Millennium Explorer expands to display the following items, which deal with the maintenance of the lookup tables that are used within Millennium to support lookup table-driven fields in the data tables used in the Events World.

Membership Lookups

The 'Mbrshp' Lookups item in the Millennium Explorer expands to display the following items which deal with the maintenance of the lookup tables that are used within Millennium to support lookup table-driven fields in the data tables used for Membership processing.

Profiles Lookups

The Profiles Lookups sub-header in the Millennium Explorer expands to display the following items which deal with the maintenance of the lookup tables that are used within Millennium.

Report Groups

The Report Groups sub-header accesses the display of the Report Groups lookup table, used to organize and apply additional security to saved report criteria. The display also provides access to the maintenance and insert forms for entries in this table. For more information, see Report Groups.

Custom Utilities

The system administrator can set up access to your site's in-house applications and custom utilities, from within the Millennium interface itself, via the Custom Utilities Setup item. All Millennium users can then access you site's in-house applications and custom utilities from within the Millennium interface via the Custom Utilities Utilities item.

Correct Gift Match (GM)

CorrectGM is an optional Millennium component designed to integrate information from a specific, imported data file with your Millennium database, and have this information available to you as work from within Millennium. This imported file contains the ratios, guidelines, and other policies associated with matching gift companies, as maintained by the third party, HEP Development Services. The CorrectGM Explorer item provides access to the following functions.

Data Examiner

The Advanced Data Examiner is an optional Millennium component that is used to integrate pending data into Millennium. The Data Examiner item displays the following functions used to manage and operate this component.

Online Directory

The Online Constituent Directory is an optional Millennium component that enables you to create a website for your constituents, based on information from your Millennium database. The Online Directory item provides access to the functions used to manage this constituent directory.

SPS

The SPS item in the Millennium Explorer expands to display the following items, which are tools used by Paya Payment Solutions for the electronic and automatic processing of credit card and bank draft transactions.

WealthEngine

The Wealth Engine item in the Millennium Explorer expands to display the following items, which are used to configure WealthEngine settings:

DonorSearch

The DonorSearch item in the Millennium Explorer expands to display the following items, which are used to configure DonorSearch settings:

Display Design

The Display Design item in the Millennium Explorer expands to display the following items, which are used to access the four versions of the Custom Display Designer.

System Upkeep

The System Upkeep item in the Millennium Explorer expands to display the following items, which are generally used to maintain the inner workings of the system itself. Many of these items are only available to the system administrator.

Explorer - Help

Expand Help to access Help Contents, topics describing the Favorites and My Millennium features, topics introducing the Millennium worlds, the link to the Millennium Drive Installation Guide, and the Other Links item to access the Higher Education Publishing (HEP) website, links to organizations of interest to the fundraising community, and links to Community Brands resources.

Help Contents

Click Help Contents to display the help system's home page. The page displays in a new instance of the browser and outlines the Millennium Help topics. Display a specific help topic by clicking its name in the outline. Or, use the accordion control on the home page to navigate through the help system via the Table of Contents, the keyword Index, or Search.

Millennium Drive

Click Millennium Drive to display a link to access the Millennium Drive User's Guide.

Explorer - Log Off

When you are finished with your work in Millennium and will leave the workstation for a time, you should make it a habit to end the current session. This ensures that your security settings and identification will not be available to other users. If you close the browser, the system will automatically log your User ID out of the IIS machine. If you want to stop using Millennium but continue to use the browser for other purposes, or if you want to use Millennium under a different User ID you should use the Log Off function to cause the previous User ID to be cleared from the IIS.

End an Millennium Session

Locate the Log Off item in the Millennium Explorer (the last item) and click on it. The current display will close and the Log On form will re-display.

OR

Close the browser that is hosting the Millennium session.
